    Expression of Interest Form for Vendors
  • This is an expression of interest form to participate in Kirkcaldy Parks Running Festival Event Village. Thank you for your interest in working with us to make the Kirkcaldy Parks Running Festival a success.  On receipt of this form we will contact you to confirm your space and arrange payment. Please note no space is confirmed until all documentation and payment has been received. 

    The Half Marathon will start and finish at the Beveridge Park on Sunday 30th of August and is expected to attrach more than 800 runners from all over Scotland. The event will also draw friends and family members, contributing to a busy and vibrant atmosphere in the park throughout the day. In addition to the main race, the programme includes a children's fun run and a range of family-friendly activities.  While an exact footfall figure cannot be provided , attendance is expected to be significant. 

    Runners are expected to start arriving at 9am, with the race commencing at 10am. The runners will return from approximately 11:30 onwards. 

    For all vendors please review the following general information:

    Confirmation and Payment

    • Fees for gazebo stands are £30 for the day and vans will be £50.
    • Spaces are limited. Following receipt of your expression of interest, KPRF will confirm provisional availability at the event. Event spaces are only secured once all required documentation has been received (see below) and full payment of the invoice has been made prior to the event.
    • Invoices must be paid within 30 days of issue or no later than 14 days before the event, whichever comes first. Failure to meet these requirements may result in the loss of your allocated space.
    • Expressions of interest are invited from local charities. A limited number of free spaces are available.
    • All pitches are non-refundable and non-transferrable.
    • There will be no refunds if the event is cancelled due to bad weataher or for any other reason.

     

    Vendor Eligibility and Product Information 

    • Spaces at the event are limited, and KPRF aims to offer a balanced mix of vendor types to enhance the overall event experience. Where duplicate vendor offers arise, spaces will be allocated on a first‑come, first‑served basis. Once capacity is reached, a waiting list may be implemented, and vendors may be contacted should a space become available.
    • Food and drinks vendors - There may be more than one van or stand selling food or refreshments. Please check with KPRF in advance of the day if this will affect which stock you bring with you. 
    • Each vendor will be required to display traders business name and address during the event.
    • Food and drink in which is pre packaged must have full ingredients listed on the product with allergens highlighted as insructed by the Food Safety Act.

     

    Insurance and Certification Requirements 

    All vendors are required to provide the following documentation:

    • All vendors will be required to provide proof of Public Liability Insurance. This must be emailed to the KPRF evant village team on receipt of your confirmation for of your event space. 
    • All food and drink vendors will be required to provide proof of food hygiene certificate.  This must be emailed to the KPRF event village team on receipt of your confirmation for of your event space.

     

    Setup, Equipment and Park Access 

    • Vendors must supply their own gazebo, table(s) and chairs. Gazebos must be a maximum size of 3m x 3m and be sturdy, hard‑wearing, and in good condition; general garden gazebos will not be accepted. All gazebos must be secured with a minimum of 5kg weights on each leg and appropriate guy ropes. Vendors are fully responsible for their stand and gazebo in all weather conditions. KPRF accepts no liability for any damage to stalls or items for sale.
    • Vendors must be able to build their own gazebo space. Assistance to build your space will not be provided by the event village team due to capacity on the day.
    • All vendors must comply with instructions issued by the KPRF event village team, arrive on site at their allocated time, and seek permission before leaving the event site. Event village trading will commence from 9.00am.
    • Due to health and safety measures within the park vendors will be given a load in time and load out time. The event team will allocate you a specific time prior to the event.  Please ensure you follow the instructions provided.
    • If vehicle access is required to the park please advise the event village team on application.  Please note cars / vans and any non trading vehicles will not be permitted to stay within park grounds and will be required to park in the car park (subject to availability).
    • The park does not have access to electricity, running water or wifi. Please ensure you bring your own accessible equipment on the day.  
    • Each vendor will be allocated a specific trading space prior to the event. For operational and health and safety reasons, trading locations cannot be altered on the day.

     

    Environmental Responsibility and Waste Management

    • Traders are strongly recommended to minimise the use of single-use plastics, including plastic packaging, cutlery,  cups and straws, and to use reusable, recyclable or compostable alternatives wherever possible
    • Bin bags will be provided for general waste; however, each trader is responsible for keeping their own trading area clean and tidy throughout the event. Traders must ensure  that all rubbish generated by their stall is securely bagged and removed from the site at the end of the day. Waste should not be left on site or placed in public park bins.
