    Students who wish to register after November 9th, may still do so by completing this form by November 16th, 2025 @ 11:59pm, but will be asked to pay a late registration fee of $25 to secure their spot.

    *Facilitators, Volunteers, Staff, and other guests will be able to submit this form past the registration deadline*

    Registration Fees: To maintain accountability, we are asking for a modest $5.00 per registration to attend. For those wishing to support PAAC and our mission, we'll also have an optional cash donation at the door.

  • Medical - Emergency Consent

    If my child becomes ill or incapacitated, their parents/guardians/emergency contacts will be notified immediately. If none of the emergency contacts mentioned above can be reached, I grant PAAC, its board of governors, directors and staff, PAAC’s contractors and agents, full authority to take whatever action they feel is warranted under the circumstances in regard to my child's health and safety, including securing medical treatment at my expense and transporting my child home. I further release PAAC and its board of governors, directors, staff, and members, their heirs or their estates, any of PAAC’s contractors and agents, domestic and overseas, my child's school, Hawaii State Department of Education, and any person accompanying the group from any liability for such decisions or actions which may be taken on my child's behalf. PAAC will not be held responsible for the quality and the timeliness of any such medical care received, nor for any expenses incurred.

  • Release, Policies, and Indemnity Agreement

    This agreement is made between the Pacific & Asian Affairs Council (hereinafter referred to as "PAAC") and the undersigned student (hereinafter referred to as "Student") and Student's parent(s)/guardian(s):

    STUDENT AND STUDENT'S PARENT(S)/GUARDIAN(S) UNDERSTAND AND AGREE THAT:

    1. When Students register for a PAAC event (be it a workshop, summit, etc.) the choice of transportation (when provided), schedule of activities and functions, choice of accommodations and meals are under the direction of PAAC staff;
    2. When Students travel to and from program events on their own, unless PAAC makes bus or airline arrangements on behalf of Student, Student and their parents/guardians are responsible for Student’s transportation to Student’s home airport or bus meeting point;
    3. If your Student is attending a PAAC event that requires board and lodging, PAAC staff will determine all boarding and lodging arrangements for Students during their stay and reserves the right to modify or change such arrangements whenever they consider it to be in the best interests of Students and PAAC’s program;
    4. PAAC staff will make use, at their discretion, of public and private transportation for all instructional and extracurricular travel and will communicate this directly with Students and parents/guardians;
    5. PAAC does not represent or act as an agent for, and cannot control the acts or omissions of, boarding and lodging providers, transportation carriers, tour organizers or other providers of food, goods or services, and PAAC is not responsible for matters that are beyond its control;
    6. The use of any drug, including cigarettes and alcohol, violates PAAC policy, and is a serious offense, which may involve the early termination of Student’s participation in the program, and the early return to home at Student’s expense;
    7. PAAC staff shall have the right to (i) establish reasonable rules, standards of conduct and instructions for dress and behavior for Students (which shall include PAAC policies governing Student conduct), (ii) enforce such rules, standards of conduct and instructions, and (iii) terminate Student’s participation in the program due to any violation of such rules, standards of conduct and instructions;
    8. PAAC staff may request to have sent home, at any time during the term of the program, any Student whose conduct warrants such action or whose state of health, as determined by medical opinion, renders continued participation inadvisable. It is agreed that (i) any additional expense arising from an earlier return to home will be borne by Student; and (ii) there shall be no refund of any sums that may have been paid by Student;
    9. PAAC does not assume responsibility for the loss or theft of any personal property of Student;
    10. Student is responsible for exercising caution and common sense at all times to avoid situations that could lead to injury to Student or members of the group;
    11. Student understands that Student is responsible for any damage Student may cause to property, and Student agrees to pay for any such damage and not hold PAAC, its board of governors, directors, staff and members, PAAC’s agents or contractors, Student’s school, and any person accompanying the group responsible;
    12. Student will complete follow-up paperwork such as an evaluation form;
    13. Any part of Student’s journals, blogs, and/or evaluation may be used in future PAAC publications and promotional materials (anonymously, if requested by Student); Student will complete follow-up paperwork such as an evaluation form;
    14. Student certifies that Student is in good physical and mental health, has no special or medical or physical conditions that have not been disclosed to PAAC staff, nor any special needs or requirements, which would impede participation in the program, nor be of any harm or inconvenience to Student or the other participants;
    15. If required by PAAC staff, participation in the program is subject to medical clearance by a licensed physician;
    16. The laws of the State of Hawaiʻi shall govern the interpretation of the terms of this agreement. If any portion of this agreement is held to be invalid, the remainder of the agreement shall remain in full force and effect.

