ISITES 2027 Sponsorship & Exhibition Terms & Conditions
Sponsor Agreement
By submitting this Sponsorship & Exhibition Booking Form, the Sponsor enters into a legally binding agreement ("Agreement") with the Conference Organiser, being the Organising Committee of ISITES 2027, acting on behalf of the International Society of Innovative Technologies for Endocrine Surgery (ISITES), to participate as a sponsor and/or exhibitor at ISITES 2027, taking place from 17–19 March 2027 at Sheffield City Hall, Sheffield, United Kingdom.
1. Sponsorship Commitment and Payment
The Sponsor agrees to the sponsorship and/or exhibition package selected and to the associated benefits, terms and obligations outlined in the ISITES 2027 Sponsorship Prospectus.
Payment must be made in full by the invoice due date specified by the Conference Organiser, unless otherwise agreed in writing. All payments must be made in Pounds Sterling (£ GBP) using the payment method detailed on the invoice.
Sponsorship and exhibition benefits are subject to receipt of full payment and all required materials, including logos, artwork, advertisements and promotional content, by the deadlines communicated by the Conference Organiser.
The Conference Organiser reserves the right to amend, postpone or withdraw sponsorship benefits where payment or required materials are not received by the specified deadlines.
2. Cancellation and Refund Policy
Should the Sponsor wish to cancel their sponsorship or exhibition package, written notice must be provided to the Conference Organiser.
Cancellations received on or before 15 January 2027 will be eligible for a 50% refund of the sponsorship fee paid.
Cancellations received after 15 January 2027 are not eligible for a refund.
Should ISITES 2027 be postponed, rescheduled or cancelled due to circumstances beyond the reasonable control of the Conference Organiser, including but not limited to force majeure, public health emergencies, government restrictions, industrial action or other unforeseen events, the Conference Organiser will use reasonable endeavours to provide alternative sponsorship benefits or transfer the sponsorship to a future ISITES meeting. Any refund shall be at the sole discretion of the Conference Organiser.
3. Liability
The Conference Organiser shall not be liable for any indirect or consequential loss, damage or expense incurred by the Sponsor arising from participation in ISITES 2027, except where liability cannot be excluded under the laws of England and Wales.
Nothing in this Agreement shall exclude or limit liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
The Sponsor agrees to indemnify and hold harmless the Conference Organiser, its officers, committee members, employees, representatives and agents against any claims, liabilities, losses, damages and reasonable legal costs arising directly from the Sponsor's participation in the conference or the actions of the Sponsor's employees, contractors or representatives.
4. Use of Name and Logo
The Sponsor grants the Conference Organiser a non-exclusive, royalty-free licence to use the Sponsor's name, logo and approved branding materials for promotional purposes relating to ISITES 2027.
This includes, but is not limited to:
- Conference website
- Sponsorship Prospectus
- Conference Programme
- Delegate materials
- Venue signage
- Marketing communications
- Social media
- Printed and digital conference materials
The Conference Organiser agrees to use the Sponsor's branding in accordance with any reasonable brand guidelines supplied by the Sponsor.
5. Data Protection
The Conference Organiser will process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Personal information provided as part of the sponsorship and exhibition process will be used solely for the administration and delivery of ISITES 2027.
6. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of England and Wales.
Any dispute arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of England and Wales.
7. Acceptance
By submitting this Sponsorship & Exhibition Booking Form, the Sponsor confirms that they:
- Have read and understood this Agreement;
- Agree to be bound by its terms and conditions; and
- Confirm that they are authorised to enter into this Agreement on behalf of their organisation.
