Vendor Agreement
This agreement verifies your participation as a vendor at the Emergency Room Encounter (ERE) on Friday, September 26, 2025, and Saturday, September 27, 2025, at Living Water Ministries International, 645 US-80, Monroe, LA 71203.
This event is sponsored by Coleman & Co. Displays and stands are encouraged and welcome at this event. Because your participation is part of the ERE Conference, the event hosts will provide all music. No outside music is permitted.
A nonrefundable $25 participation fee applies to all vendors selling products; however, there is no fee for informational vendors who are not selling products. Vendor fee can be paid through Cashapp, Zelle, or Cash. A seperate email will be sent upon completed registration.
Electrical outlets are available for electronic equipment but are limited. Please indicate any electrical needs at the bottom of this agreement (in the description section).Liability
ERE is not liable or responsible for any accidents or incidents involving vendors, volunteers, or patrons during the event. In addition, ERE assumes no responsibility for the effects that small business vendor products may have on patrons. Each vendor is solely responsible and liable for their own products and their effects.
Set-Up and Breakdown
Vendors may access the event space beginning at 6:00 AM on Friday and Saturday (for one-day vendors, unless a special request has been confirmed). Vendor displays may remain in the facility overnight under lock and key to avoid repeated setup and breakdown. However, Coleman & Co. is not liable for any issues that may occur.
All vendors must be fully set up and ready no later than 8:00 AM each day. The vending portion of the event ends at 6:00 PM on Friday and 5:00 PM on Saturday, followed by a one-hour breakdown period. Assistance will be provided if needed.
All special vending requests must be communicated in advance and confirmed by Chrissy Gray, Heather Coleman, and/or Nilpa Patel Johnson.
Vendor Rights
Participation in ERE is voluntary. Vendors retain full rights to their products, services, and all payments received. Vendor spaces will be located indoors and assigned on a first-come, first-served basis. Due to the facility layout, all vendor areas provide equal visibility - there are no undesirable spaces.
Event Cancellation or Rescheduling
In the event of an accident, riot, strike, epidemic, act of God, or any other legitimate occurrence beyond the control of ERE, the event will be rescheduled for a later date. If the event is canceled by ERE, this agreement becomes null and void, and all vendor fees will be reimbursed.
Promotional Use
Small business vendors may use the name, likeness, and promotional materials provided for the ERE event. As a registered vendor, you are welcome to submit one promotional item (e.g., coupon, business card, flyer, etc.) to be included in our complimentary registration bags distributed to all attendees.
