This form serves as your formal application as a vendor at our event. Please read the following details below:
Vendor Terms & Conditions:
1. Agreement and Acceptance
1.1. The Organizer: Boyd Cru Wines and Savage Mill
1.2. The Event: "Small Business Saturday: The Holiday Market Hop."
1.3. The Vendor: Refers to the individual or business whose application has been accepted by The Organizer.
1.4. Agreement: Submission of this application constitutes the Vendor’s full and unconditional acceptance of these Terms and Conditions. The Organizer reserves the right to reject any application for any reason.
2. Event Details
2.1. Date: Small Business Saturday, 11/29
2.2. Operating Hours: Vendors must be set up and operational from 12PM to 5PM. Early packing or closure is strictly prohibited. Vendors are encouraged to clean as they go.
2.3. Location: Savage Mill, New Weave Building, 8600 Foundry St., Savage MD 20763
3. Application, Fees, and Selection
3.1. Application Fee: If selected, a non-refundable vendor fee of $80 or $100 (depending on what area you have chosen) is required to be paid before the event date. Once application is approved vendor will have 24 hours to submit payment or vendor spot will be offered to another applicant.
3.2. Acceptance: Vendors will be notified of acceptance by 10/31.
3.3. Selection Criteria: Selection is based on product originality, quality, relevance to a holiday market, and maintaining a diverse vendor mix. The Organizer’s decision is final.
4. Cancellation and Refunds
4.1. Vendor Withdrawal: If a Vendor cancels their participation after being selected, their application fee will not be refunded.
4.2. Event Cancellation: In the event the Market Hop is cancelled by The Organizer due to circumstances beyond its control (e.g., severe weather, public health order), The Organizer will refund the application fee paid by the vendor.
5. Vendor Responsibilities and Operations
5.1. Set-up and Break-down: Vendors are responsible for setting up their own display within the allocated time (Setup starts at 8AM. Must be set up by no later than 9:45AM promptly. Doors open at 10AM, breakdown is 6PM-7PM). All refuse must be removed by the Vendor.
5.2. Permits and Insurance: The Vendor is solely responsible for obtaining any necessary local, state, or federal licenses, permits, and insurance (including General Liability insurance) required to operate their business and participate in the Event.
5.3. Conduct: Vendors must maintain a professional and courteous demeanor toward staff, other vendors, and customers at all times.
6. Product and Display Rules
6.1. Approved Products: Only products listed in the Vendor’s application and approved by The Organizer may be sold. The Organizer reserves the right to ask the Vendor to remove unapproved or inappropriate merchandise.
6.2 Vendor Sapce: Designated space for each booth will be marked off on the floor. We ask that each vendor’s booth set up stay within those marked spaces. There may also be craft wood tables available to use if interested please notate this on your application.
6.3. Prohibited Items: Sale or display of illegal items, dangerous items, or items promoting hate or discrimination is strictly forbidden.
6.4. Subletting: Vendors may not transfer, assign, or sublet any portion of their assigned space.
6.5. Music/Sound: Use of individual sound systems is prohibited unless pre-approved by The Organizer to ensure a consistent, pleasant atmosphere for all participants.
7. Liability and Indemnification
7.1. Indemnity: The Vendor agrees to indemnify and hold harmless The Organizer, its agents, and affiliates from any claim, damage, loss, liability, cost, or expense incurred as a result of the Vendor's participation in the Event. 7.2. The Organizer's Liability: The Organizer is not responsible for any damage, loss, or theft of the Vendor’s property or merchandise before, during, or after the Event. Vendors participate at their own risk.
8. Force Majeure
8.1. The Organizer shall not be held liable for failure to perform any obligation due to circumstances beyond its reasonable control, including but not limited to acts of God, war, pandemic, fire, flood, or government actions.
