    Thank you for your interest in participating in our 2nd Annual VCA Christmas Marrket and Car Show. We are super excited to host you and your customers! Please fill out the below application and return it no later than October 23, 2025. Upon filling all available spots, we will create a waiting list. In the event of a cancellation, we will reach out to fill the spot based on the order of the waiting list and continue down the list until all cancelled spots are full. Please be aware there are absolutely NO REFUNDS of site rentals or add-ons.

    **If you have multiple types of entries (vendor & car entry, Food truck & Vendor, etc.) please use a separate application for each type.

    **If you need multiple sites of the same type—2 or more vendors, 2 or more food you can use the same for just input the number of sites needed.

  • VENDOR RULES

    • Vendors are responsible for bringing their own tables, chairs, table covers, displays and/or tent.
    • Vendors are responsible for all necessities like signage, lighting, inventory, payment processing devices, etc. Feel free to bring customized table covers and signage with your logo. If you need help sourcing any required vendor booth equipment – check out Amazon or Walmart for quick and efficient ordering and pick up.
    • All display materials must fit within the allotted site space.
    • We will allow for multiple sites to be rented for a larger site option- however we will not book ½ sites.
    • Please bring your own monetary change for your site—We will not have change on site.
    • INDOOR VENDORS: Please do not nail or tack anything to the walls without prior approval from STAFF.
    • All booths must be manned at all times – feel free to ask your neighbor to help with bathroom breaks!
    • No Licenses or permits are required for vendors to participate.
    • Baked goods are allowed if they are 100% packaged and sealed once sold.
    • Direct Sales companies are welcome to participate-limited to one representative per company.
    • No Promotion, Distribution, Consumption, Or Selling Of Any Type Of Drug Paraphilia (HEMP,CBD Products, Etc.) Any Products/ Vendors deemed in violation of this rule will be asked to either leave or remove the products from their booth.
    • Set up occurs 1 hour prior to start time on event day. 1.5 hours if Royal Knight Sponsored Vendor.
    • Payment is due upon submitting application- Booths WILL NOT be held WITHOUT payment. YOU MUST SUBMIT PAYMENT PRIOR TO OCTOBER 23 2025. NO EXCEPTIONS NO REFUNDS
    • Vendors will receive an emailed copy of Vendor rules and set up/ tear down information.
    • Must Read and sign Liability Waiver and turn in at Check in tent upon arrival. If this is not signed- you will NOT be permitted to enter as a vendor and you will NOT receive a REFUND.
    • Traffic numbers and sales cannot be guaranteed. We had a high volume of traffic and decent sales our first year-- we do rely on vendors to also promote our event! The more promoting the higher the attendance. 
    • All transactions between the Vendor and customer are the responsibility of the Vendor.
    • Vendor Responsibility: Vendor will be fully responsible for any loss or damage to his or her property by theft, fire or casualty. Souls Harbor Freewill Baptist Church and Vinemont Christian Academy expressly disclaims any responsibility for same. Vendor shall be responsible for any damage which may be incurred to the facilities as a result of or in connection with its operation. Each Vendor is responsible for the conduct of his/her employees and/or representatives and activities must not detract from the image or welfare of the show.
    • Indemnification: Vendor agrees to indemnify and hold harmless Souls Harbor Freewill Baptist Church and Vinemont Christian Academy from and against an loss, expense, claims, damages, causes of action, injuries, suits or damages, suits to person or property, including attorney’ fees, arising out of or related to the operation of the Vendor at the VCA Christmas Market

    Once this application is signed and submitted, we will review the application and upon approval, we will send payment information to the email listed in this application unless otherwise stated. 

    DO NOT SEND PAYMENT TO ANYONE OTHER THAN TRACIE REEVES UNLESS VERIFIED WITH TRACIE REEVES DIRECTLY (IN PERSON OR OVER THE PHONE) Scammers will try anything these days.
