    At The Villa Health, your health and well-being come first. To ensure that every patient has timely access to care, we ask all patients to follow our scheduling guidelines. Thank you for helping us provide consistent, quality care for all.

    1. Canceling or Rescheduling

    • Please give us at least 48 hours' notice if you need to cancel or reschedule.
    • You may call us anytime, 24/7, at 360-209-4449.
    • If you reach our answering service after hours, your message will count as notification
    • We understand emergencies happen. These will always be reviewed with compassion.

    2. Late Cancellations & Missed Appointments

    To respect everyone's time, a $50 fee may be charged if:

    • You cancel with less than 48 hours' notice
    • You miss an appointment without notice
    • You leave before being seen without informing staff

    Please note, fees are the patient's responsibility and are not covered by insurance.

    3. Attendance Expectations

    • Within any 3-month period, three (3) late cancellations or no-shows may result in:
      • A temporary pause of recurring appointments
      • Re-evaluation before resuming care

    4. If Your Provider Is Running Late

    • Please arrive 10 minutes early for your appointment.
    • If your provider is delayed, we ask that you wait at least 10 minutes.
    • If they have not arrived by then, please notify our front desk before leaving.
    • Leaving without notification may be considered a no-show and subject to fees.

    5. Staying Connected

    We ask all patients to:

    • Keep contact information up to date
    • Respond to appointment reminders
    • Notify us promptly of scheduling challenges
    • Work with staff to find times that fit your needs
