These Terms and Conditions govern all Membership Plans offered by G&T Aesthetics Ltd (“we”, “our”, or “the Company”). By enrolling in a Membership Plan, the individual (“you” or “the Member”) agrees to be bound by these terms.
1. Contract Term
1.1 Each Membership Plan is subject to a minimum 12-month term, commencing on the date of your first Direct Debit payment.
1.2 Memberships will automatically renew for a further 12-month term unless cancelled in accordance with Clause 12.
1.3 Your membership is personal to you and non-transferable.
2. Payment Handling
2.1 Membership payments are collected monthly in advance via GoCardless Direct Debit.
2.2 In the event of a failed payment, you will be notified in writing and must reinstate your Direct Debit within 48 hours.
2.3 Failure to reinstate within this period will result in the issue of an invoice for the total balance of all treatments received to date, calculated at the current standard treatment rates listed on our treatment menu.
2.4 Invoices must be settled within 72 hours of issue.
2.5 Should the invoice remain unpaid, G&T Aesthetics Ltd reserves the right to initiate debt recovery proceedings via Money Claim Online (MCOL) and/or pursue a County Court Judgment (CCJ) for the outstanding balance.
2.6 You will be responsible for any additional costs, legal fees, administrative expenses, or professional charges incurred during the recovery process.
3. Missed Appointments and No-Shows
3.1 Missed sessions may be rebooked within a 30-day grace period, provided all membership payments are up to date.
3.2 The grace period may extend beyond the membership expiry date only if payments have been maintained in full throughout the term.
3.3 If your Direct Debit is cancelled mid-term, all remaining treatments will be suspended until your account is brought up to date.
3.4 Where debts are escalated to recovery or MCOL, G&T Aesthetics Ltd reserves the right to refuse further treatment or services, even if the outstanding amount is later recovered.
3.5 You are entitled to one appointment rollover per quarter.
3.6 It is your responsibility to attend scheduled appointments. G&T Aesthetics Ltd will not be liable for treatment delays, contraindications, or results affected by missed or delayed sessions.
3.7 If overlapping downtime occurs due to rescheduling, a session may need to be forfeited for safety reasons.
3.8 In the event we are unable to provide a service due to practitioner illness or unforeseen circumstances, we will make reasonable efforts to reschedule, extending your grace period where necessary.
4. Treatment Substitution and Flexibility
4.1 Each Membership Plan details the specific treatments and options available to you.
4.2 You may adapt or combine packages or upgrade to a higher membership tier at any time during your term.
4.3 Upgrades take effect from your next scheduled payment date, with the Direct Debit adjusted accordingly.
4.4 A new membership agreement will be generated and must be signed by both you and G&T Aesthetics Ltd before the upgrade takes effect.
4.5 A minimum of two weeks’ notice is required for any membership amendments.
4.6 Downgrades are not permitted during the term unless expressly approved in writing. Requests will be reviewed on a case-by-case basis and are not guaranteed.
4.7 G&T Aesthetics Ltd reserves the right to amend treatment inclusions, prices, or package structures with two months’ written notice.
4.8 If you do not agree with such changes, you may amend or cancel your membership without penalty during the notice period.
5. Medical Eligibility
5.1 All treatments are subject to medical suitability and practitioner assessment.
5.2 Membership does not guarantee access to any specific treatment.
5.3 If deemed medically unsuitable for a particular treatment, an appropriate alternative will be recommended where possible.
6. Pausing Memberships
6.1 Memberships may be paused temporarily for the following reasons:
Pregnancy
Post-operative recovery
Serious illness or medical treatment
Extended travel (with supporting evidence)
6.2 All pauses must be requested in writing and supported by evidence where applicable.
6.3 Approved pauses will not exceed three consecutive months, unless otherwise agreed in writing by G&T Aesthetics Ltd.
7. Refunds and Cooling-Off Period
7.1 Membership fees are non-refundable, except where required by law or in exceptional circumstances such as medical contraindication.
7.2 A 14-day statutory cooling-off period applies from the date of the first payment.
7.3 If you choose to undergo treatment within the cooling-off period, you agree to waive your right to cancel under the Consumer Contracts Regulations 2013.
7.4 If you later choose to cancel during the cooling-off period after receiving a treatment, you must pay in full for all treatments received at the current standard rate.
8. Member-Initiated Cancellation
8.1 You may cancel your membership:
a) At the end of the initial 12-month term, by providing 30 days’ written notice prior to renewal; or
b) During the term, in cases of verified medical contraindication, serious illness, pregnancy, or relocation beyond a 60-mile radius from the clinic.
8.2 All cancellations must be submitted in writing with supporting documentation where relevant.
8.3 Upon approval, termination will take effect at the end of the current billing cycle.
8.4 If you have received treatments exceeding the value of payments made to date, the outstanding balance will become immediately payable at standard menu rates.
8.5 Refunds (if applicable) will be calculated pro rata for unused services. No refunds will be issued for partial months or missed sessions.
