Administrative Assistant Position Overview

Hopkins Sand & Gravel is seeking a reliable and organized Administrative Assistant to support daily office operations in a fast-paced environment while delivering excellent customer service. This role plays an important part in keeping the office running efficiently, assisting customers, and supporting accounting and administrative functions.
The Administrative Assistant is often the first point of contact for our customers, both in person and over the phone, so professionalism, friendliness, and strong communication skills are essential.

Schedule
· Approximately 36–40 hours per week, Monday – Friday + 2 Saturdays per month
· Day off during the week, if working Saturday
· Hopkins Open Hours Monday - Friday: 7am – 5pm, Saturday 7am - Noon
· Full-time typically April through November (weather dependent)
· Seasonal layoff generally December through March, with eligibility for Wisconsin unemployment during this period
Key Skills & Responsibilities
Skills and responsibilities include, but are not limited to:
· Serve as the first point of contact by answering incoming phone calls and greeting customers in person, providing professional, friendly, and helpful service
· Develop and maintain strong knowledge of company products and services to confidently assist customers and provide accurate recommendations
· Prepare accurate quotes and estimates for products and services, using basic math, measurements, and pricing calculations
· Process customer purchases and payments, ensuring accuracy and a positive customer experience
· Prepare and send estimates, invoices, and account statements in a timely and organized manner
· Assist with accounts receivable and accounts payable tasks
· Provide general administrative support to the office and operations team
· Demonstrate strong attention to detail in all tasks, especially estimating, order processing, and invoicing
· Effectively manage multiple tasks at once in a fast-paced environment while staying organized and dependable
· Communicate clearly and professionally with customers and team members, maintaining a customer-first mindset
Pay
Paid bi-weekly
$18 - $24, based on experience
Benefits
Eligible after 60 days of employment, beginning on the first of the following month.
