  • CLC 2026 Musical Instrument Hire Agreement
Hire Fee: $150 per semester; $300 per school year

  • Terms and Conditions:

The following agreement outlines the terms and conditions for hiring an instrument from Concordia Lutheran College for a non-compulsory program. Please read the conditions carefully and complete the required information.

Once payment has been made and the Hire Agreement has been signed and returned, students may arrange to collect their instrument from the Coordinator of Music Performance.

The following conditions apply to all students using an instrument hired from the College.

-The student must be enrolled in lessons through the College to hire an instrument.

-The student hiring a College instrument is expected to participate in co-curricular ensembles where capable.

-The maximum rental period for a College instrument is one school year, unless special circumstances are approved at the discretion of the Coordinator of Music Performance.

-Parents/guardians must sign the “Musical Instrument Hire Agreement Contract”, as College-owned instruments are hired to both parents/guardians and students. As such, responsibility for the care of the instrument rests with both parties for the duration of the agreement.

-The instrument must only be used by the student to whom it is hired, to avoid accidental damage.

-The instrument must be transported safely in the provided case to and from the College, and stored securely in its case at all times when not in use.

-The instrument must only be stored at the College on days it is required (e.g., lessons, band rehearsals, or performances). It is not to be stored over the weekend, holidays or overnight.

-Instrumental teachers will provide general advice to students regarding instrument care during lessons.

-All instruments and equipment remain the property of Concordia Lutheran College. Any instrument requiring repair must be returned to the Coordinator of Music Performance for appropriate arrangements.

-Any costs for damage, including accidental damage (e.g., damage caused by misuse, dropping, or interference by others), and subsequent repairs will be the responsibility of the parent/guardian, and an invoice will be issued accordingly.

-If the instrument is lost, stolen, or otherwise unaccounted for during the hire period, or not returned at the end of the agreement, the family will be responsible for the full cost of replacement.

-The instrument must be formally returned to the Coordinator of Music Performance once no longer required or at the end of the hire period.

-The instrument will be inspected at the end of the rental period, and it is expected to be returned in good working condition. Repairs for anything beyond reasonable wear and tear will be charged to the hirer.

-It is recommended that parents/guardians ensure hired instruments are adequately insured, as any loss or damage—whether accidental or through neglect—is the responsibility of the hirer. This may typically be covered under home and contents insurance.

-If this agreement is terminated early due to discontinuation of music participation, no refund is guaranteed.
