  • The Chamber Commons Event Venue Rental Contract

    THIS AGREEMENT (the "Agreement"), is being entered into between The Chamber Commons also known as The Chamber Commons Event Venue located at 126 North Second Street, Cochran, GA 31014 (the "Lessor" ") and Client Full Name (the" Lessee") at Client Address This is all entered in on this date set forth above on today's

    WHEREAS, Lessee wishes to use the Chamber Commons Event Venue for use during "the Event" as noted above, in consideration of the mutual promises and covenants contained herein, the Parties agree as follows: 1. Venue Rental: The Chamber Commons Event Venue the Lessor, hereby grants to the Lessee to use the following venue: the Chamber Commons Event Venue, located at 126 North Second Street, Cochran, GA 31014. The Lessor permits Lessee to use the Venue only on the Event Date, during the hours specified below, and only for the purposes set forth in Section 14 below.

  • 2. Event Date and Time: Access to the venue on the Project Date from Project Time Start to Project Time Finish on the same day. The Lessee's Event shall be held during the times specified on the Event Date as listed above (the "Event Date" Lessee shall not have access to the Venue at any time other than during the contracted hours listed above on the Event Date, unless Lessee receives prior written permission from Lessor. Access to the venue before and/or after the contracted hours, or on the day prior may be granted for an additional fee at the discretion of the venue manager. The event date in the contract is not secure until the contract is signed and all appropriate funds are received according to the invoice schedule. The lessee can secure additional hours up to midnight on the same date as the scheduled event. The lessee can pay an additional surcharge per hour to extend event

    To secure additional hours after signing the contract, the Lessee must follow the steps below: The Lessor must be notified in writing up to 5 days prior to the event. The Lessee must read and sign an additional hour rental addendum The Lessee must pay the additional fee. The Lessee rental time ends at Project Time End and the Lessee has until that time to be cleaned up and be out of the venue. All music and alcohol must be stopped 45 minutes before the event's end time.

  • 3. Rental Fee: Lessee shall pay to Lessor the total fee as noted in the Agreement above ("Rental Fee"), Proposal Total Amount for the use of the Venue. The Rental Fee is due in full at least 30 days prior to the event date (the "Payment Due Date" If any payment is not received by the required dates listed above, your event date will be

    canceled, and all funds received up to that date will not be refunded. Payments are accepted by cashier's check, certified funds, cash, credit card, or debit card. To secure your date, the contract must be executed, and the venue rental fee must be paid according to the payment schedule set forth above.

  • 4. Non-refundable Booking Fee: The lessee must pay a non-refundable booking fee (the "Booking Fee"), First Payment Amount of 50% of the total Rental Fee Proposal Total Amount as noted in the Agreement above, which must be paid to the Lessor upon the execution of this Agreement. The Booking Fee paid will be transferred to the entire balance due for the event. The Lessor shall have no obligations under this Agreement until the entire balance of the Rental Fee is paid in full. The remainder of the Rental Fee is due 30 days before the event. If the contract date is less than 30 days before the event date, payment is due in full at the time of booking.

  • 5. Security Deposit: The lessee must pay a security deposit (the "Security Deposit") of $200. The refundable Security Deposit is required at the time of booking and a minimum of 14 days prior to the Event to be paid in a separate cashier's check or form of payment, separate from the Booking Fee. The Security Deposit will be refunded within 10 days after the conclusion of the event, unless The Chamber Commons Event Venue is not left in the same or similar condition in which it was found. If repairs and/or excessive cleaning are needed, the Security Deposit will be applied to those costs, and the Lessee will be responsible for any deficiencies. In the event the Lessee exceeds the end time of the event, the security deposit will be forfeited. This payment must be made by a separate check, certified funds, cash, credit card, or debit card. Failure to meet the deadlines for Rental Fees, Non-Refundable Booking Fees, and Security Deposit may result in the cancellation of the event, at the discretion of the Event Manager.

