CANCELLATION BY THE CUSTOMER Event Dates: 06.03.2026 – 15.03.2026
1. Deposit & Payment
- A flat deposit of €250 per person is required to secure your reservation.
- This deposit must be transferred within 3 business days of registration.
- The remaining balance is due by January 30th, 2026.
- Late Payment Policy: Failure to settle the remaining balance by the due date constitutes a breach of the booking. In this case, the organizer reserves the right to cancel the reservation immediately and release the spot to the waiting list. The deposit will be forfeited as a penalty for blocking the inventory.
2. Cancellation Fees
If you cancel your booking, the refund amount depends on the date we receive your written cancellation:
- Until January 30th, 2026: ✅ Full Refund. You receive 100% of your deposit back.
- January 31st – February 16th, 2026: ⚠️ Loss of Deposit. We retain the €250 deposit. You are released from paying the remaining balance.
- From February 17th, 2026 onwards: ❌ 100% Fee. No refunds. You are liable for the full package price, as hotel and logistics are fully finalized.
3. Replacement Option (Substitution)
Can't make it? If you find a replacement person to take over your booking, we will transfer the spot to them free of charge and refund your payments once the new participant has paid in full.
Conditions:
- Same Gender Rule: To respect shared rooming arrangements, the replacement participant must be of the same gender as the cancelling participant.
- Organizer Approval: The organizer (REAL TEAM, s.r.o.) reserves the right to reject a replacement if it disrupts the rooming configuration or creates safety concerns.
4. Changes to Booking & Downgrades, Modifications & Upgrades
Modifications & Upgrades: Requests to modify a booking (e.g., changing room type, removing accommodation, or changing dates) are subject to availability and organizer approval.
Upgrades: If you switch to a higher room category (e.g., from a 3-person to a 2-person apartment), the price difference must be paid immediately.
Downgrade Policy:
- If a request to downgrade a package is approved (e.g., switching to a non-accommodation participation fee if available):
- No Deposit Refund: The original €250 deposit will not be refunded. Instead, it will be credited toward the new package price.
- Standard Pricing: Transferred bookings are subject to Official Standard Rates. Promotional deals or cash-discount offers are not applicable to downgraded bookings.
- Difference in Price: If the new package price is lower than the deposit paid, the difference will not be refunded. Instead, the remaining balance will be issued as a Credit Voucher valid for future REAL TEAM, s.r.o. events.
