  • Galena Village Hall Reservation Application

  • Galena Village Hall facilities are available for rent to Village residents. Facilities include the Council Chambers (capacity of 115), the Community Room (capacity of 42), and the Conference Room/Kitchen (capacity of 19), Available to renters are the 10 rectangular tables and 50 chairs. Facilities are only available during non-business hours and are subject to availability. Reservations may be made up to 3 months in advance on a first-come first-served basis subject to availability. A deposit of $300 is required with all rental applications which will be returned upon satisfactory inspection by Village staff following an event. All renters must sign a rental contractfor each scheduled event and provide proof of event insurance with the Village of Galena named as an
    additional insured.

  • Rules

  • 1. No smoking, illegal drugs, weapons, obscene or objectional activities are permitted on Village premises.
    2. Care must be taken not to damage or disturb Village facilities or equipment.
    3. All tables and chairs or any other Village equipment must be cleaned and returned to its original location.
    4. All refuse generated by the renter must be taken offsite by the renter.
    5. No tape or push pins are allowed- All decorations must be removed after the event.
    6. All consumable items are provided by renter, and no one should consume items belonging to the Village.
    7. Candles are permitted for certain ceremonial purposes. Candle drippings must be contained.
    8. Facilities are available from 5:00PM-10:00PM on weekdays and 7:00AM 10:00PM on weekends.
    9. Parking is limited to 60 spaces and must not block access to Church St. or the rear of Village Hall.
    10. Use of the Journey Church parking lot must be expressly approved by Journey Church.
    11. Violation of these rules may result in forfeiture of the deposit and exclusion from future use of the
    facilities.

  • Effective May of 2025, Village Hall rental rates are as follows:
  • Council Chambers- $150/hr.
    Community Room- $100/hr.
    Conference Room- $75/hr.
  • * Minimum charge per day is 2 hours
    * Full day charge is based on 6 hours
    * Recurring rental requests are subject to additional requirements
  • Deposit and Additional Fees- Required to Reserve a Date ($300)

  • The deposit is refunded if the property is cleaned up and there is no damage. Deposit checks issued more than 90 days ahead, will be cashed and refunded within one month after the event. Checks issued less than 90 days in advance will be returned after the event. If the property is not clean, the equipment is misplaced, or if there is any damage, the deposit will be kept. Cleaning/repair costs more than the deposit will be claimed against the event insurance policy.

  • The above named applicant who acknowledges authority to sign this Agreement for the applicant, or the organization represented by the applicant, agrees to hold harmless the Village of Galena, its agents, employees, officers, and elected officials from any and all claims relative to any loss of any nature whatsoever suffered by
    the applicant, the applicant's group, or the applicant's guests or invitees while utilizing the Village of Galena Village Hall pursuant to this Agreement whether or not there is a loss for personal injury, death, or any loss to any personal property. The applicant acknowledges that this Indemnification Agreement is a condition of consent to utilize the premises and that the applicant, or the organization represented by applicant, agrees to pay for any damages to the facilities as a result of their use of the facility.

  • Hall Rental Policy

  • 1. The primary function of the Village of Galena Village Hall ("Hall") located at 109 Harrison St., Galena, is to house offices of the mayor and village staff, and to provide a meeting space for public meetings and other government functions relating to village business. This is a very historic building with great meaning to our community. We strive to share it for "community" use but also to protect it.

    The Village of Galena, through this Village Hall Rental Policy ("Policy"), establishes this Hall as a limited public forum facility subject to the express limitations set forth in this policy in such a manner that will not disrupt the primary functions of village operations.

  • 2. The Hall, to the extent that it is available to the public as a limited public forum, is for use by residents and current employees of the village, village based nonprofit groups or organizations which have a cultural, educational, or civic purpose. The Hall is also available to other government agencies or organizations with which the village is in partnership. Rentals shall not be for commercial activities.
  • 3. Persons renting the Hall must be a resident or employee of the village and at least twenty-one (21) years of age. The individual on the Village of Galena Rental Agreement must be present during the entire use of the room by the group. **Proof of residency is required. A current ID, utility bill or other mail with name and address as documentation may be asked for
  • 4. Reservations are nontransferable.
  • 5. Hall rentals are limited to 2 rentals per person/group per year. Additional rentals will need approval from the Village Administrator or the majority of council.
  • 6. Hall rental hours are Monday through Friday 5:00 p.m. to 9:00 p.m. and Saturday and Sunday 8:00 a.m. to 9:00 p.m.
  • 7. The Village of Galena reserves the right to limit Hall rentals to one event per weekend. Weekend is defined as Friday at 5:00 p.m. through end of day Sunday
  • 8. A rental application, application fee, and security deposit must be submitted before any confirmation of reservation of the Hall is made. The rental fee is per event (see application). The security deposit will be returned in full if there is no damage to the premises. Any damages or cost of cleaning will be deducted from the security deposit. There is no charge for village subdivision HOA annual or bi-annual meetings.
  • 9. Once a date is reserved there will be no refunds for hall application fees unless due to unforeseen circumstances such as a weather emergency. Any refund will need to be approved by the Village Administrator. Dates may be adjusted if available and mutually agreed upon and approved by the Village Administrator.
  • 10. Users renting the Hall may not charge any fee, request donations for admission, or leverage the hall for fundraising activities.
  • 11. Official village use of the Hall takes precedence over any other use and the village reserves the right to cancel the use of the Hall by an outside organization or individual if the Village Administrator determines that the meeting space is needed for village purposes.
  • Reservations and Hall Rules