9. Early Termination by G&T Aesthetics Ltd
9.1 We reserve the right to terminate your membership immediately if:
a) You fail to make payment or repeatedly default on payments;
b) You breach these Terms and Conditions;
c) You behave abusively, aggressively, or inappropriately towards staff or other clients;
d) You are medically unsuitable to continue with one or more treatments under your membership plan, and no suitable alternatives are available within your current package.
Where clinically appropriate, G&T Aesthetics Ltd may offer alternative treatments outside your current package at an additional cost, while ensuring you continue to receive the same applicable member discount on those alternatives.
You may refuse such higher-priced alternatives and elect to terminate your membership without penalty, in which case any outstanding balance for services already received will be calculated and payable in accordance with Clause 8.4.
9.2 Upon termination, all remaining treatments and membership benefits will be forfeited.
9.3 Where termination results from non-payment or breach, G&T Aesthetics Ltd reserves the right to recover all outstanding balances and associated recovery costs.
10. Company-Initiated Cancellation or Amendment
10.1 G&T Aesthetics Ltd may cancel or amend membership terms, pricing, or inclusions with a minimum of two months’ written notice.
10.2 Members who do not agree with the amendments may cancel their membership without penalty during the notice period.
10.3 Should G&T Aesthetics Ltd permanently cease trading, all memberships will automatically terminate, and no further payments will be collected.
11. Cooling-Off Period (Reaffirmation)
11.1 A 14-day cooling-off period applies to all new memberships from the date of the first payment.
11.2 Cancellation requests during this period must be submitted in writing.
11.3 If treatment has been received within the cooling-off period, payment for that treatment at the standard menu rate will be required before cancellation takes effect.
12. Renewal
12.1 Memberships automatically renew for a further 12 months unless written notice of cancellation is received at least 30 days before the renewal date.
12.2 Renewal pricing and benefits may be subject to adjustment. You will be notified of any changes at least two months before renewal.
12.3 Continuing to make payments beyond the renewal date will constitute acceptance of the new terms and pricing.
13. Effect of Cancellation or Termination
13.1 Upon cancellation or termination, all membership discounts, rates, and benefits will cease immediately.
13.2 Any unused sessions or credits must be used within 30 days of termination, after which they will expire automatically.
13.3 All outstanding balances must be cleared prior to rebooking any future treatments or consultations.
14. Liability
14.1 All treatments are provided by qualified practitioners acting within their scope of professional practice.
14.2 While every reasonable effort is made to achieve the best possible results, treatment outcomes cannot be guaranteed.
14.3 G&T Aesthetics Ltd shall not be liable for:
a) Any failure by the Member to follow pre- or post-treatment advice or after-care instructions;
b) Adverse reactions or complications arising from undisclosed medical conditions, allergies, or medication use;
c) Loss of earnings, profit, opportunity, or indirect or consequential damages of any kind.
14.4 Nothing in these Terms limits or excludes liability for death or personal injury resulting from negligence, fraud, or any matter for which exclusion would be unlawful under UK law.
14.5 Our total liability in connection with any claim under this Agreement shall not exceed the total amount paid by the Member under the membership during the 12 months preceding the claim.
15. Client Responsibilities and Disclosure
15.1 Members must provide complete and accurate medical, lifestyle, and medication information prior to each treatment.
15.2 You must immediately notify G&T Aesthetics Ltd of any changes to your health status that could affect treatment suitability.
15.3 Failure to disclose relevant information may result in treatment refusal or termination of membership without refund.
16. Data Protection & Confidentiality
16.1 G&T Aesthetics Ltd is registered with the Information Commissioner’s Office (ICO) and complies with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
16.2 We collect, store, and process your personal and medical data solely for the purpose of providing safe and effective aesthetic treatments and membership administration.
16.3 Your data will be stored securely on encrypted systems and will not be shared with third parties except where:
a) Required by law or court order;
b) Shared with medical professionals for continuity of care (with your consent); or
c) Necessary to administer payments or debt recovery.
16.4 Members have the right to access, correct, or request deletion of their personal data at any time by contacting gtaestheticsstamford@gmail.com
16.5 All staff are bound by a duty of confidentiality. Images or testimonials will only be used for marketing with your explicit written consent.
17. Complaints & Dispute Resolution
17.1 G&T Aesthetics Ltd aims to resolve all concerns promptly and professionally.
17.2 Complaints should be submitted in writing to the Clinic Director within 14 days of the event.
17.3 We will acknowledge receipt within 5 working days and provide a full written response within 20 working days wherever possible.
17.4 If a complaint cannot be resolved internally, either party may refer the matter to an independent mediator or appropriate professional standards body before pursuing legal action.
17.5 This Agreement and any disputes arising from it shall be governed by and construed in accordance with the laws of England and Wales, and the parties submit to the exclusive jurisdiction of the English courts.
18. Force Majeure
18.1 G&T Aesthetics Ltd shall not be held responsible for any delay or failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to acts of God, government restrictions, epidemics, or industrial action.
18.2 Where a force-majeure event continues for more than 60 days, either party may terminate the membership without penalty.
This Membership Agreement is between G&T Aesthetics Ltd ("the Company") and the undersigned Member ("you" or "the Client"). It details the rights and obligations of both parties, as well as the Company's framework for confidentiality, legal compliance, and dispute resolution.
