Steps to Close Out a Graduating Troop

Congratulations to you and your Girl Scouts on completing their youth Girl Scout journeys as graduating seniors! At this point, we'll just need to close your troop up in our system.

Steps to finalize graduating troop:

Purchase Lifetime Memberships for graduating girls using troop funds if available. Until September 1 of their graduating membership year, Badgerland will cover $100 of the $200 fee for graduating seniors -- bringing the total cost of a Lifetime Membership for graduating seniors to only $100! To register girls for this, you'll register the Girl Scout for the Graduating Senior Lifetime Membership event.
Discuss with a troop how to use the remaining funds. The Girl Scouts may choose to finalize their Ambassador years with an end-of-year celebration, a final troop trip, or they can donate funds either to the local Service Unit or another local troop. Note: Any trips or activities must be completed before October 1 of the next year and any funds donated to the Service Unit or another troop must be issued via cashier's check from the troop's bank account.
Close the troop bank account:
- Once the last funds are spent or sent to Badgerland, and all checks have cleared, submit your Troop Finance Report for the current membership year. Then close the bank account.
- If any funds remain in the bank account, have a cashier's check drawn, made payable to Badgerland, as soon as possible. DO NOT get cash! Mail the check to:
  - Girl Scouts of Wisconsin-Badgerland, 4801 S. Biltmore Ln, Madison, WI 53718.
- Please note: The funds are for Girl Scout activities and are not to be retained by individuals as their “property.” Girls may collectively agree to contribute a portion of remaining troop funds to charitable organizations or projects they consider worthwhile. Appropriate use of funds includes choosing a program activity, renewing the girls’ memberships for the next year, purchasing a Lifetime Membership for graduating high school seniors, donating to Girl Scouts of Wisconsin – Badgerland Council, or donating to Juliette Gordon Low World Friendship Fund.
Finalize:
- Complete this Steps to Close out Graduating Troop form and mail a cashier's check to Badgerland, RE: Graduated Troop, _______. Address: 4801 South Biltmore Lane, Madison, WI 53178.
- Destroy all blank checks and debit cards from account.
- Troop supplies can be given to a Service Unit Leader to be distributed to other Girl Scout troops.
- Submit final statement or a letter from your financial institution confirming the closure of your account.
