Before you complete your application, please read the following questions to confirm your eligibility;

The Fearless Women's Forest Gathering is a huge collaboration between many women. It takes around 100 women to bring this life changing event together. These women need to be connected and unified to lay the foundations for a safe space for the attendees. We achieve this by bringing the collaborators together through zoom meetings 1 week before the event and holding an intention setting ceremony 2 hours before the festival commences.

If you cannot commit to the following due to family or work commitments, please do not apply. We will be happy to receive your application in future years when you are able to commit to the following;

Are you able to arrive at the venue (305 Burnside Road, Meelon) BEFORE 10am on Friday May 1st and stay until the conclusion of the Closing Ceremony at 3pm on Sunday May 3rd?*

Being a collaborator in previous years does not guarantee acceptance at the Fearless Women’s Forest Gathering 2026. We wish we could say YES to everyone, but due to limited space at the site, only a select number of stallholders, readers and healers will be able to attend.

FEES

3 X 3m stall = $220 for the duration of the festival. This includes camping and festival entry.

6 X 3m stall = $330 for the duration of the festival. This includes camping and festival entry.

Meals are not included. A discounted catering package is available for $80, which includes 6 meals from Friday dinner through to Sunday lunch.

If you plan to self-cater, please bring your own refrigeration (e.g. esky with ice) and cooking equipment. There are no cooking facilities at the venue.

Market stalls are part of the main festival village which means that stall holders cannot set up a tent to sleep in behind their stall or keep their vehicle next to their stall.

Glamping upgrades are available for all crew for an extra cost of $120. There will be 3-4 crew members in each glamping tent.

APPLICANTS WHO HAVE NOT PAID THEIR INVOICE BY FEBRUARY 1st, 2026 WILL FORFEIT THEIR APPLICATION.

IN THE UNFORTUNATE EVENT THAT YOU NEED TO CANCEL YOUR PARTICIPATION, REFUNDS WILL BE ISSUED (MINUS A 30% ADMIN FEE) IF CANCELLATION IS MORE THAN 4 WEEKS FROM THE EVENT.

CANCELLATIONS WITHIN 4 WEEKS OF THE EVENT ARE NON-REFUNDABLE.

Market Stall Terms & Conditions
Fearless Women’s Forest Gathering 2026

Stall Setup & Operation

All stalls are unpowered.

It is not possible to camp behind your stall.

It is not possible to have your vehicle near your stall.

Bump-in times:

Thursday 30 April 2026 from 1:00pm onwards, or
Before 10:00am on Friday 1 May 2026.

Operating hours (must be attended):

Friday 1st May: 2:00pm – 6:00pm (Evening optional – BYO lighting)
Saturday 2nd May: 9:00am – 6:00pm (Evening optional – BYO lighting)
Sunday 3rd May: 9:00am – 1pm

Stall Size & Layout

Stall sites are 3m x 3m or 6m x 3m unless otherwise approved.

Stallholders must accurately request the full space required, including marquee footprint, display items, and apparatus.

Tables, chairs, and marquees must be supplied by the stallholder.

Stall Presentation

Prices must be clearly displayed on all items for sale.

Stalls must remain clean, tidy, and free of hazards—especially tripping hazards.

All displays and equipment must be stable and securely fastened to prevent injury.

Stalls must be confined to the allocated space. No encroachment into walkways or neighbouring stalls.

Marquees must be safely secured using weights, pegs, or star pickets (recommended).

Conduct & Compliance

Stallholders must not interfere with or disrupt other stallholders, attendees, or the event experience.

Approval is non-transferable. No sub-leasing, sharing, or reassignment of stall spaces is permitted.

Only genuine, legal, and appropriate goods may be sold.

The erection and safety of any stall equipment is the sole responsibility of the stallholder.

Any damage caused by a stallholder must be repaired at their expense.

TERMS & CONDITIONS - GENERAL

By submitting this application, I acknowledge and agree to the following terms and conditions, which are legally binding:

Event Requirements

If accepted, I must arrive before 10:00am on Friday, 1 May 2026, and remain onsite until after the closing ceremony concludes at 3:00pm on Sunday, 3 May 2026. I understand I can arrive on Thursday April 30 after 1pm.

If accepted, I agree to actively promote the Fearless Women’s Forest Gathering as part of the shared marketing campaign. This includes sharing official posts, tagging the event on my social media platforms, and helping build awareness in the lead-up to the gathering.

This is a women-only event open to those who identify as women and are 18 years and over.

Only one ticket is valid per successful applicant.

The Event Organisers reserve the right to refuse entry or remove any person from the event at their sole discretion.

