    The SGPS exists to serve the interests of and provide support to our membership. In recognition of the growing challenge of food insecurity on the student experience of all of our members, the SGPS is proud to offer this fund as a way for members to access food and beverages in student designated spaces across campus. This opportunity will help members who may be hungry while on campus, to access a snack or beverage and be able to help combat the growing issue of food insecurity amongst the membership.

    To access this subsidy, Council members must apply on behalf of their society to access this fund, and $50 will be available to each society per term. In the case that a society has more than one council representative, only one representative may apply for these funds on behalf of the Queen’s University Graduate Faculty/Departmental Society. If a society has yet to assign a council member, they may assign a member to this position and reach out to the SGPS Executive Director to update the councillor list.

    Receipt(s) must be provided for proof of purchase for reimbursement of up to $50 per term in the 2025-26 fiscal year until funds are exhausted.

    Applications will be accepted on a rolling basis with the allocation being counted towards the term in which the application is provided.

    Each term, councillors must reapply, and funds will be allocated on a first-come, first-served basis.

    The Application Process Step-By-Step

     

    STEP ONE: COMPLETE THE MEMBER SOCIETY NUTRITION SUPPORT PROGRAM APPLICATION

    In order to apply for the Member Society Nutrition Support Program, the following information must be provided. Please note this information should be in accordance with the information provided on the sanctioning form for the event:

    1. The name of the Faculty/Departmental Society for which the fund is being accessed.
    2. The name and contact information of the Council Representative within the Faculty/Departmental Society.
    3. Purchase receipts of food and beverages shared in the student space 
    4. A copy of the approval email from Hospitality Services to allow food to be distributed on campus. 

    All applicants must recieved approval from Hosptiality Services before the funds can be released.

     

    STEP TWO: RECEIVE HOSPITALITY SERVICES APPROVAL

    To receive this Hospitality Services approval:

    1. Applicants must complete this form.
      1. On the form they will need to indicate that they will be "catered by sponsor" (with the department/faculty or the department/faculty council in question being the sponsor).
      2. Under "plan for event" the applicant will need to indicate what food will be supplied and where the food was purchased from.
        All food that is being provided for distribution at Queen's must go through this process, even if the food is pre-packaged.
      3. The form must then be emailed to dining@queensu.ca.
        Please note that it can take up to 14 days for approval to be granted. 

    STEP THREE: AWAIT APPLICATION DECISION
    Applications will be processed on a rolling basis by the Vice President Finance and Services in consultation with the Executive Director.
    Once approval has been granted and all receipts have been provided, any award amount will be administered by electronic fund transfer to the relevant member society or the applicant directly, depending on whether or not the member society has its own bank account.

    Restrictions on the Scope of Funding 

    In addition to the application requirements, the SGPS Member Society Nutrition Support Program has a few restrictions on the scope of funding:  

    1. Only one councillor from each Faculty/Departmental Society may apply for this fund. If more than one councillor applies to the fund, the second application will be rejected. 
    2. Food and beverages purchased must be suitable for the dietary restrictions and preferences of members. Selected food and beverages must be purchased according to the dietary, cultural, and religious needs of the SGPS members within the department. 
    3. Funding will not be rewarded for purchases of alcohol. 
    4. Food and beverages must be made accessible to members in student spaces and members must be made aware of the food and beverages.
