    As part of our Outdoor Pursuits (ODP) academy, we are pleased to offer multi-day camping trips designed to challenge student-athletes physically, mentally, and socially while meeting key curriculum outcomes in areas such as outdoor leadership, environmental stewardship, physical education, and risk management. ODP camping trips are not simply a recreational outing—they are a core experiential learning component of our academy. Participation allows students to apply their knowledge in a real-world environment and engage in learning that fosters personal growth, teamwork and critical thinking under dynamic outdoor conditions. To ensure the trip is successful and safe for everyone, student-athletes must meet the following criteria: Eligibility Criteria Curriculum Engagement and Academic Progress Active participation in the Outdoor Pursuits academy is required. Student-athletes must demonstrate understanding of key course competencies (e.g., navigation, risk management, outdoor ethics) and complete related assignments prior to each trip. Student-athletes must be in good academic standing and have a passing Phys. Ed mark. While we understand occasional struggles, individuals should show effort and responsibility in their schoolwork. 2. Consistent Attendance Regular class/academy attendance is essential. Excessive absences may impact eligibility.  Attendance at preparatory sessions is mandatory as they cover vital safety procedures, environmental practices (such as Leave No Trace), equipment usage, team roles, and risk management planning. Academy-based content is the catalyst for both student-athlete success and group safety.  Staff will have the final decision-making authority to decide if students can attend camping trips based on their attendance during these preparatory sessions. 3. Demonstrated Responsibility and Positive Behavior Student-athletes must consistently show maturity, respect, and readiness to follow group protocols in a remote setting. The ability to function positively in a team and follow safety protocols is essential for safe trip(s). Disciplinary issues may affect eligibility. 4. Physical Readiness and Participation Student-athletes should be prepared for outdoor activities involved (e.g., hiking, paddling, camp set-up.) All participants will be provided with a comprehensive list of materials/resources as well as a mandatory gear list needed for each trip.  Students must pack and have all mandatory gear before leaving the school. This is for the safety of your student-athlete as well as for the collective safety of the group. Failure to do this could result in a student-athlete not being allowed to attend the scheduled trip and/or future trips. Participation in physical training or skill-building sessions will support student-athlete readiness. 5. Parental/Guardian Consent and Medical Clearance All permission forms, medical information, and emergency contacts must be submitted in accordance with the deadlines provided.  Any health concerns must be communicated early to allow for appropriate planning. 6. Timely Submission of Fees and Forms A participant's AAD account needs to be in good standing prior to attending any camping trips.  All necessary forms must be submitted by the deadline provided. Student-athletes will be camping in groups and as such will be responsible for individual tasks that support a group dynamic (e.g., shared use of equipment, food resources etc.) 7. EPSB Behavioural Policy and Student Code of Conduct Student-athletes must comply with EPSB and the school code of conduct at all times. Failure to do so may compromise the ability to attend current/future off-campus excursions and result in a parent/guardian having to pick up their child from the camping trip location.  The cell phone policy of Vimy Ridge Academy and Alberta Education will be enforced throughout the entirety of all academy-based trips. To support an experience that encourages connection and participation, student-athletes may be directed to secure their phones upon arrival or may have restricted access to them during designated periods. Parents/guardians requiring communication with the group during these times may do so by contacting the supervising teachers. All bags may be subject to random checks by Vimy administration and/or personnel attending trips   Why Preparation Matters The time we spend preparing is the foundation for a successful, meaningful, and safe outdoor experience. Academy sessions are where student-athletes build critical skills, learn to manage risks, and develop the mindset required to thrive in outdoor environments. Skipping them puts not only the individual student-athlete at risk but may also compromise the safety of the group.

