This is an outdoor event. Tents and shade cloths are highly recommended.

This event will be held rain or shine unless otherwise announced by event management.

All vendors are responsible for supplying their own tent, tables, chairs, displays, and all other setup materials needed to operate their booth.

A clearly visible sign displaying your business name is required and must be displayed within your booth throughout the event.

VENDOR TERMS & CONDITIONS

APPLICATION APPROVAL

Your Application does not guarantee entry. We focus on rare and uncommon indoor and outdoor plants, plant supplies, and anything "planty" and homemade related vendors. We curate our events to meet the needs of our local community and offer a varied group of vendors.

ARRIVAL AND SETUP

All Vendors need to be at the event location at least 1 hour prior to the scheduled event time for setup. If you're late, you will not be allowed to set up once the market is open.

SPACE REQUIREMENTS

Spaces will depend on the number of vendors attending. Please CONTACT us if you have special space requirements.

BOOTH CLEANUP

You are responsible for setting up and breaking down your space. ALL trash, inventory, displays, and personal items must be removed from the venue at the conclusion of the event.

PROFESSIONAL CONDUCT

As a vendor, you agree to keep and maintain a good, professional working relationship within The BIG Plant Market community and with the public. Vendors are expected to conduct themselves in a respectful and professional manner toward fellow vendors, event staff, venue staff, sponsors, and attendees.

VENDOR FEES

Vendor Fees are Non-Refundable and Non-Transferable.

If we have to cancel due to weather or any unforeseen circumstances, we will attempt to reschedule the event. If we are successful in securing a rescheduled date and you cannot attend, no refund will be issued. You may NOT transfer your vendor fee to another vendor in your place. You may NOT use it as credit for a future event.

If we cannot secure a rescheduled date, a refund will be issued minus the cost of your individual marketing for the event. Marketing costs generally range between $15.00 and $30.00 and are calculated based on time spent and costs associated with individually and collectively advertising your business and the event.

VENDOR CANCELLATIONS

If you cancel within 10 days of the scheduled event, a cancellation fee of $25.00 will be applied to your next The BIG Plant Market event. Should this occur twice, you may no longer be invited to participate as a vendor.

SOCIAL MEDIA PROMOTION

As a vendor of The BIG Plant Market, you are required to advertise and post about the event on your social media platforms. Vendors are expected to showcase their products in a creative and appealing way while helping promote the event. As the event organizer, we also agree to promote you and your business across our social media platforms to increase exposure for both your business and the event. Your application and vendor fee must be submitted a minimum of two (2) weeks prior to the event date to be included in social media advertising and promotional materials.

REMOVAL OF VENDOR

The BIG Plant Market reserves the right to remove any vendor, product, display, signage, or activity that violates event rules, venue policies, licensing requirements, safety standards, or is deemed disruptive, offensive, inappropriate, or inconsistent with the mission of the event. No refunds will be issued if a vendor is removed for violating these terms.

LIABILITY WAIVER AND RELEASE

I have voluntarily agreed to participate as a vendor in The BIG Plant Market.

I hereby unconditionally release and forever discharge The BIG Plant Market, The BIG Plant Expo, Southeast Rare Plant Market, LLP, the event venue, sponsors, event staff, volunteers, contractors, partners, affiliates, subsidiaries, officers, directors, members, representatives, employees, and agents from any and all actions, liabilities, damages, losses, costs, expenses, claims, or demands of any kind, including but not limited to those arising from negligence, product liability, breach of contract, personal injury, property damage, theft, loss, or any other duty owed under applicable law, resulting directly or indirectly from my participation in the event.

I understand and acknowledge that I am solely responsible for my business operations, products, employees, volunteers, inventory, equipment, displays, vehicles, permits, licenses, taxes, insurance, and personal property associated with my participation in the event.

I understand that participation in The BIG Plant Market may involve certain risks, including but not limited to weather conditions, uneven surfaces, loading and unloading activities, vehicle traffic, interactions with attendees, vendors, and the general public, theft, loss, property damage, and personal injury. I voluntarily assume all risks associated with my participation in the event.

I hereby affirm that I am 19 years of age or older. I have carefully read this document and understand its contents. I understand that this document is a release of liability and a legally binding agreement enforceable against me, my heirs, next of kin, spouse, legal representatives, successors, and assigns. I have signed this document voluntarily and of my own free will.

The BIG Plant Market, The BIG Plant Expo, and Southeast Rare Plant Market, LLP reserve the right to remove any vendor who fails to comply with event rules, venue policies, licensing requirements, safety standards, or any terms contained within this application. No refunds will be issued if a vendor is removed for violation of these requirements.
