Question 2: Think about quoting a new job - how do you get it done?

I write notes down on the job, then type up & send that night.
I usually just give a price verbally or send a quick textmessage.
It usually takes me a few days (at least) to get my quotes out.
Question 3: What happens after you send a quote and don’t hear back?

My system reminds me to call & auto-follows up by text or email.
I diarise and try to remember to call or text if I don’t hear back in a week.
I just send it and hope they call, I don't want to seem pushy.

Question 4: Do you know your “win rate”? (Quotes sent vs. jobs won)

Yes — I track it closely to see what’s working.

I confidently explain my value — I rarely need to discount.

I review them every few months to stay profitable.
About a year ago — I know they’re due for a refresh.
I’ve been using the same rates for years, it's very competitive here.

Question 7: When it’s time to get paid, how do customers pay you?

We have clear payment terms, take deposits, and invoices are paid on completion.
We usually get paid on time, but we spend a fair bit of time chasing up late payments.
Cash flow is a constant rollercoaster. We're often waiting on payments.
I don’t follow up properly and often forget who’s paid and who hasn’t.
Question 8: How do you handle materials and stock for jobs?

We use checklists and job management software to ensure every job runs smoothly and consistently, materials are ordered in advance, tracked and allocated to each job.
We do our best to plan, but it feels like I'm often running to the supplier for forgotten items.
We often have materials left over from jobs that just sit in the workshop or vans.
Every job is different. We just figure it out as we go.
Question 9: At the end of a big job, do you know exactly what profit you made?

Yes — I track costs and review profit per job clearly.

Not really. If there’s money in the bank, I assume I’m okay.
I often end up short — I often miss things on the quotes and wear the costs.
Question 10: A customer calls with a problem on a job you finished last month. What’s your process?

I look it up in my system (phone or computer) — all notes and photos are there.
I look up my diary for notes from the job and try to work it out over the phone.
I scramble through old texts and scrap paper notes to try and figure it out.
I have poor / no records — it’s guesswork and often ends up costing me.

We have a predictable system that brings in a steady stream of high-quality leads.
It's mostly word-of-mouth. We're busy, but I get nervous when the phone goes quiet.
It's feast or famine. Some weeks we're swamped with quote requests, other weeks it's crickets
I often have to take any job that comes along, even the low-margin ones, just to keep busy
Question 12: How much work do you get from past customers?

Quite a lot - I stay in touch and leave cards / magnets to give to friends & family.
A fair amount — I stay in touch with service reminders and review requests.
Some — they call me when they (if they) remember.
Very little — most of my work comes from new customers.
Question 13 : What does a typical "work week" look like for you?

I work a structured 40-50 hour week and have evenings and weekends free for family and hobbies.
I mostly stick to the weekdays, but often do quotes and paperwork at night or on weekends.
I'm working 60+ hours a week. The business pretty much consumes my life.
I can't remember the last time I had a real weekend completely off.
Question 14: What's your biggest frustration in running your business right now?

Finding and keeping good staff.
Inconsistent cashflow and workloads / chasing payments.