  • 6. Cancellations: Any cancellations by Lessee will result in forfeiture of the Booking Fee, and depending upon the time of the cancellation, may also result in forfeiture of the Rental Fee. If Lessee cancels the reservation for the Event within 30 days of the Event, the Lessor shall be entitled to retain the entire Rental Fee and the Booking Fee. Any cancellations will result in the forfeiture of the non-refundable booking fee. The Client shall not assign or sub-lease any terms, conditions, or services contained in this contract or any interest therein.

  • 7. Date Change: If the need arises to reschedule your event date for any reason, the Lessor must be notified in writing at least 30 days prior to the event. The non-refundable booking fee is lost, and an additional non-refundable booking fee is required to secure a different date. The Lessee agrees that, in the event of a date change, any expenses, including, but not limited to, the non-refundable booking fee, are the sole responsibility of the Lessee. Rescheduling a date must be within one year from the original date of event and is only available during dates and times on the Chamber Commons Event Venue calendar. Reschedule date will be equivalent to the amount of original booking and may be subject to additional charges based on date rescheduled. No payments paid to Lessee

  • 8. Condition of Premises: Lessor shall make sure that the space conforms to the following specifications by the Event Date:

    Room Layout: Aside from the specifications set forth above, the venue shall be provided as-is, and Lessor makes no warranty to Lessee regarding the suitability of the Venue for Lessee's intended use. Lessee shall leave the venue in the same or similar condition as when Lessee entered. Lessee shall be responsible for any damage caused to the venue (to include but not limited to: Storage Room, Bathrooms, and Main area) beyond ordinary wear and tear, and shall be required to arrange for the repair of any such damage. If Lessee does not satisfactorily arrange for such repair, Lessor shall be entitled to arrange for any necessary repairs at Lessee's expense. Lessee shall reimburse Lessor for any such repairs within 15 days of receipt of Lessor's written request for reimbursement, which request shall be accompanied by written verification of the amount of the expenses incurred.

  • Décor: For seated parties, receptions and buffets, the Lessee will provide decorations. The use of birdseed, rice, confetti or glitter is prohibited, as these items present a slip hazard and/or require a deep clean to remove fully. If it is used, the Security Deposit will be used for cleanup. Fees will apply to any additional clean-up of party favors and decorations. LED wax-less candles are preferred. Open flame candles located anywhere in the venue must be contained in a glass or some form of non-flammable container. They must be kept in a stationary position on a stable surface. No nails, screws, staples, or tacks. Duct tape is not allowed on any surface. Painter's tape or gaffer tape is the only tape allowed on floors or surfaces. If duct tape is used, your entire Security Deposit will be kept. Vendors are responsible for cleaning up after themselves at the close of the event. No fog machines or cold sparklers are permitted.

As is Condition: As in the condition of the venue including the surrounding area with all faults the Lessor reserves the right to make any changes or updates to the venue and surrounding areas without notifying Lessee. Lessee agrees that any changes made to the venue or surrounding property have no bearing on this agreement.

  • 10. Independent Service Providers:

    All Caterers must be licensed by the state of Georgia and have liability insurance.

    The caterer must meet all city requirements. The caterer must set up, clean, and remove all trash when departing. Failure to do so will result in a $100 clean up fee. The Lessor does not allow any cooking on the premises. Catering companies are not allowed to cook on site. Buffet lines, chafing dishes, and chafing fuel are allowed.

    DJs, Photographers, Event Planners, and All Other Independent Service Providers: Lessee hereby indemnifies and holds harmless Lessor, its employees, officers, directors and agents from any damages, actions, suits, claims, or other costs (including reasonable attorneys' fees) arising out of or in connection with any damage to any property or any injury caused to any person (including death) caused by any independent service provider employed by Lessee to provide services for the Event, including any acts or omissions on the part of the Lessee, its employees, officers, directors, independent contractors, or other

    Audio/Visual Services: The Chamber Commons personnel are unable to provide technical support to privately owned AV or computer equipment brought into the facility. We are able to provide wi-fi and technical assistance for access to our projector as agreed upon before the event. Vendor Insurance is required for professional vendors working at the venue to have and maintain liability insurance. Lessee is required to coordinate with vendors to pick up and remove any additional rented items. All items must be removed from the premises at the end of the rental time stated above.