Code of Conduct

The Fearless Women’s Forest Gathering is an alcohol-free, illicit drug-free, and psychedelic plant medicine-free event.

Any person found to be under the influence of such substances or engaging in disruptive, disrespectful, or unsafe behaviour will be asked to leave immediately.

In line with our core value of embracing diversity and inclusivity, the Fearless Women’s Forest Gathering is an event where ALL women are welcome — this includes women and people who identify as women. Anyone who cannot respect this and causes disruption will be asked to leave.

If accepted, I understand I am representing Fearless Women’s Forest Gathering, Harmony Retreat, and Harmony Gatherings Incorporated. I will treat all participants, fellow facilitators, event staff, and volunteers with respect, kindness, and professionalism. I agree not to engage in gossip, bullying, harassment, exclusion, or any form of verbal, emotional, or physical misconduct.

Risk Acknowledgement & Waiver of Liability

Some activities at this event are recreational in nature and involve physical and emotional risk.

By submitting this application and attending the event, I:

Voluntarily assume all risks associated with my participation in any activities, workshops, or use of facilities during the event.

Release and discharge Carolyne Forte, Michelle Cherry, Harmony Gatherings Incorporated, Harmony Retreat, all event staff and volunteers, and the landowners of 305 Burnside Road, Meelon WA, from any liability for personal injury, illness, loss, property damage or death, howsoever arising, including but not limited to negligence, breach of duty, or under sections 64 and 64A of the Australian Consumer Law (WA).

Agree to fully indemnify the above parties for any loss, costs, or damages incurred by them in connection with any claim arising from my participation.

Understand that this waiver applies to all periods of participation, including during event setup and pack down.

Health & Emergency Medical Consent

I agree to disclose any physical or psychological condition that may affect my ability to safely participate in any part of the event.

I will not participate in workshops or activities while under the influence of alcohol or drugs.

I give consent for medical treatment to be administered to me in an emergency and agree to be financially responsible for any medical, ambulance, or associated costs incurred.

Cancellation & Refund Policy

Cancellations more than 4 weeks before the event will be refunded, minus a 30% admin fee.

Cancellations within 4 weeks of the event are non-refundable.

No-shows or early departures do not qualify for any refund.

If the event is cancelled at any time due to unforeseen circumstances of Harmony Gatherings Inc or Harmony Retreat Meelon, a full refund will be issued, unless it is within 1 week of the event.

If the event is cancelled and cannot be postponed within 1 week of the event, due to circumstances outside of the control of Harmony Gatherings Inc or Harmony Retreat Meelon (such as a snap lockdown), refunds will be issued minus 15% to cover a portion of the unrecoverable costs.

Media Consent

I consent to the recording, photography, and filming of me during the event by authorised personnel.

I grant the organisers full rights to use my image and likeness for marketing, promotional, or documentary purposes, including on websites, social media, and other platforms.

I acknowledge that copyright and usage rights belong to the organisers and waive any right to inspect or approve the final media use.

Final Acknowledgement

By submitting this application, I acknowledge that I have read, understood, and agree to abide by the above terms and conditions in full. I understand this document is intended to be legally binding and may be relied upon in any legal or insurance matter arising from my participation in this event.

I confirm that I have read and agree to the stall holder and general terms and conditions, and have no questions or concerns.

If accepted, I agree to arrive after 1pm on Thursday April 30 OR before 10am on Friday 1 May and stay until the end of the closing ceremony at 3pm on Sunday 3 May. I understand that if I can’t commit to these times, my application won’t be successful.

If accepted, I agree to confirm my place and pay for my invoice by Sunday February 1st, 2026. I understand my place will be forfeited if I don’t meet this deadline.

If accepted, I understand that alcohol, illicit drugs, and psychedelic plant medicines are not permitted at this event.

If accepted, I understand that cancellations made more than 4 weeks before the event will be refunded minus a 30% admin fee. No refunds are available within 4 weeks of the event.

If accepted, I understand that professional photos and videos will be taken during the event, and I give permission for my image to be used on social media, YouTube, and the Harmony Retreat/Harmony Gatherings Inc website.

If selected, I agree to actively promote the Fearless Women’s Forest Gathering on my social media platforms as part of the shared marketing campaign. This includes sharing official posts, tagging the event, and helping build awareness in the lead-up to the gathering.

By ticking this box, I acknowledge and agree that Carolyne Forte, Michelle Cherry, all associates of the Fearless Women’s Forest Gathering, Harmony Gatherings Incorporated, Harmony Retreat, and the landowners of 305 Burnside Road, Meelon shall not be held liable for any personal injury, property damage, loss, or other claims arising out of or in connection with my participation in the event, including during setup and pack-down periods.
