  • Do you have current ABN/GST registration and key business details up to date?*
  • Confirm ABN/GST status and keep a 1-page 'Business Details' sheet (ABN, ACN, registered address, banking, contacts) ready. Update ASIC/ATO records and store PDFs for quick attach in tenders.

  • Are required insurances current (Public Liability, Workers Comp, Professional Indemnity if applicable)?*
  •  Renew or obtain certificates. Keep a register with policy numbers, limits, and expiry dates. Save certificates as labelled PDFs (e.g., 'PLI_20M_Expiry-2026-06-30.pdf').

  • Do you have basic HSEQ/WHS, Quality, and Environmental policies?*
  • Draft short, practical policies (2–3 pages each). Include responsibilities, risk approach, and continuous improvement. Keep version control and a policy review date.

  • Capability & Evidence

  • Do you have an up-to-date capability statement?*
  •  Create a simple, branded 1–2 page capability statement. Use Canva or PowerPoint templates. Include: core services, differentiators, relevant past projects, certifications/insurances, industries served, and contact details.

  • Do you have 2–3 short case studies or referees ready to include?*
  •  Build 1-page case studies with 'Challenge • Solution • Result' and a client quote/referee (pre-approved). Keep contact names current and store them in a shared library.

  • Are key personnel CVs current and tailored to typical tenders?*
  • Create 1–2 page role-based CVs with project highlights, tickets/qualifications, and responsibilities. Maintain a skills matrix and keep certificates handy for upload.

  • Compliance & Risk

  • Do you maintain a basic risk register and SWMS/templates relevant to your work?*
  • Set up a simple risk register (likelihood × consequence) and standard SWMS or JSA templates. Include controls, responsibilities, and regular reviews.

  • Do you have a simple Quality Plan and document control approach?*
  •  Outline inspection/test points, hold points, non-conformance handling, and version control. A one-page flow with forms/logs is fine to start.

  • Is your ICN/Gateway or buyer portal profile complete and up to date?*
  • Update the profile with keywords, sectors, capability statement PDF, and referee projects. Set EOI alerts and add multiple team contacts so nothing is missed.

  • Workforce & Local Content

  • Do you keep an up-to-date subcontractor list, including their compliance and qualifications?*
  • Build a simple register of subcontractors with contact details, licences/tickets, insurances, and past project experience. Update it quarterly and keep digital copies of evidence ready to attach.

  • Do you track Indigenous participation and engagement (e.g., Indigenous business subcontracting, Indigenous employment)?*
  • Maintain a record of Indigenous suppliers and partnerships, and log Indigenous employment numbers. For NT tenders, highlight local Aboriginal businesses used in your supply chain.

  • Do you record disability employment or diversity initiatives in your workforce?*
  •  Keep a summary of disability staff employment, inclusive hiring initiatives, or partnerships with disability employment providers. This helps demonstrate social and community impact in tenders.

  • Delivery & Process

  • Do you have a tender content library (company profile, policies, CVs, case studies) ready to reuse?*
  • Create a shared folder with standardised, branded content blocks. Keep filenames clean and add a content list. Update quarterly.

  • Do you have a clear pricing model, assumptions, and a basis of estimate template?*
  • Build a simple pricing workbook with rates, inclusions/exclusions, and assumptions. Add a sensitivity check (±5–10%) so reviews are quicker.