    THE ACADEMIC AND ATHLETIC DEVELOPMENT INSTITUTE OF EDMONTON (“AAD”)

    Personal Information Protection Policy (the “Policy”)

    Re: Personal Information Protection Act, Statutes of Alberta, 2003 c. P 6.5 (the “Act”)

    Personal Information Protection Act Regulation, Alberta Regulation 366/2003 2018 (the “Regulation”). AAD adopts the provisions of the Act and the Regulations (sometimes together referred to herein as “the

    legislation”) applicable to AAD; and the same are incorporated herein by reference. Without limiting the generality of the foregoing:

    Purpose

    The purpose of this policy is to govern the collection, use and disclosure of personal information, as herein defined, by AAD.
    Definition

    In this policy “personal information” means information about an identifiable person, including the person’s name, home address and phone or other identifying number(s), age, sex, sexual orientation, marital or family status, religious affiliation, financial information, educational history or any other information of a personal nature, but excluding that information in respect of which, by a specific provision, the Act and Regulation do not apply.
    Compliance with The Legislation

    AAD is responsible for the personal information that is in its custody or within its control.
    AAD will designate one or more persons to be responsible for ensuring compliance with the legislation.
    Consent

    Except where the legislation otherwise provides, AAD will not, without the consent of a person, collect, use or disclose personal information about the person.
    A person may consent to the collection, use or disclosure of their personal information orally or in writing, given electronically or otherwise; and a person is deemed to have consented to the same, if the person voluntarily provides the information and it is reasonable that a person would provide that information.
    Notwithstanding the foregoing, AAD may collect, use or disclose personal information about a person for particular purposes, provided that AAD gives reasonable notice to the person that it intends to do so, has afforded the person an opportunity to object to the same, and the person has not objected within a reasonable time.
    A person may withdraw or vary a given or deemed consent by giving reasonable notice to AAD, provided that AAD must, unless the same is obvious, advise the person of the likely consequences of the withdrawal or
    variation, after which AAD will either stop or vary the collection, use and disclosure of the information, as the case might be, unless to do so would frustrate the performance of a legal obligation or unless the parties to the legal obligation otherwise agree.

    Collection, Use and Disclosure of Personal Information.

    AAD will only, for particular purposes and to the extent that is reasonable, collect, use and disclose personal information that is required for compliance with the provisions of The Societies Act of Alberta, AAD’s Bylaws, other applicable statutes, ordinances, bylaws or regulations, or in the event of an emergency.
    Except where deemed consent is attributed or consent is not required under the legislation, before or at the time of collection of personal information about a person, AAD will give reasonable written or oral notice to the person as to the purposes for which such information is being or will be collected and provide the name of a contact person who can answer questions regarding the same.
    Except as otherwise specifically allowed in the legislation, AAD will only use personal information about an individual without consent having been obtained, if a reasonable person would consider that the information is clearly in the interests of the said individual and consent cannot be obtained in a timely way or the individual would not reasonably be expected to withhold consent.
    Access to Records

    Taking into consideration what is reasonable, AAD will, upon receipt from a person of a written request containing sufficient detail to identify personal information subject to the request, provide to that person access to the personal information requested, or particulars as to the use or disclosure that has been made of the personal information subject to such request, as the case might be, provided that AAD may refuse to provide access to information or particulars of the use thereof in accordance with such specific exceptions in that regard as may be contained in the legislation.
    Corrections of Information

    With respect to personal information under the control of AAD, in the event that there is an error or omission in such personal information, upon receipt of a written request, from the person who is the subject of the information, to correct such error or omission, AAD will do so as soon as reasonably possible and will give notice of the correction to any other recipient of information which contained the error or omission, provided that, if AAD makes a determination to not make a correction as requested, then AAD will annotate the personal information under its control with the correction that was requested and not made.
    Duty to assist

    AAD will take all reasonable actions to assist persons requesting access to their personal information, particulars of the use of their personal information or the correction of their personal information.
    Consent for Media Use

    AAD may collect and use photographs, video recordings, and/or audio recordings of individuals for purposes including but not limited to promotional materials, newsletters, websites, social media, and other public relations activities.
    Responses to Requests

