Vehicle Use and Towing Procedure - Rowing SA Volunteers and Staff
1. Purpose
This procedure outlines when and how volunteers and staff may use hire, loan, Rowing SA–owned or private vehicles to tow boats, transport equipment, tow Rowing SA trailers or undertake official Rowing SA activities.
The purpose of this procedure is to:
- Ensure the safety of drivers and others
- Meet all legal and Work Health & Safety obligations
- Comply with insurance requirements
- Protect Rowing SA and its volunteers from financial liability
2. Who This Applies To
This procedure applies to:
Any vehicle used to:
- Tow boats or trailers
- Transport equipment
- Attend regattas, events or meetings
- Undertake official Rowing SA business
This includes:
- Rowing SA–owned vehicles
- Loan vehicles
- Hire vehicles
- Private vehicles used for Rowing SA activities
3. Approval Process (Before Driving)
Before a person may drive for Rowing SA, the following must occur:
Driver’s licence details must be provided to Rowing SA prior to first use each season.
This only needs to be completed once per season unless licence details change.
4. Insurance Arrangements
Loan Vehicle
Rowing SA has access to a loan vehicle that is insured under a loan-vehicle policy with:
- A $5,000 excess for damage claims.
- Rowing SA may elect to reduce this excess to $0 for an additional fee.
This additional cover must be arranged in advance.
Rowing SA will cover the cost of reducing the excess. The $0 excess option will apply for all vehicle use other than routine boat launching activities, unless otherwise agreed.
Rowing SA–Owned Vehicle
Rowing SA owns a vehicle that is insured under a comprehensive motor vehicle policy with:
- A $500 excess
- Drivers are expected to operate the vehicle responsibly and report any incidents immediately.
Use of Private Vehicles
If a volunteer or staff member uses their own vehicle for Rowing SA purposes:
- Licence details must still be provided and recorded.
The vehicle owner must ensure:
- Registration is current.
- Comprehensive insurance is in place.
- Rowing SA does not automatically cover damage to private vehicles unless otherwise agreed.
During Use
Drivers must:
- Comply with all road laws.
- Ensure trailers are correctly hitched and secured.
- Confirm towing capacity is suitable for the load.
- Not drive under the influence of alcohol or drugs.
- Immediately report any incident, accident or damage.
