Please read the material below to make sure that all parties understand the requirements of maintaining safety for all attendees and even goers.
Deposit/Rental Fees: A signed contract and hold deposit must be received to reserve your date(s) and time(s This is a nonrefundable deposit per the cancellation policy above, unless The Paddock Event Center is forced to cancel, and then the full deposit will be refunded. The balance of your event space rental fee is due 48 hours prior to your event. No terms are implied or granted, and no work will be allowed to commence until full payment is received.
The Client agrees to be fully responsible for any damage to The Paddock Event Center, its furnishings, equipment, décor, grounds, parking areas, or any other property belonging to the Venue that occurs during the Event or during any setup or teardown periods associated with the Event. This responsibility extends to damages caused by the Client, the Client's guests, vendors, contractors, service providers, or any other individuals attending or participating in the Event at the Client's invitation.
Liability: Client agrees to indemnify, defend, and hold The Paddock Event Center, its landlord, building owners, officers, employees, and agents harmless of and from any liabilities, costs, penalties, or expenses arising out of and/or resulting from the rental and use of the premises, including but not limited to, the personal guarantee of provision, service, and dispensing of payment by client, its employees and
Smoke-Free Facility: The Paddock Event Center and the entire Ohio Horse Park is a smoke-free facility. Although the building is equipped with fire extinguishers, The Paddock Event Center is located in a potentially flammable building known as the Ohio Horse Park Welcome Center. There is no open flame or frying allowed on site or any cooking that will create a large amount of smoke as our facilities is not ventilated. If smoking materials are found on the premises, the damage deposit will be forfeited. Any guests violating the smoking restrictions will be asked to leave the premises by the staff.
Livestock Facility: Due to the nature of the Ohio Horse Park, the rental space may subject to common pests, such as flies. While all efforts will be made to keep the rental space tidy and free of pests, the close proximity of livestock may cause such sightings and exposure to be more common. By signing this agreement you agree that you understand this and are prepared to manage in the occurrence that it happens.
Lost and Found: The Paddock Event Center and Ohio Horse Park take no responsibility for personal effects and possessions left on premises during or after any event. We do, however, maintain a lost and found and will hold recovered items up to 7 days. Every attempt will be made to return any recovered item to its rightful owner.
Cleaning, Trash and Equipment Removal: The Paddock Event Center will be in clean condition prior to your event. You will need to incorporate your set-up time and clean-up time into the rental agreement times listed. You are required to return the space to the same clean condition in which it was found. All trash must be collected, properly bagged, and placed in rolling carts next to the Welcome Center. Brooms, dust mops and dust pans will be available for your use, if needed. All rental equipment must be removed by the end of the event unless other arrangements are made ahead time.
Site Decorations: The Paddock Event Center wants to make every event here a special and welcoming experience. Therefore, every effort will be made to allow the client to prepare decorations reflecting their creative requirements. No nails, screws, staples, or penetrating items should be used on our walls, brick, or wood. Any tape or gummed backing materials must be properly removed, and in an extreme case of wall damage, the damage deposit will be forfeited. Prohibited materials include: open flames, pyrotechnics, fireworks, smoke machines, or similar devices; use of glitter, confetti, rice, birdseed, or similar materials. If these materials are found to be used during the event, the damage deposit will be forfeited
Liquor and Food Liability: The Client acknowledges and agrees that The Paddock Event Center and everyone associated is not responsible for any illness, injury, damage, or loss resulting from the service or consumption of food or alcoholic beverages during the Event. The Client is solely responsible for ensuring that all vendors maintain proper permits, certifications, and liability insurance as required by State and Local laws.
