      Cancellation of Lessons by the Tutor

      If Serena’s Tuition needs to cancel a session, we will aim to reschedule the lesson at a time that is convenient for you and your child. If rescheduling is not possible, a full refund for that specific session will be offered.

      Cancellation of Lessons by the Student

      Due to the shift to block termly payments, no refunds or reschedules will be offered for missed sessions. This applies regardless of the amount of notice provided. This policy allows us to maintain small group sizes with planning done in advance, and all costs covered.

      In the event of a prolonged absence over a period of 3+ consecutive weeks (e.g. serious illness), please contact us to discuss possible alternative arrangements.

      Late Collection

      Our tutors and assistants are fully engaged during lesson times, and late pickups impact classroom prep, clearing-up and administration. To encourage punctuality, a £15 late pickup charge will be applied if your child is not collected promptly (within 10-minutes of the lesson ending) at the end of their session. This fee will be added to your next term’s invoice.  Exceptional (one off occurrences) may be considered subject to reason, and  only if  agreed – in advance of the lesson starting - with the tutor. 

      Policy Updates

      Serena’s Tuition reserves the right to update this policy. Any changes will be communicated in writing.  If you have any questions or would like to discuss anything in this policy, please contact us directly.

      Parent/Guardian Agreement

      I confirm that I have read and understood the terms outlined above, including the non-refundable payment structure. I also confirm I have completed the associated forms regarding Photographic Consent, Allergies, Bank Details, and this Cancellation and Late Collection Policy.

      I, the owner, agree to the conditions set out in this agreement and agree to provide a reasonable notice period of any changes that need to be made to this agreement.

      Part 3 - Activities:  

      The parent hereby gives consent for the tutor/s to supervise their child and engage in the activities given in Schedule 1, at all times taking reasonable care and precautions to ensure the child’s safety and wellbeing. The activities and hazards detailed in Schedule 1 and the risks associated with them are indicative and not an exhaustive list but are intended to give a reasonable representation of what is envisioned by the tutor and the kinds of risks that may be associated with each of those activities.

      Part 4 - Children’s Property:
      The parent hereby understands and acknowledges that the whilst the tutor will exercise reasonable effort and care to encourage and, where practical, ensure the safety of the child’s property, the tutor cannot be held liable for the loss or damage of the child’s property other than where it arises from the tutor’s wilful misconduct or gross negligence. It shall always be the responsibility of the parent(s) to properly equip their child and insure their possessions against loss or damage, where appropriate.

      Part 5 - Consent to Collect and Store Personal Information:
      The tutor will collect and store personal information relating to the child(ren) that they teach, including - but not limited to - teaching notes, records of attendance, assessment data and administrative records in order to facilitate their effective teaching, the administration of tuition and to deliver an effective service. This may include written records, digital records, photographs and video recordings. All personally identifiable information will be held privately and in confidence, in accordance with the tutor’s privacy policy. The parent hereby accepts and acknowledges that the tutor will collect and store such information, taking reasonable measures to prevent its unauthorised disclosure.

      Part 6 - Agreement and Granting of Consent:
      By signing below, you acknowledge that you have read and understood the information provided and consent to your child participating in the described activities in Schedule 1. You understand and accept that there are always risks involved in any activity and that - whilst the tutor will endeavour to reduce and minimise such risks - they cannot be eliminated entirely. You agree that you will assist the tutor and take responsibility to ensure that you are aware of the arrangements being made and to properly equip and prepare your child(ren) in line with the tutors’ instructions.

      All furniture to be situated so as to cause minimum obstruction to personnel accessing and egressing classrooms.
      Use of equipment
      Children may be injured as a result of moving equipment, interactive computer equipment and all other classroom equipment. Such injuries may include cuts, lacerations, electric shock and eye strain/irritation.
      All electrical equipment to be PAT tested on an annual basis.

      All equipment inspected prior to use and condemned until repaired or replaced if any defects noticed.  PPT to be provided when required.

      Children to be supervised when using equipment.

      No loose hair, clothing or jewellery to be worn when using equipment.

      Trailing cables to be secured to prevent trips.
      Contact with sharp objects such as scissors
      Children may be injured as a result of contact with sharp edges on furniture and scissors, resulting in cuts and scratches.
      Inspections to occur on a regular basis to ensure that no sharp edges are present on furniture.

      Safety scissors to be provided where possible.
      Falling items from height
      Children may be injured as a result of items stored at high level falling o them. This may result in bumps, blows, bruising, concussion and potentially fractures.
      Only light items to be stored at height near working areas.

      Only adults to reach for items stored at height ensuring that no children are below the potential ‘drop zone’.

      Items at height to be stored in a sensible manner to ensure that the potential for falls is limited.

      Suitable access equipment to be provided and maintained for staff to access items stored at height.

      Children may be harmed by poor maintenance of electrical equipment and/or exposed cabling wires. This may result in electrical burns or fire.