  • 1. Reservations will be made on a "first come – first served" basis. Reservations will be accepted up to 3 months in advance. Dates will not be held. Reservations are for the use of the Hall only. Public restroom facilities are in the main hallway adjacent to the council room. There shall be no entry into the administrative office areas at any time.
  • 2. The kitchenette is for use in conjunction with the rental of the Village Hall community room. The village does not provide dishes, silverware, table covers, kitchen utensils, paper products etc. You must bring any serving ware you will need for your event. Any items left behind will be discarded.
  • 3. All activities must be under the supervision of an adult. Children must be supervised at all times inside or outside the building.
  • 4. Noise must be kept to a reasonable level.
  • 5. Room set up and tear down will be the responsibility of the group/organization using the room. Room must be returned to original condition.
  • 6. Set up will be done on the day of the event. The room should be attended once items have been placed. The village is not responsible for lost, stolen, or damaged items.
  • 7. The configuration of the room, number of occupants, and the decorations installed must meet the provisions as set forth in the Ohio Fire Code. The maximum capacity in council chambers is approximately 115 persons, and in the community room the capacity is approximately 70 persons.
  • 8. Decorations, posters, or any other materials hung to decorate the room should be done with materials that do not damage the surface to which it is applied or does not leave a sticky residue. It is the responsibility of the group/organization to ensure that ALL materials/decorations used are removed and disposed of properly.
  • 9. Only folding tables and chairs in the community room may be moved by members of the public. Other furnishings and appliances shall not be altered. The council chamber's sound equipment is not available for public use. Additionally, the council chamber's tables and chairs should not be moved or disturbed. A portable sound system is available upon request.
  • 10. Hall cleanup is the responsibility of the individual, group, and/or organization using the room. This includes the main Hall, kitchenette, bathrooms, and entry.
  • 11. All trash must be bagged and taken away with you.
  • 12. Alcoholic beverages are prohibited on the property.
  • 13. Smoking and the use of tobacco products are prohibited in the Village Hall.
  • 14. Glitter and confetti are prohibited. Streamers, balloons, and the like should be picked up prior to vacuuming to not damage equipment.
  • 15. The individual and/or group/organization using the Hall is financially responsible for any damage to village property, the building, furnishings, and equipment. The individual and/or group/organization assumes responsibility for all loss, damage, or injury arising from the use of the Village Hall. The Village reserves the right to assess a fee to recover costs associated with damaged items.
  • 16. The room must be cleaned and vacated no later than 9:00 PM unless otherwise approved in writing by the Village Administrator.
  • 17. Violations of these rules will cause the further use of the Hall by an individual, group/organization to be denied.
  • 18. The Village Administrator may, for any reason, deny or cancel any reservation of the Hall.
  • When You Arrive

  • To access the building, park in teh back lot and use the upper rear door. A code will be provided to enter into keypad. After a minute, the door will reset and lock. Be certain to fully close the door on entry. This code is changed after each rental.

  • 2. In the council room, turn on heat or air conditioning. Please do not disturb the thermostat in the community room.
  • 3. Unlock the front door for your guests with the Allen wrench key hanging on the left side of the bulletin board. See directions on the door. Return the key to the bulletin board.
  • 4. The community room has 10 rectangular tables and 50 chairs. We do not provide tablecloths, plates, cups, or utensils. The flat screen monitor is available for your use.
  • When You Leave

  • 1. After your event, be sure to clean up. All tables and chairs should be returned to their original location.
  • 2. A broom, dustpan, mop, bucket and sweeper are located in the upper-level hallway closet for your use. All areas should be cleaned including tables, chairs, floors, and any other areas affected by your event. You will be responsible for seeing that all trash and garbage created at the event is taken away with you.
  • 3. When exiting, be sure that the building is empty. Turn off all lights (you may leave outside lights on if needed).
  • 4. Lock the front door with the key and return the key to the bulletin board. You can leave through the front or back doors but please ensure that all doors are fully locked.
