    GCA Meeting Space Reservation

    Welcome! Please review the agreement and guidelines before choosing your date(s) of reservation.
  • GCA Conference Room is shown above. Also included in the Meeting Space Reservation is use of the GCA Break Room and Kitchenette Area.

  • GCA Meeting Space Agreement and Guidelines:

    1.  Full-day reservation* (Friday or Saturday, 7 a.m. – 5 p.m.) will be $200/day.  GCA Champion Churches will be partially refunded after verification. 

    2.  Groups are restricted to the conference room, kitchenette, breakroom, patio, and deck areas.  The kitchenette area has a microwave, fridge, sink, and 2 Keurig machines.

    3.  Food and beverages are allowed in the kitchen and breakroom areas. Beverages are permitted in the Conference Room using the provided coasters. Smoking and alcohol are not allowed.

    4.  All equipment, such as tables, chairs, and audio/visual, must be returned to its original location.

    5.  The group is responsible for cleaning rooms and removing all food and trash. GCASBC will provide trash cans and liners. The dumpster is located on the North side of the building.

    6.  All lights must be turned off and doors and gates locked before departure.

    7.  Access codes to the gate padlock and the door will be provided the day before use.

    8. Users must agree to indemnify and hold GCA harmless and provide a Certificate of Liability Insurance naming GCA as the additional insured.

    • Users will have 10 business days after initial confirmation to submit the Certificate of Liability Insurance to GCA (a link will be provided for upload).  After 10 business days, the reservation may be cancelled and the payment returned, minus a $25 processing fee.  Please contact Irena at the address below if you need help with this part.

    9.  Cancellation (accepted by email and phone) and refund policy:

    • Cancellation 48 or more hours ahead of event: full refund minus $25 processing fee
    • Cancellation between 48 and 24 hours ahead of event: 50% refund
    • Cancellation by 4 PM on the day before event: 25% refund
    • Cancellation after 4 PM on the day before the event: 0% refund

    *Please note: This form only allows reservations of up to two days at a time.

  • GCASBC Facility Use Indemnity and Hold Harmless Agreement

  • ...shall be using the Conference Room and facility of the Great Commission Association of Southern Baptist Churches following the signed Conference Room Reservation  Request form.

    I/We understand and agree that neither the GCASBC, nor its trustees, representatives, employees, and agents may be held liable in any way for an occurrence relating to my/our activities in the building and grounds of GCASBC which may result in injury, harm, or other damages to the undersigned or members of our organization and guests, invited or not.  Rather, I/We agree that our Organization alone shall be responsible for any property damage, personal injury, or death that may occur during our use of the premises.

    As part of the consideration for being allowed to use your facility, building and grounds as well as all appliances and fixtures within the boundaries of the fully executed facilities use agreement, I/we release GCASBC, its trustees, employees, agents, or representatives from any claim for damages, injury or death which may occur while participating in my/our Organization’s activities.  I/We further agree to save and hold harmless GCASBC, its trustees, employees, agents, or representatives from any claim arising out of or participation in any form or fashion in my/our Organization’s activities.

    I/We represent that our Organization has general liability insurance with coverage limits of no less than $1,000,000 in effect as of the effective date of the fully executed lease agreement.  I/We agree to name GCASBC as additionally insured on our general liability insurance policy, and shall provide proof of such additional insurance coverage to GCASBC one week before the effective date of use.

    I/We further state that I/We are authorized to sign this agreement, understand the terms herein are contractual and not mere recitals; and that I/We have signed this document of /our own free act and volition.  I/We further state and acknowledge that I/we have fully informed ourselves of the content of this affirmation and release by reading it before I/we signed it.
