Terms & Conditions for Paper Submission and Publication
The following Terms and Conditions govern the submission, review, and publication of papers for the ICWES 2026 Conference. By submitting a manuscript, authors acknowledge and agree to all clauses stated below.
1. Publication & Review Process
1.1 Full Paper Requirement
Only complete manuscripts that undergo and pass the required peer-review process, meet the publisher’s formatting standards, and comply with conference scope will be forwarded to the publisher for publication.
1.2 Independent Review
All manuscripts will be reviewed by appointed reviewers. The conference organising committee reserves the right to accept, reject, or request revisions, regardless of the author’s registration status.
1.3 Publisher’s Discretion
Final publication decisions rest with the publisher, not the conference organising committee. Acceptance to present at the conference does not guarantee publication.
2. Fees & Payments
2.1 Non-Refundable Fees
All publication-related fees, including the publication fee, registration fees, and additional paper fees, are strictly non-refundable, even in cases where the paper does not meet publication requirements or is rejected by the publisher.
2.2 Coverage of Fees
The publication fee covers submission to the publisher and administrative processing only. It does not guarantee indexing, timing of publication, or publisher acceptance.
2.3 Multiple Submissions
Authors may submit up to two (2) papers. A separate fee applies for each additional paper.
3. Copyright & Licensing
3.1 License to Publish
Authors must sign the publisher’s License to Publish agreement before publication. Failure to sign will result in the paper being excluded from the proceedings.
3.2 Ownership of Work
Authors must ensure that the submitted manuscript is their original and unpublished work and does not infringe any copyright, confidentiality, or intellectual property rights.
4. Ethics & Originality Compliance
4.1 Ethical Standards
All manuscripts must comply with the publisher’s ethics guidelines, including but not limited to originality, authorship accuracy, proper citation, and avoidance of plagiarism or duplicate submission.
4.2 Plagiarism Screening
Submitted manuscripts may be screened using plagiarism detection tools. Papers failing originality checks may be rejected without refund.
4.3 Misconduct
Any ethical misconduct (including data fabrication, plagiarism, or fraudulent authorship) will result in removal from the proceedings and notification to the author’s institution.
5. Responsibilities of Authors
5.1 Accuracy of Information
Authors are responsible for ensuring that all submission details — including names, affiliations, and manuscript files — are correct at the time of submission.
5.2 Revisions
If revisions are requested, authors must resubmit within the stipulated timeline. Late or incomplete revisions may result in exclusion from publication.
6. Conference Organiser’s Disclaimer
6.1 No Guarantee of Publication
The ICWES 2026 Organising Committee facilitates submission to the publisher but does not guarantee that a paper will be published.
6.2 Publisher Independence
The publisher operates independently. Any delays, technical issues, or publication backlogs are beyond the control of the organiser.
6.3 Indexing Disclaimer
Indexing (e.g., Scopus) is determined solely by the publisher. The organiser does not guarantee indexing outcomes.
7. Poster Presentation Terms (If Applicable)
7.1 Poster Materials
Poster presenters must print and prepare their own posters, following dimensions and specifications set by the organiser.
7.2 No Printing Service Provided
The conference will not provide printing, mounting, or design services for posters.
8. Conference Attendance Conditions
8.1 Registration Requirement
At least one author must register and pay the applicable fee for the paper to remain eligible for publication consideration.
8.2 No-Show Policy
Authors who fail to present (oral or poster) may have their papers withdrawn from publication, depending on publisher policy.
9. Amendments
The ICWES 2026 Organising Committee reserves the right to update, modify, or amend these Terms and Conditions as required by the publisher or conference policies. Changes will be communicated via the official conference website or email.