      Periodic ‘Harwire’ tests of mains circuitry to be conducted on a 5-year basis.

      Inspection of all plugs, cables and sockets before use of any electrical equipment. Any damage/defects to be reported to duty holder.

      Children may come into contact with hot substances or surfaces in the classroom. For example the radiators, electric equipment and hot drinks.

      It is available to all parents whose children use our settings upon request, and is available on our public-facing website (www.serenastuition.co.uk). In addition, posters and booklets at the setting display safeguarding information for parents and children. 

      For the purpose of this policy, ‘children’ refers to any student under the age of 18 attending the setting. ‘Adults’ refers to parents or other responsible adults who drop off or collect their child at or from the setting. 

      The aims of this policy are:

           To ensure that all coming into contact with Serena’s Tuition understand the importance of safeguarding and that it is everyone’s responsibility

           To support any child who makes a disclosure of abuse 

           To ensure everyone at Serena’s Tuition knows who to inform in the event of a disclosure, concern or safeguarding issue and to ensure they are alert to the signs of possible child abuse

           To aid everyone at Serena’s Tuition in understanding and recognising specific safeguarding concerns

           To ensure, in accordance with The Children Act 1989, that the welfare of the child is paramount at all times

      The role of the Designated Safeguarding Lead (DSL) is to:

          Be a point of advice on safeguarding and pastoral issues

          Have overall responsibility for safeguarding (this cannot be delegated)

        3.     Safeguarding Issues

      b. Contextual safeguarding

      We are also aware that safeguarding incidents and behaviours can occur outside the home environment and are vigilant to reports of these. These contextual safeguarding issues form part of external training. These include:

          Female Genital Mutilation

          Honour Based Abuse

          Knife Crime

          Children Absent from Education

      c. Child on child abuse

      We are vigilant to the possibility of child-on-child abuse at the setting. Close supervision of children attending the setting is designed to mitigate this risk, however we maintain the attitude of ‘it could happen here’. 

      Such abuse can include:

          abuse in intimate personal relationships between children

          harmful sexual behaviour including but not limited to the use of inappropriate sexual language, sharing of nude of semi-nude images or videos, upskirting, sexual violence

          bullying (including cyberbullying)

          physical abuse such as:

          hitting

          kicking

          shaking

          biting

          hair pulling

          otherwise causing physical harm

      In the event of suspected child-on-child abuse involving one or more children who attend the setting against another child who attends the setting and where there is reasonable cause to suspect significant harm the case must be referred to the local authority. 

      d. Children with Additional Educational Needs, Disabilities and other vulnerabilities

      Serena’s Tuition are aware that children with Additional Educational Needs, disabilities or health issues may face additional safeguarding issues. We are vigilant to:

          Any indicators of possible abuse not in keeping with the child’s additional needs or history

          Any communication challenges the child faces in disclosing the abuse (for example, if the child is non-verbal)

          The fact that children with additional needs or other vulnerabilities are disproportionally impacted by abuse and behaviours such as bullying

          That children who are (or are perceived to be) lesbian, gay, bisexual or trans are more likely to suffer child on child abuse and are more vulnerable to abuse

      4.     Reporting Concerns about a child

      Serena’s Tuition are aware that barriers to reporting abuse exist, and that some children may not be ready or not know how to tell someone that they are being abused. We are aware that children with Additional Educational Needs or disabilities are more vulnerable to abuse. We never assume that an issue has been reported or disclosed by another person.

      If a child discloses abuse:

       

          We will stop and listen straight away without delay

          We will write notes as soon as possible after the conversation

          We must not guarantee confidentiality 

          We use TED – Tell me, Explain to me, Describe to me. We can ask children whether they have been harmed and the nature of that harm, without asking leading questions. 

          We  will not conduct our own investigation but will refer immediately

          We will maintain a calm and professional attitude and prioritise the wellbeing of the child at all times. 

      Reports to the local authority children's safeguarding board must be undertaken:

       

          As soon as possible and within 2 hours of the concern being raised or suspected

          For a child at risk or suspected to be at risk of significant harm, the concern must be raised immediately 

          In person or by telephone as required by local services.      

      We note that it is usually best practice to share concerns with parents/ carers. However, for children at risk of significant harm (or where there is reasonable cause to suspect this), it may not be appropriate to do so. Decisions on whether to share information must be made in conjunction with the DSL.       The DSL will decide if a concern should be raised with the local authority. If a child is at risk of significant harm, in accordance with Section 47 of The Children Act (1989), statutory child protection agencies will conduct the investigation and the DSL must not investigate. At all times, decision-making in this regard must be documented, including:

          Who raised the concern (include details of date, time, job title)

          Who was the concern raised about (include details of child’s name, date of birth, address, school)

          What decision was made and why – what were the reasons for making the referral

          Who was consulted

          What action was taken

          Whether parents/ carers were consulted and if not, why not
