Market Date and Hours
Market Move in Saturday November 1 7:00am – 9:45am
Market Hours are 10am -5pm
Upon your arrival, please check in at reception. We will have committee members available to assist with finding your booth location. Due to limited parking, you will offload and move your vehicle prior to set up. Any vendors who have not checked in by 9:45 am on Friday will not be allowed to set and will forfeit their spot.,
Vendor Parking during the Market
We are expecting a large volume of Market participants as well as others involved in the market. We ask that you Park two blocks away from Ferne’s Acres.
Booths must be set up, stocked, and staffed by 9:45am
Market Move Out
Due to safety of other Vendors and Customers/participants, Booths may not be taken down or removed until 5:00pm, Early move out is not permitted.
Vendors must leave their booths free and clear of any debris or garbage. Any garbage not removed will be removed at the Vendor’s expense.
Please do not move your vehicle closer until you are completely torn down.
Cancellation
No refunds will be provided at time of Cancellation
Liability Insurance Requirements
Each vendor is required to provide a certificate of Commercial General Liability Insurance (Vendor insurance) with a minimum limit of $2,000,000.00 coverage for each occurrence, before moving in. Your insurance policy must name Ferne’s Acres Animal Sanctuary as additional insured and must be submitted no later than October 15th, 2025,
unless previously arranged. If insurance is not provided by October 15th, 2025, your booth may be given to an alternate Vendor on the wait list.
Standards, Regulations & Conditions
Product Regulations
These regulations apply to all Ferne’s Acres Market vendors. Applications received that fall into one or more of the following categories will not be considered and will not be permitted:
• Obscene or offensive products. (As per the discretion of The Ferne’s Acres Committee)
• Network marketing and multi-level-marketing recruitment.
• Cannabis, or tobacco products - including but not limited to consumable cannabis,
cigars, cigarettes, smokeless tobacco, paraphernalia, or lighters.
• Weapons -Including but not limited to folding, pocket or hunting knives, swords,
daggers, guns and firearms or weapons of any kind
• Display, sales or advocacy of items or paraphernalia that may promote the use of illegal
drugs in any way.
• Helium balloons, open flame candles or confetti.
• Bubble makers or bubble machines.
Booth Requirements
• All booths shall be constructed to be professional in appearance.
• Booth displays must be always contained within the allotted space, no overflowing
into the walkways or isles will be permitted. All products should fit proportionately into
the area, using tiered merchandise display units or shelving where necessary.
• Signage shall be professional and indicate the company name, product or service and
pricing.
• All booths providing personal services (products or services that entail skin contact)
and booths selling, handling or sampling food are required to complete AHS permits
prior to show opening.
• All representatives are to remain with their respective booths / areas to ensure any
activity of sales do not impede any other vendor by noise or distraction.
• No tents or canopies are permitted
Booth Inclusions
• 6x5ft
• Feature on Ferne’s Acres Social media (Please provide Images in application)
• Posting on the Ferne’s Acres Social Media Sites, including link to vendor if
applicable.
• Ferne’s Acres Committee reserves the right to limit the number of Vendors selling
similar items. You will be asked to remove items not listed on your application if
deemed necessary by the Market Coordinator or Spirit of Sylvan Committee members if
not previously approved.
• If you have any special requests, please ensure you list them on the application. We will
do our best to accommodate you.
Booth Exclusions
• 6ft Tables & Chairs are not provided – you must bring your own.
• Table coverings- are not provided
• Power – limited availability – Please note request on application (must bring own
extension cord). We will do our best to accommodate
• Wi-Fi and internet service not provided
Rules & Regulations
Fire Regulation
The use of any materials that are not flameproof or fire retardant is not permitted. Open flame or any product perceived to be a fire hazard is not permitted – as per the discretion of the Ferne’s acres Committee
Food and Beverage Samples
Alberta Health Services inspects and approves each booth that sells or samples food for consumption to the public. All samples must be prepacked off site as this is a pet friendly event. For specific information regarding food and food handling requirements please visit

Personal Services
Personal services are defined as products or services that entail skin contact (hair styling/cutting, temporary tattoos, henna applications, skin creams, nail care, etc.) will be required to complete a form detailing infection control for each location. A record for service must be completed for booths with multiple products.
These products and services must adhere to the guidelines set forth by Alberta Health Services. Forms to be submitted to the Market Coordinator prior to October 15th, 2025.
AHS Inspection
Food, Beverage & Personal Service Vendors - You will need to submit the online notification form to AHS within their required deadline. Links to AHS sites will be shared in the final acceptance package. AHS inspection time will be sent out prior to move in. Vendors are to be moved in and set up prior to inspection. Vendors will not be able to open if not approved by AHS. For more information regarding personal services please visit

Code of Conduct
The Fern’s Acres Market is an inclusive event where all guests are welcome. It is the expectation of the Ferne’s Acres Committee that all guests and participants including market vendors conduct themselves in a respectful and courteous manner. The Spirit of Sylvan will enforce a zero-tolerance policy for any guest or participant that displays behaviour that is rude, discriminatory or violent in any way. Any vendor who is in breach of this code of conduct or any part of this agreement will be asked to vacate the premises immediately and without recourse.
Booth Pricing & Extras
Due to limited Space, you have a space of 6ftx5ft. this will allow you space for a 6ft Table or equivalent display. Please stay within your assigned area. tables and chairs are not provided.
Booth fee is $50
Door Prize Donation
All vendors are asked to provide a door prize/raffle donation to the festival of a minimum value of$20.Your donation elevates the market experience and will be put towards our fundraising efforts.

Payment
An invoice for payment will be sent once your application has been reviewed and approved.
Agreement to Operate
The Ferne’s Acres Paws & Hooves Holly Market grants the Vendor permission to operate during the event. This permission is not exclusive; other vendors may offer similar products or services. Participation is subject to all Rules, Regulations, and Conditions of the Festival, which are attached
to this agreement and are considered part of this contract.
Vendor Confirmation
THE VENDOR HEREBY AGREES TO HAVE READ, UNDERSTANDS AND WILL ABIDE BY THE TERMS AND CONDITIONS OF THIS CONTRACT AND RULES & REGULATIONS IN THE VENDOR MARKET