    The Chamber Commons Events Venue may provide a vendor recommendation list as a courtesy. Lessee is liable for any issues that arise from their chosen vendors, including but not limited to planner, caterer, bartender, DJ, and etc. The Chamber Commons Event Venue, venue manager, does not negotiate rates or sign contracts for other vendors on behalf of the Lessee. The Lessee is responsible to hire and sign contracts to all other vendors and verify

    11. Sale and Service of Alcoholic Beverages. Bartenders shall request proper identification (photo ID) of any person requesting to be served alcoholic beverages. Bartenders will have the right to refuse alcoholic beverages to any person. All responsibility and liability for serving alcohol is incurred by the Lessee. All State and Federal laws concerning the serving and consumption of alcohol must be strictly abided by. The Chamber Commons Event Venue reserves the right to terminate the serving and consumption of alcohol to any guest at any time, before, during or after

    If you are adding bar services of Beer, Wine, and/or Liquor of any kind or amount, you MUST include this on your insurance ("Host liquor liability of a minimum of 1 million dollars to protect against alcohol-related accidents) and name The Chamber Commons as additional insured.

    BYOB (bring your own bottle) of any kind is not permitted. Violators of any of The Chamber Commons Event Venue's alcohol policy will be asked and required to leave the property by a member of The Chamber Commons Event Venue staff. If the said person refuses to leave the property, the local authority will be called. If the local authorities decide to shut down your event, that will be up to them. Indemnification. Lessee hereby indemnifies and holds harmless Lessor, its employees, officers, directors, and agents from any damages, actions, suits, claims, or other costs (including reasonable attorney's fees) arising out of or in connection with any damage to any property or any injury caused to any person (including death) relating to the sale or service of alcohol at the Event, including any acts or omissions on the part of Lessee, its employees, officers, directors, independent contractors, guests or other agents. Lessee agrees to indemnify and hold harmless the Lessor's landlord for any damages arising out of the sale and service of alcohol at Proof of an Alcohol License is required to serve alcohol. Proof of Liability Insurance to distribute or sell alcohol is required. Security is required for Alcoholic events. NO EXCEPTIONS Client must provide off-duty law enforcement for security at its expense. No beverages may be brought out of the building.

  • 12. Right of Entry: The Lessor shall have the right to enter the Venue at any time for any reasonable purpose, including any emergency that may threaten damage to the Venue or injury to any person in or near the Venue.

Indemnification: Lessee hereby indemnifies and holds harmless Lessor, its employees, officers, directors and agents from any damages, actions, suits, claims, or other costs (including reasonable attorneys' fees) arising out of or in connection with any damage to any property or any injury caused to any person (including death) caused by Lessee's use of the Venue, including any acts or omissions on the part of Lessee, its employees, officers, directors, independent contractors, guests or other agents. Lessee shall notify Lessor of any damage or injury which it knows in, to, or near the Venue, regardless of the cause of such damage or injury. Furthermore, Lessee hereby indemnifies and holds harmless Lessor, its employees, officers, directors, and agents from any damages, actions, suits, claims, or other costs (including reasonable attorney's fees) arising out of or in connection with any damage to any property or injury caused to any person (including death) caused by Lessee's use of the Venue, including any acts or omissions on the part of the Lessee, its employees, officers, directors, independent contractors, guests, or other agents.

    Any dispute arising under the terms of this agreement shall be litigated in the Superior Court of Bleckley County and Lessee expressly consents to the jurisdiction and venue of the same. In any action brought by Lessee against Lessor arising out of or related to this agreement, the maximum amount Lessee may recover is the amount actually paid to the Lessor as the rental rate.

