    • Only Members who are duly registered and have paid all membership fees due on or before 16 October 2025 are entitled to vote at the AGM, either in person or by proxy.

    • As a Member you may appoint a proxy to exercise all or any of your rights to attend, speak, and vote at the AGM. A proxy must also be a Member of the Society.

    • You may appoint the Chair of the meeting or another Member as your proxy. If you do not name a proxy, the Chair will be deemed to act on your behalf.

    • Appointment of a proxy does not preclude you from attending and voting in person. If you attend the meeting, your proxy appointment will be automatically revoked.

    • If you appoint someone other than the Chair, you are responsible for ensuring they attend the meeting and understand your voting instructions.

    • To direct your proxy how to vote, indicate your vote above. If no indication is given, your proxy may vote or abstain at their discretion.
    • Completed forms must be received no later than 18:00 on Saturday 1 November 2025.

    • If signing under a power of attorney or other authority, a certified copy must be included with your email submission.