    AAD will respond to a written request for access to personal information, for particulars of the use or disclosure of personal information or for the correction of errors or omissions in personal information within 45 days of the receipt of a request, therefore, or within such extended period of time as may be allowed under the legislation.
    The response to a request for access to personal information will include advice as to whether or not access will be given, in whole or in part; and, if so, when access will be given; or, if not, why, the name of a contact person on behalf of AAD who can explain the reason for refusal, and the fact that a review of the decision may be requested. In the event that access to the personal information requested is to be given, then, if examination only of the personal information is requested or if the personal information cannot reasonably be reproduced, then AAD will permit examination of the records in accordance with the legislation; but, if so requested and the personal information can reasonably be reproduced, then AAD will provide a copy of the record containing the personal information so requested, or give reasons for any delay in providing the record.
    The response to a request for particulars of the use and disclosure of personal information will include advice as to the purpose(s) for which the information has been or is being used or disclosed, and the names of persons to whom and circumstances in which personal information has been or is being used or disclosed; or, if the request for particulars is refused, the name of a contact person on behalf of AAD who can explain the reason for refusal, and the fact that a review of the decision may be requested.
    The response to a request for correction of an error or omission in personal information will include advice as to the action taken by AAD in that regard, and the name of a contact person on behalf of AAD who can explain the response to the request and the fact that a review of the decision may be requested.
    AAD may charge a reasonable fee to a person who makes a request for access to personal information or for particulars of the use and disclosure of personal information.
    Care of Personal Information

    AAD will take all reasonable steps to ensure that personal information under its control is accurate and complete and that the same is protected from loss or unauthorized access, use or disclosure.
    AAD will notify the Information and Privacy Commissioner of Alberta in the event of any loss or unauthorized access to, use of or disclosure of the personal information under its control. 
    AAD will retain personal information for only as long as is reasonably necessary and will destroy or purge all personal information no longer required for the purposes of AAD.

    ACKNOWLEDGEMENT, WAIVER OF RIGHTS, RELEASE OF LIABILITY 

    AND INDEMNITY AGREEMENT

     

    The registered student-athlete (the “Participant”) and their parent or lawful guardian, for themselves, their heirs, executors, administrators, successors and assigns, acknowledge that the Academic & Athletic Development Institute of Edmonton (“AAD”)  is a non-profit, limited liability society incorporated under the laws of the Province of Alberta, and that the activities of the said society will include athletic and recreational programs, and related events and activities, in which the risk of loss or damage to property and serious injury, including, but not limited to: death or permanent paralysis is significant.

    The undersigned agree that, in consideration of being allowed to participate in the activities of AAD, they knowingly and freely assume all risks and perils in relation to any and all of the activities of AAD, and that AAD, its officers, directors, servants, agents, volunteers and/or any other parties contracting with it (including without limiting the generality of the foregoing, professional advisers, school boards and other boards and agencies, sponsors, advertisers, owners and occupants of any premises used for activities and their respective officers, directors, servants, agents and/or any other parties contracting with them) as well as other participants in the activities of AAD, shall not be held responsible for and are hereby remised, released and forever discharged and held harmless and indemnified in respect of any and all liability whatsoever connected with or resulting from any death, injury, loss or damage to the undersigned, or any other person, or property resulting from participation in, or presence at, or use of equipment and/or premises in relation to, the activities of AAD whosesoever and whatsoever.

    The undersigned agree that AAD or its officers, directors, servants, agents, volunteers and/or any other parties contracting with it (including without limiting the generality of the foregoing, professional advisers, school boards and other boards and agencies, sponsors, advertisers, owners and occupants of any premises used for activities and their respective officers, directors, servants, agents and/or any other parties contracting with them) as well as other participants in the activities of AAD, are not held responsible for any items that may become lost or stolen.

    The undersigned hereby gives consent for medical and/or dental treatment and admission to any facilities for those purposes in the event of an accident or injury to any person.

    The undersigned have read and understand this agreement and confirm that it is signed freely and voluntarily and without any compulsion or inducement. The undersigned agree that signatures on this document delivered electronically shall be fully effective and enforceable as if signed and delivered in original (wet) form.

    ACADEMIC AND ATHLETIC DEVELOPMENT GENERAL POLICY

     

    1.0 - OVERVIEW:

    Academic and Athletic Development (hereafter referred to as “AAD”) is creating this Policy Manual as a reference for the Policies, Strategies, and Core Operational Guidelines that AAD uses in its day-to-day operations.

    This policy may change without notice. 