    RELEASE, HOLD HARMLESS and INDEMNITY
    In consideration of the benefits derived from the program, Student voluntarily releases Studentʻs School, The Hawaiʻi Department of Education, PAAC, its board of governors, directors, officers, employees, agents, representatives and chaperones, and the PAAC staff, from any and all claims, liability, causes of action, costs and expenses (including, but not limited to, claims for loss or damage to Student’s property and for illness, injury or other risks), which may arise out of or that are incident to Student’s participation in the program. Student further agrees to indemnify, defend and hold harmless PAAC, its board of governors, directors, officers, employees, agents, representatives and chaperones, and the PAAC staff from and against any and all claims, liability, causes of action, costs and expenses, of whatsoever nature, which may arise out of or that are incident to the program.

  • Student Publication/Audio/Video Release

    The undersigned student (hereinafter referred to as "Student") and Student's parent(s)/guardian(s) hereby give permission to the Pacific & Asian Affairs Council (PAAC) to create or use digital/electronic or print media of Students’ name, voice, likeness or images of Student work, video and audio recordings, photographs, and images - for the purpose of publication on PAAC’s websites, social media accounts, or other digital/electronic media, or in print.

    • I understand that there will be no compensation, financial or otherwise, by PAAC for its use of these media, either for initial or subsequent transmission or playback.
    • I understand that granting permission includes a potential risk of loss of privacy. I hereby release PAAC from any liability resulting from or connected with the creation or use of these media.
    • I understand that permission is granted for the life of the media. I release all interest in the media for which I am giving permission.
    • I understand that I may withdraw my permission at any time without any negative consequences by submitting a written statement PAAC. I understand that withdrawing consent will not affect any publication or work using these media which has already been produced.

    By signing my name below, I am certifying that I, the parent/guardian, have legal custody of Student, have read and understand the above "Medical Emergency Consent," "Release, Policies, and Indemnity Agreement," "Student Publication/Audio/Video Release Form" information and terms, "Student Behavior Code", and accept all terms and conditions stated herein, unless the "No" box is checked for the "Student Publication/Audio/Video Release Form", and hereby acknowledge that they form my agreement with PAAC.   • GVS is proudly sponsored by Southwest Airlines! Three (3) members from each registered PAAC Club will receive free round-trip flights to and from Oʻahu on Southwest to attend. Note: PAAC will do its best to arrange flights that arrive/depart promptly before/after GVS starts/ends to minimize airport waiting time, though final schedules will depend on flight availability and timing.

    Before continuing to the next section, sign up for a Rapid Rewards account and copy your membership number. You’ll need it later to earn mileage points for your flight.

    Important:

    If more than three (3) students from the same club register, PAAC will contact the club advisor to determine who receives the sponsored flights. Please note that flights are not guaranteed based on registration alone, but PAAC will work closely with advisors to ensure fairness in the selection process.

  • As a reminder, this year's theme, Pacific AI: Navigating Culture & Climate, explores how artificial intelligence is transforming economies, societies, and environments across the Pacific region. Facilitators can expect to be assigned to a specific stakeholder group being represented at our summit, with most stakeholder groups being assigned 2 facilitators each. This year's stakeholders will be:

    • Fiji (host nation)
    • Cook Islands
    • Federated States of Micronesia
    • Palau
    • Papua New Guinea
    • Samoa
    • East Pacific Advanced Technologies (fictional NGO)
    • Pacific Indigenous Climate Alliance (fictional NGO)
    • Pacific Digital Coalition (fictional NGO)
    • OceanLink AI (fictional Corporate Delegation)

    If you feel particularly passionate or well-aligned with the culture/focus of any of the above stakeholders, please note this in the comments section at the end of this page, but please know that this is not a guarantee of your assignment.

  • Please also make note of the following bullet points for arrival and departure on the day of the event:

    • Please arrive by 9:30AM (no later than 9:45AM) to check-in at our check-in table before our program begins at 10:00AM. If you are running late, please let PAAC Academic & Community Programs Director, Max Malmud, know ASAP via text or phone call.
    • Facilitators are expected to stay throughout the entire event until its end at 4:30PM
    • Parking on campus is free on weekends and Hawai'i State Holidays in permit-only and visitor lots. There is a lot in Parking Zone 13 directly in front of UH Campus Center for you to park. Please plan enough time to find parking in a different lot if all stalls are full in front of Campus Center.   • We will be hosting a GVS Facilitator Training & Info Session via Zoom on Monday, November 24th, 2025, from 5:00 PM to 6:30 PM HST.

    Attendees of this session will...

    • ...participate in a run-through of the GVS curriculum to be versed in the topics students will be focusing on
    • ....review the expectations and duties of a facilitator throughout the event
    • ...have an opportunity to ask questions and meet other facilitators

Teacher further agrees to indemnify, defend and hold harmless PAAC, its board of governors, directors, officers, employees, agents, representatives and chaperones, and the PAAC staff from and against any and all claims, liability, causes of action, costs and expenses, of whatsoever nature, which may arise out of or that are incident to the program.
