    AIYLC Authority Statement

    By attending the American Independence Youth Leadership Conference (AIYLC), all participants agree to abide by the rules, instructions, and decisions of AIYLC staff, 4-H staff, designated chaperones, senior mentors, and instructors. These individuals are vested with full authority to oversee conference activities, make final decisions, and enforce disciplinary actions as necessary to ensure the safety, order, and success of the program. Failure to comply with their direction may result in disciplinary measures, including dismissal from the conference at the participant’s expense.

    AIYLC Participant Code of Conduct

    As a participant in the American Independence Youth Leadership Conference (AIYLC), I agree to uphold the highest standards of conduct and represent myself, my school, and my community with integrity. I understand that my actions affect not only my own experience but also the safety and enjoyment of others.

    I agree to the following:

    Respect for Authority

    • I will follow all instructions from AIYLC staff, 4-H staff, chaperones, senior mentors, and instructors.
    • I understand that these individuals have final authority over all decisions and disciplinary matters.

    Respect for Others

    • I will treat all fellow participants, staff, and volunteers with courtesy and respect.
    • Bullying, harassment, hazing, discrimination, or disruptive behavior will not be tolerated.

    Personal Responsibility

    • I will attend and participate fully in all scheduled sessions and activities.
    • I will follow curfews, dress codes, and behavioral expectations set by AIYLC.

    Health and Safety

    • I will not possess or use alcohol, tobacco, vaping products, recreational drugs, or weapons of any kind.
    • I will act responsibly to ensure my own safety and the safety of others.

    Lodging

    • Cabins are gender-specific. Students are prohibited from entering cabins assigned to those of the opposite gender.
    • Violation of this rule will result in immediate removal from the conference.

    Personal Electronic Devices

    • All electronic devices (phones, tablets, or other handheld devices) must be turned off during lectures and tours.
    • Electronic device use shall be kept to a minimum at all other times.

    Valuables

    • Students should not bring valuables to the conference.
    • Lost or stolen items are not the responsibility of AIYLC staff or counselors.
    • Any suspected theft should be reported immediately to AIYLC staff.

    Car Keys

    • Any student driving their own vehicle to the conference must turn over their car keys to AIYLC staff until the end of the program.
    • Exceptions may be made for emergencies or special circumstances, with approval from staff.

    Inappropriate or Romantic Relationships

    • Students shall maintain only professional relationships while at the conference.
    • Romantic behavior and public displays of affection are prohibited.
    • The use of profanity is considered unprofessional and will not be tolerated.

    Animals

    • No pets or live animals are allowed at the conference.

    Consequences of Misconduct

    I understand that failure to follow this Code of Conduct may result in disciplinary action, including warnings, loss of privileges, or dismissal from the conference at my own expense.

    By attending AIYLC, I acknowledge that I have read, understand, and agree to follow this Code of Conduct.

     

    Conference Dress Code

    The American Independence Youth Leadership Conference (AIYLC) is a professional and educational program. To maintain a respectful and safe environment, all participants are expected to follow the dress code outlined below.

    General Attire

    • Collared shirts or non-controversial T-shirts are required.
    • Clothing should be clean, neat, and appropriate for a leadership conference.
      Weather Preparedness

    Students should dress appropriately for seasonal weather.

    • For the April session, cooler temperatures and possible rain should be anticipated.
    • Bring jackets, rain gear, and layers as needed.

    Pants and Shorts

    • Pants, jeans, or shorts are permitted.
    • Skirts are not recommended due to the camp environment and outdoor activities.

    Clothing Restrictions

    • No ripped or fringed clothing, even if it is part of the garment’s design.
    • No short-shorts, mini-skirts, midriff-revealing clothing, low necklines, or other revealing attire.
    • Wallet chains are not permitted.

    Headwear

    • Hats are not to be worn indoors.
    • Hats may be worn during outdoor tours and activities.

    Footwear

    • Shoes should be comfortable, sturdy, and appropriate for walking tours and camp settings.
    • Open-toed shoes and flip-flops are discouraged.

    I, the undersigned, being the natural parent or designated legal guardian of:

  • authorize his/her attendance at the Military Order of the World Wars (MOWW) American Independence Youth Leadership Conference (AIYLC) to be conducted at the Jamestown 4-H Education Center, Williamsburg, VA during the period:

    April 23 through April 26, 2026.

    Except in cases of substantiated gross negligence or worse, the undersigned hereby releases and agrees to hold harmless the Military Order of the World Wars (MOWW) and the American Independence Youth Leadership Conference (AIYLC), including their staff, volunteers, agents, and representatives, from any and all liability and/or responsibility for the child’s welfare, wellbeing, and supervision for the duration of the conference, including the day of departure if transportation is provided, until the day of return.