    2.0 – FINANCIAL POLICY:

    2.1 – PAYMENT:

    AAD academy fees can be paid through electronic file transfer (EFT) or credit card (Visa and MasterCard). Payments begin with the deposit due at the time of registration or in the month of May for returning students. The remainder of tuition fees can be made in full at the beginning of the year (August), or be paid via 10-installment or 3-installment payment plans at your request. 

    The 10-installment plans are paid monthly and run from July 1st through April 1st.

    The 3-installment plan payments are scheduled for August 1st, November 1st, and February 1st. 

    AAD will accept payment by cheque only if the payment is made in full for the year. The cheque must be received before the first charge date of August 15th.  You will still require a valid payment method on file. Cheques are to be made out to Academic and Athletic Development (AAD).

    EFT Clients:

    In the event that your payment is returned to Non-Sufficient Funds, a $40.00 fee will be charged, and the payment will be processed again within 5 business days.

    Credit Card Clients:

    All credit card transactions are subject to a 2.4% processing fee. This agreement was made apparent at the time of registration and choosing a payment option. 

    In the event that your Credit Card expires or changes, after 3 notifications of your credit card not processing, a $20.00 fee will be charged as an administration fee.


    E-Transfer Clients:

    E-Transfers can be made to administrator@aadie.ca. After five business days of non-payment, a $20.00 late fee will be applied.

    All Clients:

    Should a STOP PAYMENT be placed on any transaction, a $40.00 fee will be charged, and the payment will be processed again within 5 business days. AAD requires a valid payment option on file at all times.

    2.1.1 - Down Payment:

    Down payments count toward your academy fees and are required BEFORE participation. Any student-athlete who has not paid their down payment will not participate in AAD programming. Down payments are 100% non-refundable and non-transferable.  The time that the down payment is due is dependent on whether the student-athlete is new or returning.

    NEW student-athletes (first time registering in any full-time AAD academy):

    Down payments will be withdrawn at the time of approval for your academy. After the email for approval for the academy has been sent, the down payment will be withdrawn within a few business days from the payment option you have specified on your account.

    RETURNING student-athletes (currently enrolled in an AAD academy, even if switching campuses):

    Downpayments will be processed on May 1st.

    2.2 - DISCOUNTS:

    Families that have three full-time and full-year student-athletes in AAD academies are entitled to the “Third Child” discount. A 25% discount on the fees of the most expensive academy will be applied. To apply for this discount, please send an email to administrator@aadie.ca. 

    2.3 - REFUNDS:

    As noted above, down payments are 100% non-refundable. Most other non-down payment refunds are prorated based on the number of days in the academy versus the number of instructional days. There will be no refunds after the last school day in the month of February.


    2.3.1 - INJURIES:

    After six weeks of non-participation due to injury, 50% of your academy fees will be retroactively refunded to the date of injury. In order to be eligible for this, a Doctor’s written confirmation of the injury must accompany your written request for a refund.


    2.4 30-DAY WITHDRAWAL NOTICE POLICY

    A parent has the right to terminate the financial contract with AAD at any time by giving thirty (30) calendar days' written notice to AAD.  The 30-day notice will be calculated upon receiving the written notice. No refunds will be issued after the month of February 28th/29th.

    2.5 LOST, STOLEN, OR DAMAGED EQUIPMENT

    AAD is in no way responsible for lost, stolen, or damaged equipment.  Student-athletes need to be responsible for the equipment at all times. 

    2.6 TRANSFERRING ACADEMIES

    2.6.1 Donnan School

    Academy transfers must be requested by the student-athlete's family through email to the Donnan AAD Campus Director and the appropriate academy’s Directors/Leads. Transfers will be considered if there is availability in the requested academy, attendance and behaviors are in line with Donnan School’s expectations, and the AAD account is in good standing. Transfers will happen after the Holiday Break (Jan 1) or Spring Break (April 1). Before the transfer is completed, AAD will disclose any financial changes that may occur. 


    2.6.2 Vimy Ridge Academy

    Academy transfers are not completed until all parties have agreed to the transfer and the financial implications have been applied. A non-negotiable $150 administration fee is applied to the financial implications for each transfer. Parties involved are the current academy, the requested academy, the School involved, and the student-athlete's family. Transfer to a new academy will only be considered at semester break or to begin a new school year.