  • 14. Permitted Use: Lessee is authorized to use the Venue to hold the Event, and for no other purpose, unless Lessor gives Lessee prior written authorization for additional permitted uses. Lessee may not use the Venue in any manner that may render the insurance for the Venue or any of Lessor's property void, or which may result in increased insurance premiums for Lessor concerning the Venue or any of Lessor's property. The Lessee shall not assign or sub-lease any terms, conditions, or services contained in this contract or any interest therein.

    15. Compliance with Laws: Lessee shall obtain and maintain any necessary permits, licenses, or other forms of permission necessary to use the Venue according to the permitted uses lawfully outlined in Section 14. Lessee shall not use the Venue in any manner that would violate local, state, or federal laws or regulations. Lessee hereby indemnifies Lessor, its employees, officers, directors, or other agents for any damages, penalties, fines, suits, actions, or other costs (including reasonable attorneys' fees) arising out of or in connection with Lessee's violation of any local, state or federal law, rule, regulation or ordinance related to Lessee's use of the Venue.

Force Majeure: In the event the Lessor is unable, for reasons beyond its control and such prevention is caused by acts of God, governmental restrictions, judicial orders, fire or other casualty, civil commotion or other causes beyond The Chamber Commons Event Venue reasonable control, to make the Venue available to Lessee on the Event Date for the purposes as outlined in this Agreement, Lessee shall have the option of choosing an alternate date to hold the Event (the "Alternate Event Date"), at no extra charge to Lessee. If Lessee selects an Alternate Event Date that is reasonably acceptable to Lessor, then the Alternate Event Date shall replace the Event Date for this Agreement, and all obligations, rights, duties, and privileges as outlined in this Agreement shall remain binding on the Parties. If Lessee and Lessor cannot agree upon an Alternate Event Date within 30 days of the original Event Date, then Lessor shall refund to Lessee the full amount of the Rental Fee (including the full Booking Fee In neither case shall Lessor be liable for any additional costs or damage suffered by Lessee (over and above the Rental Fee) arising out of a rescheduling or cancellation of the Event according to this Section 16.

  • 17. Revocation: Lessor shall have the right to cancel the event at any time prior to the Event Date, provided it gives Lessee prior written notice of cancellation. Lessor's right to revoke is limited by the following reasons for cancellation: nonpayment of fees, breach of this Agreement, or if the Venue is being rented for a purpose which Lessor subjectively finds inappropriate. In the event that Lessor cancels the Venue prior to the Event for reasons other than nonpayment of fees or breach of this Agreement by Lessee, Lessor shall refund to Lessee the full amount paid by Lessee in connection with this Agreement, including the entire Booking Fee.

  • 18. Governing Law: This Agreement shall be construed in accordance with, and governed in all respects by, the laws of the State of Georgia, without regard to conflicts of law principles.

  • 23. Smoking / Vaping: No smoking or vaping is allowed inside the Venue. The Chamber Commons Event Venue is a smoke/vape and drug free environment. If a guest is caught with marijuana anywhere on property they will be required to leave.

  • 24. Drug Free Facility: This is a drug free and non-smoking facility always, no exceptions. There is absolutely no drug use of any kind tolerated on premises or within 25 feet of the building including loitering or congregating outside on the sidewalk at any time during the event. Disparaging remarks or any type of physical violence will not be tolerated and will be cause for immediate expulsion. Renter and guests shall use the premises in a considerate manner always.

    25. Animals: Only service animals are allowed. No other pets are allowed. Lessee must contact the Lessor within 10 days of the event. Guest of service animal must contact the Lessor and provide the service animal policy and documentation of updated vaccines.

    29. Lost And Found: The Chamber Commons takes no responsibility for personal effects and possessions left on premises during or after any event. We do, however, maintain a lost and found and will hold recovered items up to 15 days. Every attempt will be made to return any recovered item to its rightful owner.

Entire Agreement: This Agreement constitutes the entire agreement between Lessee and Lessor, and supersedes any prior understanding or representation of any kind preceding the date of this Agreement.
