Correctional Facility Conduct & Safety Policy (CYOC & EYOC)
Purpose
To ensure the safe, professional, and consistent delivery of Pivot Society programs within correctional facilities, including Gloves Not Guns (GNG), mentorship sessions, and educational workshops.
All individuals representing Pivot Society—coaches, speakers, facilitators, and volunteers—must adhere to the following standards, ensuring respect, integrity, and compliance with Correctional Services Canada and facility-specific regulations.
1. Punctuality & Attendance
Arrive at least 10 minutes early for all scheduled sessions.
Late arrivals disrupt security and programming; lateness over 10 minutes without notice will be documented.
Three (3) late or missed sessions without valid reason may result in removal from facility programming.
If unable to attend, notify TJ Sheehan (Executive Director) at 403-808-3429 immediately.
2. Eligibility & Background Requirements
Must have no criminal charges or convictions within the past five (5) years.
If prior charges exist, they must be disclosed confidentially to the Executive Director for review.
Criminal Record Check (CRC) and Vulnerable Sector Check are required before facility access is granted.
3. Security & Contraband Policy
To maintain compliance with correctional safety standards:
No outside food, beverages, gum, or cans. Water will be available inside if required.
No valuables (wallets, keys, large bags) beyond the checkpoint — leave them in your vehicle.
No electronic devices (cell phones, smart watches, earbuds, etc.) are permitted.
Lockers may be provided for approved personal items.
All individuals must sign in and out at every visit.
Never exchange, gift, or accept items (e.g., books, gloves, paperwork) from any youth without prior authorization from Pivot and facility staff.
4. Dress Code & Presentation
Maintain a professional and neutral appearance:
Prohibited: Tank tops, crop tops, ripped jeans, tight/revealing clothes, hats, bandanas, sunglasses.
Avoid large brand logos, gang-related, or offensive imagery.
Preferred attire: Modest, neutral, professional clothing suitable for a correctional setting.
5. Conduct & Confidentiality
Treat all youth, staff, and volunteers with respect, empathy, and professionalism.
Maintain strict confidentiality; do not discuss youth histories or personal details externally.
Do not share personal contact information (e.g., phone, email, social media) with participants.
No promises regarding early release, referrals, or employment without prior Pivot approval.
Report all incidents, boundaries crossed, or concerns immediately to TJ Sheehan or facility staff.
6. Non-Compete & Non-Disclosure Agreement
All individuals agree not to replicate, reproduce, or deliver Pivot Society programs, materials, or methods (including Gloves Not Guns, Streetwise Kids, New Beginnings Initiative) independently or under another organization.
Confidential information, including participant details, methods, training materials, and discussions, must not be shared or used externally.
No outside offerings (e.g., gym memberships, business opportunities, sponsorships, gifts, or favors) are to be extended to participants.
No personal or romantic relationships may be developed with any current or former participant.
Individuals must disclose any prior personal relationships or familiarity with participants before engagement in programming.
Failure to comply may result in immediate termination of volunteer or facilitator status.
7. Health, Safety & Emergencies
Follow all facility directions and safety codes at all times.
In emergencies or lockdowns, remain calm and await staff instruction.
Report contraband, self-harm indicators, or behavioral concerns immediately to facility staff.

Acknowledgment
All staff, volunteers, coaches, and speakers must read, understand, and agree to this policy before entering any correctional facility. A signed acknowledgment will be kept on file by Pivot Empowerment, Education & Recovery Society.
