This section is purely educational. It is designed to help you understand the rules and regulations that guide us when we conduct retreats, events, and activities. Please note that not every activity, event, or retreat will offer the same opportunities.

This policy is provided for planning purposes, so you can make informed decisions. When the event is scheduled, you will recieve a 60 day notice, and the details of the event, including offerings, will be provided at that time. If you have any questions or concerns, we are an open book—feel free to give us a call or send us an email.

📄 Vendor Participation Disclosure

By submitting your vendor application, you agree to the following terms and conditions:

💳 Payment & Invoicing

      - An invoice will be emailed to you within 24–48 hours of Registration. THIS IS NOT                           REGISTRATION. REGISTRATION WILL BEGIN 60 DAYS BEFORE THE EVENT.

      - All sales are final. No refunds will be issued. Participation is nontransferable.

      - Payments returned due to NSF or cancellation will incur a $20.00 fee.

🌧️ Event Cancellation Policy

      - The event will not be canceled due to rain or low participation.- In the unlikely event of                      cancellation by organizers, refunds will be issued within 7 days of the cancellation date.

🛡️ Insurance Requirements for Food/Supplement Vendors

      - Vendors supplying food and/or supplements must carry active liability insurance.

      - Insurance must list Isa Sivi LLC dba Hedera, including all subsidiaries, affiliates, and                        associates, as additional insured.

Your policy must be:
        - Primary and noncontributory
        - Include a waiver of subrogation in favor of Isa Sivi LLC dba Hedera,

        - An Accord Certificate of Insurance (COI) must be emailed to isasivi-hedera@outlook.com no            later than 48 hours before the event.🪑

Setup & Equipment
       - Vendor participation entitles you to 1 table and 2 chairs.
       - All other decorations and display materials are the responsibility of the vendor.
       - Setup is permitted 2 hours before the event start time.
       - Breakdown must be completed within 1 hour after the event ends. Vendors must vacate the             premises by the event’s close time.
       - Vendors are responsible for any damage caused by themselves or their team

📦 Vendor Packet & Compliance
     - A Vendor Information Packet will be emailed 2 weeks before the event.
     - Vendors are responsible for adhering to all guidelines outlined in the packet, including:
     - You will be assigned a specific location. Businesses found in the wrong spot will be asked to           move.
    - Failure to relocate within 15 minutes will result in expulsion without refund.
    - Vendors offering unauthorized services or products not listed in their application will be                    expelled without refund.
    - Disorderly conduct, as determined by the event planner, security, or law enforcement, will                result in expulsion without refund.
    - Misleading or misrepresented information will result in immediate removal from the event.

🎖️ Participation Tiers
🧺 Vendor  $275
       - Entitles you to:
       - 1 table and 2 chairs
       - Inclusion in the event as a standard vendor
🏷️ Sponsorship $575
       - Includes all Vendor provisions, plus:
       - Mention in all printed materials
       - Recognition from the stage during the event
📣 Partnership $1075
       - Includes all Sponsorship provisions, plus:
       - Advertisement in all social media promotions
       - Inclusion in radio and TV advertising, where applicable

🔍 Additional Terms & Responsibilities

📜 Licensing & Permits
- Vendors are responsible for obtaining and displaying any required local, state, or federal licenses or permits, especially for food, supplements, or regulated services.

💰 Sales Tax & Compliance
- Vendors are responsible for collecting and reporting sales tax in accordance with Georgia state law and any applicable local regulations.

🔌 Electricity & Utilities
- If electricity is needed, vendors must request access in advance. Availability is not guaranteed and may incur an additional fee.

🚗 Parking & Load-In
- Details regarding vendor parking, load-in zones, and unloading procedures will be included in the Vendor Packet. Vendors must follow all posted signage and staff instructions.

☔ Weather Preparedness
- While the event will not cancel due to rain, vendors are encouraged to bring weather-appropriate coverings or weights for tents and displays.

🔐 Security & Liability
- Isa Sivi LLC dba Hedera is not responsible for lost, stolen, or damaged items. Vendors must secure their belongings and are encouraged to carry personal liability coverage.

🔊 Noise & Amplification
- Use of amplified sound (e.g., speakers, microphones) must be approved in advance and kept at respectful levels to avoid disruption.

🪧 Signage & Branding
- All signage must be professional, appropriate, and confined to your assigned space. No signage may obstruct neighboring vendors or walkways.

🤝 Code of Conduct
- Vendors must maintain a respectful, inclusive, and professional demeanor at all times. Harassment, discrimination, or aggressive behavior will result in immediate removal.
