    Please complete all fields below to submit your request for summer camp/conference housing. 2026 Conference Housing will be available from June 9th through July 21st.

  • Participant Information

    In this section, we will gather information about the participants in your group who will stay on campus. Attendance can be updated prior to your event, but must be finalized no less than two (2) weeks prior to check-in date.
  • Standard check-in time is 2:00 pm on the date you wish to have anyone from your organization arrive and have access to the residence hall. 

    Standard check-out time is 10:00 am for your entire group. 

    Any group wishing to have participants or staff arrive or have access to the building outside of these standard times will be charged 10% of their overall group's reservation.

  • To ensure the safety and well-being of minors participating in programs, any group or individual conducting a camp, program, or activity that meets the criteria outlined in Section V of the Fayetteville Policies and Procedures 217.1 – Protection of Minors on Campus is kindly requested to complete the registration process. This includes uploading the leader roster for background checks, the Mandatory Reporting training certificates, and signed Acknowledgments of the policy for all staff and volunteers involved. All required documents should be submitted to the designated camp SharePoint folder.

    Registration Process
    Submit Registration Form: Complete the form at least 30 days prior to the event.
    Roster Completion: After registration, the Youth Protection Coordinator will provide the Program Director with further instructions, including access to a SharePoint folder and a leader roster template. The completed roster must be submitted 30 days before the event. If any background checks do not meet university standards, or if HireRight information is not completed within 14 days, the Program Director will be notified.
    Mandated Reporter Training: All staff and volunteers must complete the online Mandated Reporter Training. Program Directors will upload the certificates of completion into SharePoint folders.
    Acknowledgment Form: All staff and volunteers must sign the Acknowledgment Form, found here to confirm they have read and understood Appendix A of the Protection of Minors Policy 217.1. Program Directors are responsible for collecting and uploading into SharePoint folders. We greatly appreciate your cooperation in ensuring a safe, secure, and compliant environment for minors in your programs.   • University Housing will be adhering to the American Camp Association standards for the ratio in which minors must be accompanied by staff members. Those ratios are as follows:

    Ages 4–5: 1 staff member for every 5 campers
    Ages 6–8: 1 staff member for every 6 campers
    Ages 9–14: 1 staff member for every 8 campers
    Ages 15–17: 1 staff member for every 10 campers

  • In-Hall Staff

    In-Hall Staff are members of your team who stay in the residence hall while the group is here. This can include staff, chaperones, and volunteers who will be staying separately from participants.
  • Housing Information

    Building projects often take place in summer. Some buildings may not be available during your stay. If the desired building is not available, a comparable building will be offered. For hall rates, halls by building type, and other information, please visit the Conference Services webpage.
  • Dining Information

  • 75% of your group's On-Campus meals must be provided by Chartwells. Reserve your dining using their Dining Reservation Form.

  • Additional Space Information

    There are additional spaces in both residence halls and throughout campus you can reserve for your group's needs (i.e. classrooms, multipurpose rooms, ballroom, etc.) Please answer these questions regarding your need for additional space for your camp/conference.
  • Reservations for these spaces are not made through Univeristy Housing, however we will provide the Primary Administrator's contact information to those that do so they can follow up to assist with reserving spaces.

    The information below will appear on the invoice issued at the end of the group's stay. All internal University of Arkansas groups must be billed through Workday with a provided Worktag. External clients can receive their invoice via email, but must still provide a physical mailing address.
