    • RESERVATION INFORMATION (Please Read in Full) 
    • METAL CLEATS

      1. Metal cleats are prohibited on Hyland Hills fields; a tennis/turf shoe is recommended.
      2. Damage to fields due to metal cleats will be billed to the permit holder at the rate of $500 per individual wearing metal cleats. It is highly advised that all teams participating in the permit holder’s tournament, league, game or practice be made aware of the No Metal Cleat policy.

      RESTROOMS

      1. Ball field restroom access is available seasonally from April through October. Outside of this season or for locations without restrooms, one (1) Porta-potty will be provided by Hyland Hills as part of the rental. If additional Porta-potties are needed, it is the permit holder’s responsibility to request these by contacting the Sports Coordinator to confirm availability.
      2. For rentals where 200 or more people are expected to attend (including staff, players, and spectators), we require the permit holder to provide the porta-potties.
      3. The number of units required for these events is determined by the standards set by the Portable Sanitation Association and followed by the vendor we contract with. For more details, please click the link below: https://copotties.com/wp-content/uploads/2019/10/Special-Event-Chart.pdf
      4. Permit holders are expected to help keep the restrooms/porta-potties clean/neat.
      5. Restrooms will only be unlocked for full day tournament rentals, April – October.

      TRASH

      1. Fields, dugouts, bleachers, parking lots, concourses and restroom facilities must be left in a clean and orderly condition.
      2. Throughout the tournament, league, game or practice permit holder/host will be responsible for cleaning dug outs and the bleacher area of each ball field. Failure to comply could result in a clean-up fee being charged. Dumpsters are provided at all locations for permit holder use. 
      3. Permit holders are expected to assist with taking full trash liners to the dumpsters as needed and put new trash liners in to assist with the cleanliness of the facility.

      CONCESSIONS

      1. Concession stands operated by Hyland Hills may be available, at the District’s discretion, at the following fields: Camenisch Park Sports Complex, Waddell Park, and Carroll Butts Park.
      2. Operation of concessions by permit holder is prohibited without written consent from the Hyland Hills Parks and Recreation District. Vendor fees apply. 
      3. Sunflower seeds and chewing gum are strictly prohibited. If sunflower seed shells are found on the ground, a cleaning fee will be applied.

      INCLEMENT WEATHER POLICY

      1. Hyland Hills reserves the right to cancel or delay any event due to weather conditions or field conditions impacted by weather. 
      2. Hyland Hills’ decision to cancel due to inclement weather will be refunded in full.

      BALL FIELD GENERAL RULES/SECURITY DEPOSIT/CANCELLATIONS

      1. Field Facility Reservation Applications must be submitted within the application period, requests received after this period may be considered based on availability.
      2. Once the requested dates are officially approved, a $100/$50 deposit (per date, per facility based on type of reservation) will be required to hold each date and facility for your organization. This deposit is non-refundable and will be applied toward the total balance due. Failure to comply with facility rules or regulations may result in additional charges or loss of future rental privileges.
      3. Cancellation requests must be made no later than 30 days prior to the scheduled rental date. Failure to do so will result in forfeiture of the deposit and 50% of the total payment for that rental date. If cancellation notice is provided at least 30 days in advance, only the non-refundable deposit will be retained.
      4. User groups that repeatedly cancel without a valid reason (e.g., weather) may be required to prepay for all future rentals, which will be non-refundable.
      5. User groups are responsible for full payment on reserved fields within 30 days of the rental. If payment is not received the rental will be canceled.
      6. If changes are made after the 30-day window, additional fees may be applied.
      7. The permit holder is responsible for the condition of the areas used. Should any damage occur during the rental, the permit holder will be charged for the actual cost of the repair or replacement related to the damage.
      8. Permit must be printed and displayed for the duration of the reservation.
      9. ALCOHOL/CONTROLLED SUBSTANCES ARE NOT PERMITTED ON ANY HYLAND HILLS FIELDS.
      10. NO SHELLED NUTS, SEEDS, GUM, TOBACCO, OR METAL CLEATS WILL BE PERMITTED AND VIOLATION MAY RESULT IN FINES AND FORFEITED GAMES

      BALL FIELD PRACTICES, GAMES AND TOURNAMENTS (Permit Holder/Host Responsibilities)

      1. The permit holder/host must always have a responsible person onsite to oversee the tournament, league, game or practice and ensure all rules and regulations are followed.
      2. A contact number for the person responsible for the the tournament, league, game or practice must be provided to Hyland Hills no later than seven (7) days before rental.
      3. The permit holder/host must provide a copy of these rules and regulations to all participants.
      4. A finalized schedule must be provided to Hyland Hills no later than five (5) days before rental.
      5. If Hyland Hills determines that the permit holder/host is not enforcing the rules and regulations, such permit holder/host may be barred from renting or hosting future events at any Hyland Hills facility.
      6. Any person or participant that has been banned from Hyland Hills’ facilities, activities, or premises, may not participate in any event held at Hyland Hills’ property, even if it is not a Hyland Hills sport, activity, or event.

      Fence Rentals:
      Portable Fence Fee $150/field (contact staff for info; not available at the Camenisch Park Sports Complex)

    • Insurance 
      1. User must provide (1) general liability insurance (including damage to premises rented) on a primary basis in the amount of $1,000,000/occurrence; and
      2. Provide (2) a Certificate of Insurance (COI) naming Hyland Hills Parks & Recreation District as additionally insured, with an endorsement attached to the certificate.
      3. The Certificate of Insurance “Certificate Holder” section should read:

      4. Once your application has been approved, you must provide proper insurance to the District at least one (1) week prior to the start of your reservation(s) or your reservation(s) may be cancelled.

    • I, the undersigned, in consideration of my/my groups' use of Hyland Hills Parks & Recreation District owned park fields and facilities, and intending to be legally bound for myself, my group, my heirs, executor and administrators, do hereby release and discharge the Hyland Hills Parks & Recreation District and their respective officers, directors, employees, volunteers, partners and contractors, jointly and severally, from any and all liability from personal injury, accident, illness, death, property damage or other occurrence which I or my group may suffer in any manner whatsoever arising out of or resulting from my/my groups' usage of Hyland Hills Parks & Recreation District parks or facilities, and I expressly assume ALL risks of my/my groups use of District parks and facilities, including. without limitation, injury as a result of the acts of omission of the above parties or some defect in or on their property of any of them, whether caused by negligence or otherwise, except for illness and injury resulting directly and solely from gross negligence or willful misconduct on the part of the District or its employees and I agree to indemnify, save, hold harmless and defend each and every of the above parties from any and all loss, damages, expenses, costs, and attorney's fees arising out of or resulting from my/my groups usage of District owned parks and facilities. I certify that I have read and understand this waiver and release. Groups utilizing District parks and facilities may be photographed and such photographs may be used to publicize District programs/classes without compensation and without further permission.
