Product Inventory and Display Rules
1) Purpose and scope
These rules tell independent retailers (we’ll call them “Retailers”) how to show, handle, and ship cosmetic products inside the salon.
Who it covers: every product the Retailer sells to salon guests, including samples/testers and display packaging.
2) Display and sampling rules
Sample/Testers
Each Retailer must have at least one sample or tester for every product that is for sale, if allowed by law.
Labels on samples must include: product name, shade/variant (if any), ingredient note, how to use it, and safety warnings.
Samples must be kept in clean, sealed tester bottles or tamper-evident containers.
A special, clearly marked “Tester / Sample” area must be used, separate from full-size products.
Empty Display Bottles
Retailers may show empty, labeled bottles for marketing only.
Empty displays must be marked as non-sale items and not shown as items you can buy.
If an empty bottle is used to show packaging or look, make sure customers can’t mistake it for something for sale.
Display Standards
Products should look neat, clean, and safe, with all labels readable.
Shelf signs should show: product name, shade/variant, price (if allowed by salon policy), and a note that final purchase is on the retailer’s website.
3) How customers buy and how items are delivered
Website-Only Purchase
All retail purchases must be completed on the Retailer’s website.
In-salon sales of products are not allowed unless we have written approval.
Delivery or Pickup
Delivery to the customer
The Retailer will ship the bought product to the customer’s address.
The Retailer handles payment and provides a tracking number.
In-Salon Pickup
If pickup is offered, customers can pick up the product at a salon counter after showing order details and ID.
The Retailer must confirm order details before handoff and record the pickup.
Third-Party Fulfillment
If a third-party service is used, it must be approved in writing and follow all laws and return rules.
4) Roles and responsibilities
Retailer duties
Keep the website listings up to date with stock, prices, and availability.
Make sure all website-listed products meet labeling and safety rules.
Make sure labeling and display rules are followed to avoid confusing customers.
Process orders, pack items, and arrange delivery or pickup on time.
Help customers with questions about orders, returns, or substitutions.
Salon duties
Provide space for tester/sample displays and empty bottles, following health and safety rules.
5) Pricing, discounts, and returns
Pricing
Use the prices shown on the Retailer’s website or the price shown on the salon display, whichever is current.
If there are in-salon promos, they must be coordinated with the Retailer and clearly explained to customers.
Returns and refunds
Returns and refunds follow the Retailer’s website policy.
Salon staff can tell customers to use the website for returns.
If a product is defective or recalled, tell the customer right away and follow the Retailer’s policy to fix it.
6) Compliance and labeling
Ingredients and claims
All products must meet cosmetic labeling rules and avoid unallowed claims.
Any claims on the website or in marketing must have evidence to back them up.
Safety and testing
Keep Safety Data Sheets (SDS) where needed and label testers with safety info.
Recalls and substitutions
If a recall happens, the Retailer must work with the supplier and tell customers who bought the product online.
7) Inventory management
Stock control
The Retailer must keep accurate online stock counts.
If a product is out of stock, the website should show that and offer alternatives or say when it’s back.
Returns and damaged goods
Damaged or unsellable items should be taken off the website and set aside to return to the supplier.
8) Data privacy and order records
Data handling
Customer order data must follow privacy laws and be kept secure.
Access
Salon staff should have only the access needed to help with pickups or basic order info.
9) Compliance with local laws
Make sure everything follows local/state cosmetic laws, consumer protection rules, and e-commerce rules.
Keep copies of any required licenses, permits, and insurance for product sales and fulfillment.
10) Dispute resolution and governing law
If problems come up, use the agreed method to solve disputes (like mediation or arbitration) and follow the contract’s rules about which laws apply.
Product Display and Purchase Protocol
The Retailer must have a clearly labeled “Samples/Tests” area and show empty packaging or display bottles only in designated zones.
All real product purchases must be on the Retailer’s website. Salon staff will not handle cash or in-salon sales.
For each order, the Retailer will ship to the customer’s address or provide a pickup option at the salon, as chosen by the customer on the website.
The Retailer handles order fulfillment, shipping, tracking, and customer service for the order.
The Salon will not make extra promotional claims beyond what the Retailer approves and must display products following the Retailer’s branding rules.
