Sponsor Agreement:
By submitting this form, the Sponsor hereby enters into a binding agreement (“Agreement”) with the Conference Organizer (“Organizer”) to participate as a corporate sponsor for the ISITES 2026 Annual Conference, to be held March 11–13, 2026, in Washington, D.C.
1. Sponsorship Commitment and Payment
The Sponsor agrees to the terms, benefits, and obligations associated with the selected sponsorship level and commits to providing the full sponsorship payment no later than February 15, 2026. All payments must be made in U.S. dollars via the method specified by the Organizer.
Sponsorship benefits are contingent upon timely payment and the receipt of all required materials (e.g., logos, artwork, or other deliverables) by the deadlines communicated by the Organizer. The Organizer reserves the right to modify or reassign sponsorship benefits if payment or materials are not received on time.
2. Cancellation and Refund Policy
If the Sponsor wishes to cancel this Agreement, written notice must be provided to the Organizer. Cancellations received on or before January 15, 2026 will be eligible for a 50% refund of the sponsorship fee.
Cancellations received after January 15, 2026 will not be eligible for any refund.
In the unlikely event that the conference is postponed, rescheduled, or canceled due to circumstances beyond the Organizer’s reasonable control (including, but not limited to, acts of God, public health emergencies, labor disputes, or government restrictions), the Organizer will make reasonable efforts to provide alternative sponsorship benefits or credit toward a future ISITES event. Refunds, if any, will be at the Organizer’s sole discretion.
3. Liability and Indemnification
The Organizer shall not be held liable for any loss, damage, or injury to property or persons that may occur during the course of the event, except where caused by the Organizer’s gross negligence or willful misconduct.
The Sponsor agrees to indemnify, defend, and hold harmless the Organizer, its officers, directors, employees, and agents from and against any and all claims, liabilities, damages, and expenses (including reasonable attorney’s fees) arising out of or related to the Sponsor’s participation in the event, use of the Organizer’s trademarks, or any actions of the Sponsor’s employees, contractors, or representatives.
4. Use of Name and Logo
By entering into this Agreement, the Sponsor grants the Organizer a limited, non-exclusive, royalty-free license to use the Sponsor’s name, logo, and related branding materials for promotional purposes associated with the ISITES 2026 Conference, including website listings, printed materials, signage, and digital media.
5. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the State of Maryland, without regard to its conflict of law principles. Any disputes arising under this Agreement shall be subject to the exclusive jurisdiction of the state and federal courts located in Howard County, Maryland.
