Online application process

The online application submission deadline is Wednesday 30th September 2026 at 5pm. No applications submitted after this deadline will be considered.

Please upload a single PDF file (15MB maximum) that includes the following information, or fill each field provided below. 

Please provide details for up to a maximum of 3 works that you wish to submit for consideration. The following must be provided for each work proposed: 

• Up to 4 images per work. Only JPEG files are accepted. The photographs should be of good quality and clearly labelled. Each JPEG file must be a minimum size of 1MB and a maximum size of 3MB.
• Up to 2 links to video/sound pieces, if applicable (YouTube or other platforms). Extracts should be no longer than 10 minutes. If works are sent in full, please suggest a 10-minute excerpt to watch. Include passwords for any private videos.
• For each work: title; year; material/medium; dimensions or duration, in the case of moving image; where the work has been shown, if applicable; details about its installation and/or technical, invigilation and accessibility requirements.

Please Note

The work will be judged on the quality of the information and images provided. Only JPEG images are accepted. All photos must be of high resolution (minimum 1MB and maximum size 3MB per image).

 Please ensure the file(s) you are uploading contain your own name and the title of the work in the JPEG file name i.e. applicant-name-work1-title of workjpg, applicant-name-work2-title of workjpg, etc.

Terms and  Conditions 

By completing this form and submitting artwork, I confirm that I understand and comply with the following terms:

Insurance for my submission is my own responsibility, and Luan Gallery cannot accept any responsibility for my submission. Selected work is covered by Luan Gallery's insurance when on site at Luan Gallery only and not during transit. Artists will be informed if the gallery notices any damage during condition checking  the work and will not be held responsible for this damage. The gallery has the right to dispute the insurance value of the work in the instance of receiving/observing damaged work. 

I am not submitting artwork that is damaged, in a state of deterioration, or in a condition that could harm other submissions, Luan Gallery and its patrons (i.e., toxic materials, mould, etc). Luan Gallery reserves the right to refuse artwork that is submitted in any of these conditions and/or dispute the insurance value of the work submitted in any of these conditions.

My submission has a safe/adequate hanging system attached and is ready to hang for a prolonged period of time. I take full responsibility for the attached hanging system, which includes responsibility if the hanging system should fail or weaken during the run of the exhibition and therfore the gallery will not accept liablity for any damaged caused due to the hanging system. 

I am aware that the drop off and collection of artwork is my responsibility, and that Luan Gallery does not provide a delivery service before, during, or after the exhibition.

I am aware that I must drop off and collect my artwork during the specified drop-off and collection times, or at a time that I have agreed with and confirmed with Luan Gallery staff.

Luan Gallery routinely examines and documents the condition of artwork on display, with final photographic checks being carried out prior to collection.  We encourage all artists to thoroughly check their artwork before leaving the premises also. Luan Gallery is not responsible for any damage that occurs to artwork post-collection. 

I am aware that Luan Gallery reserves the right to use images of my submission in situ in future marketing and promotional materials.  

I am aware that 25% commission applies to my artwork in the case of a sale, and I have adjusted my price accordingly.

I am aware that a maximum of three works may be submitted per person, and that there is no guarantee that any or all of them may be selected. I am aware that the final selection of shortlisted work will take place on site, and the selector’s decision is final. I am aware that if more than one work is requested to be brought to the gallery for further consideration, all works may not be exhibited.
