Ontario Weightlifting Association – Call for VP Administration
The Ontario Weightlifting Association (OWA) is seeking a highly competent and dedicated volunteer to join its Board of Directors as the Vice President, Administration (VP, Administration). This is a crucial leadership role responsible for overseeing the essential administrative functions and external communications of our non-profit organization.
Role Overview
The VP Administration is one of the five required Directors and Officers of the OWA Board. This individual ensures compliance with the Bylaws and policies, maintains corporate records, and manages the organization's communication infrastructure. This position is central to the governance and administrative efficiency of the OWA.
Key Responsibilities

Correspondence and Records: Managing correspondence and maintaining the Corporation's records and documents.

Meeting Administration: Ensuring meeting notices and minutes are prepared.

Communications: Overseeing internal and external communications, and maintaining the Corporation's documentation, systems, and online presence.

Membership Management: Managing membership processing, including reviewing applications, handling related funds, and providing membership data to the Board.

Committee Leadership: Leading, supporting, and delegating to administrative or communications committees or working groups as appointed by the Board.
Essential Skills
Successful candidates will clearly demonstrate competence in the following areas:
- Website, Social Media, and Communication Strategy: Expertise in developing and executing communication strategies, directly relevant to the duty of overseeing communications and maintaining the Corporation's online presence.
- Leadership with Committees: Proven ability to lead and support committees or working groups to achieve strategic goals.
- Reliability & Compliance: Commitment to performing duties honestly and in good faith, with a view to the best interests of the Corporation, and exercising reasonable care, diligence, and skill.
- Computer and Technical Skills: Comfort and ease with google workspace, canva, excel, and ability to learn new software and operating systems
Assets
- Policy Development and Analysis: The ability to support the review and implementation of organizational policies, and to analyze and uphold the Constitution, Bylaws, policies, and rules of the Corporation.
- Experience or interest in fundraising and sponsor relationship development is considered a significant asset, as the Board sets priorities for actions to further the objects and purposes of the Corporation.
Commitment
- Time Commitment: Approximately 5-7 hours per week dedicated to administrative tasks and strategic initiatives.
- Meetings: Attendance at monthly Board meetings is required (the Board must hold at least eight meetings per year). Directors must conduct a daily review of emails to ensure timely and effective communication.
- Term: The standard Director term is two (2) years.
Initial Appointment: This position is currently vacant. The Board of Directors may appoint a qualified individual to fill the vacancy for the remainder of the vacant position's term of office.
- Continuation after AGM: To continue in this role beyond the next Annual General Meeting (AGM), the appointed individual must run for election or be nominated and be successfully voted in by the Members at the AGM
Eligibility and Application
To be eligible, candidates must be 18 years of age or older, a resident of Canada, and a Regular Member of the Corporation in good standing.