    2.7 ARREARS

    Accounts that are in arrears with their financial commitments for more than two weeks will result in the student-athlete being removed from all AAD programming until payment arrangements have been made and approved by AAD administration.

     


    3.0 – PARENT RESPONSIBILITIES:

    It is the parents’ responsibility to transport the student-athlete to school on time with the appropriate supplies to fulfill the student-athlete’s academic and athletic commitments to the academy. 

    3.1 – EQUIPMENT:

    Student-athletes are required to have proper equipment as directed by AAD staff.  

    3.1.1– LOST OR STOLEN EQUIPMENT:

    AAD accepts no responsibility for any theft, loss or damage that may occur to any equipment.

    3.1.2– EQUIPMENT REQUIREMENTS:

    For Hockey, Lacrosse, Ringette, Golf, Esports, Baseball, and Softball, our student-athletes require the same full equipment as required by their sport’s provincial governing body. For example, Hockey Alberta requires all hockey players to wear neck guards on the ice and therefore hockey student-athletes MUST wear a neck guard for any on-ice session. Sport Fit, Outdoor Pursuits, and Brazilian Jiu-Jitsu also have specific regulations for their equipment, and that information can be found by contacting the staff of those academies.

    3.1.3– APPROPRIATE ATTIRE:

    Student-athletes are expected to be dressed appropriately for their scheduled activity. This includes ensuring clothing and equipment are not offensive or revealing, are not in disrepair, and are safe and appropriate. The appropriateness of student-athlete attire is at the discretion of their instructor and ultimately AAD’s Executive Director. Any student-athlete who is dressed inappropriately may be asked to change their clothing or equipment or may be removed from programming, with no financial refund or credit. 

    Student-athletes are required to adhere to a strict attire policy that reflects the values of respect, professionalism, and safety. All clothing and equipment must comply with the following standards to promote a positive and inclusive environment:

    Prohibition of Offensive Content:
    Clothing and equipment must not display any form of offensive language, including slander, profanity, hate speech, or discriminatory remarks based on race, gender, religion, sexual orientation, or other protected characteristics.
    Any attire displaying references to or promoting drug use, alcohol consumption, or illegal substances is strictly forbidden.
    Imagery, logos, or messages that are sexually explicit, vulgar, or inappropriate for a school and athletic environment are not permitted.
    Modesty, Condition, and Functionality:
    Attire should be modest and appropriate for physical activity, ensuring it is not excessively revealing or disruptive to others.
    Clothing must be in good repair: no torn, frayed, or damaged attire that compromises the safety or decorum of the activity.
    Footwear and equipment must be safe and suitable for the scheduled activities, reducing the risk of injury to the student-athlete and others.
    Alcohol, Drugs, and Substance-Related Imagery:
    Any attire that promotes, references, or glorifies drugs, alcohol, or illegal substances is strictly prohibited. This includes logos, slogans, or symbols associated with such substances.
    Student-athletes found in violation of this rule will face disciplinary action, which may include immediate removal from the activity and further review by AAD’s Executive Director.
    Instructor and Executive Oversight:
    The instructor has the initial authority to assess whether a student-athlete's attire meets the outlined standards.
    The Executive Director of AAD holds the final decision-making power regarding attire appropriateness. In cases of dispute or repeated violations, the Executive Director may impose further disciplinary measures, including temporary or permanent removal from the academy.
    Consequences for Violations:
    Student-athletes who fail to comply with this attire policy will be asked to change immediately. If appropriate alternative attire is not available, they may be removed from the academy for the day.
    Repeated violations may result in additional consequences, including suspension or dismissal from the academy, based on the severity and frequency of the infractions. Should suspension or dismissal from the academy be implemented, no financial refund or credit will be issued. 

    3.1.4 – AAD EQUIPMENT USE POLICY:

    AAD provides student-athletes with access to equipment and resources that support learning and development. Students must use all AAD equipment responsibly and maintain it in good condition.

    Student Responsibility:

    Students must use all AAD equipment responsibly. Misuse, negligence, or intentional damage will result in financial accountability for repair or replacement.


    Repair and Replacement Costs:

    If equipment is damaged, AAD will provide parents or guardians with documentation of the actual cost of repair or replacement. These costs will be charged to the family’s AAD account.

    Repeat Offenses:

    Repeated incidents of equipment damage may result in loss of equipment access in addition to financial responsibility.

    Fairness and Transparency:

    Families will be notified in writing before any charges are applied. Only documented costs will be billed.


    3.2 – TRANSPORTATION:

    3.2.1 – SCHOOL:

    Parents are responsible for their child’s transportation to and from school.  


    3.2.2 – TRANSPORTATION TO FACILITY:

    AAD will transport student-athletes to and from their respective facilities for their programming whenever possible. In the case of facilities within walking distance, the student-athletes will walk with supervision to their facility. 

    3.2.3 – STUDENT-ATHLETE PICK-UP

    Pick-up at off-campus locations may be the responsibility of the parents.  

    Edmonton Public School Board (EPSB) or AAD staff will remain at off-campus venues for one-half hour after scheduled programming has ended. 

    3.2.4 – HOCKEY EXCEPTIONS

    Hockey student-athletes may have programming on the ice in the mornings. It is the parents’ responsibility to ensure that they are at the rink on time in the morning. These student-athletes will be bused back to school by AAD.

    3.2.5 – STUDENT-ATHLETE DRIVERS/PASSENGERS

    Any high school student-athletes who drive or are passengers in private vehicles to or from facilities are required to fill out the appropriate EPSB authorization forms, as well as any other forms that may be required, including proof of insurance and liability.

    4.0 – AAD RESPONSIBILITIES:

    4.1 – Criminal Record Checks for Employees:

    Upon hiring, any AAD employee will have a criminal background check and a vulnerable sector check completed.  This is to ensure the safety of other employees, student-athletes, and other members of AAD from individuals with a history of violence or other serious offences. 

    4.2 – Transportation of Student-Athletes by AAD Employees

    Generally, our student-athletes will be transported to programming by bus. But on rare occasions, a student-athlete may have to be transported by an instructor or teacher in a personal vehicle. All AAD employees will fill out the Edmonton Public School Board’s Volunteer Driver Declaration Form before transporting any student-athlete.   

    4.3 – Co-Ed Dressing Room Policy

    AAD’s Co-Ed Dressing Room Policy aligns with the policies set in place by EPSB. 

    4.4 – Injuries and Return to Play Policy

    Despite all efforts to remove the risk of injury, injuries can happen. 

    It is the responsibility of the parent and/or student-athlete to inform their instructor if they have been injured and cannot participate in programming. Alternative programming will be offered to the student-athlete until they can participate in full activity.

    Student-athletes will not be allowed to participate in full programming until AAD has received written confirmation from a physician authorizing the student-athletes to return to participation.

    4.5 – Off-Campus Events and Field Trip Forms

    As AAD’s academies generally have our student-athletes off-campus at arenas and other facilities throughout the city, parents are not required to sign field trip forms for every off-campus activity. Should an activity fall outside of the normal programming, or for any activity where AAD deems it is necessary for parental approval, a field trip form will be sent home for a parent or guardian’s signature.


    4.6 – Academic Achievement

    In our experience, a student-athlete’s academic achievement increases as they become accustomed to the expectations of the school and their athletic academy. At times, a student-athlete’s academic records need to be accessed to successfully deliver an athletic academy in combination with an academic academy. By agreeing to this policy, you grant permission to access the academic records of your children enrolled in an AAD Academy. For student-athletes to remain in good standing with AAD, a minimum of 50% must be achieved in all courses. For courses where the grade is Pass/Fail (P/F), a Pass must be achieved. 


    4.7 - AAD Student-Athlete Citizenship 

    Student-athletes are required to comply with the Edmonton Public School Board’s Student Behavior and Conduct Policy.  Non-compliance resulting in suspension or expulsion from school may result in removal from AAD programming. Removal will be at the sole discretion of the Executive Director of AAD with no appeal process.
