Vacations with Mel (aka Melanie Jefferson) agrees to provide the following services:

To facilitate the Booking of Travel accomodations into the Contracted Wedding Group.
To facilitate Wedding Planning between the Client and Resorts' Wedding Teams, unless Client has chosen to do so directly.
Talk with clients and their guests to determine budget, location, and additional details.
Facilitate the resort deposit and apply authorized payments on your behalf if required.
Manage all travel portfolio details such as payment, individual invoicing, and room allocation details.
Handle all files in the event of any supplier changes.
Provide consultation to the client and their fellow travelers during the planning stage and respond to all queries in a timely manner.
To provide support in case of any issues that may occur before, during and/or after travel.
Create an email campaign OR private social media group, if requested. To provide pertinent information about your destination, payment date reminders, etc.
Client agrees to the following:

To make Vacations With Mel aware of all Wedding Planning decisions and expecations, so that they may be communicated to and carried out by Sandals and Beaches Resorts in a timely manner.
To give due diligence to relevant travel warnings and abide by all required entry and Covid protocols.
To direct all guests to make reservations exclusively through Vacations With Mel, to be booked into the Wedding Group.
To take responsibility for completing travel specific duties. Client and fellow travelers agree to make all payments by the stated deadlines.

RIGHTS AND RESPONSIBILITIES

The Client has the right to choose not to proceed with any travel or wedding arrangements quoted.

Vacations With Mel will not be held responsible (financially or otherwise) for the Client or the Client's guests' failure to provide adequate Guest Information or Payment Authorization necessary to complete their bookings within the group contract. Any missed payment deadlines or missing/incorrect guest information may result in the cancellation of the Guests' rooms and/or applicable fees.

Vacations With Mel does not accept payments on the behalf of the Supplier (the venue/Sandals and Beaches Resorts/etc). All Payments will be processed directly by the Supplier, unless otherwise requested or approved directly by the Client with Written Authorization.

TERMS AND CONDITIONS

Client authorizes Vacations With Mel to act as my consultant for the Supplier (the venue/Sandals and Beaches Resorts/etc) as indicated in the documents, correspondence or other communication that will be used for travel. Client understands the Supplier is responsible for providing the wedding and travel services purchased.

Client accepts that Vacations With Mel is NOT responsible for, nor will client attempt to hold it liable for any injury, damage or loss suffered for any conditions, actions, or omissions that are beyond the reasonable control of Vacations With Mel.

Vacations With Mel warrants and declares that every effort will be made to provide the best prices available for the Client and their guests. In the unlikely event that a catastrophic situation should occur to redirect or reschedule your travel plans and the supplier is unable to provide Client with the agreed upon travel services and/or products, Vacations With Mel is not responsible for any damages.

Client understands that if traveling internationally all persons must have a valid passport book. Client understands that a passport card is not valid for air travel. Depending on destination and the origin of client passport, guests may need to obtain a visa.

Vacations With Mel will advise client of the Supplier's refund, change, and cancellation penalties. Client agrees that adequate travel insurance protection will be considered for their travels to include but not be limited to: cancellation and trip interruption, trip delay, medical coverage and loss of baggage coverage. If this protection is declined, the Client releases Vacations With Mel of all liability.

Client will review the travel documents upon receipt for accuracy. Client may contact Vacations With Mel with any questions at any time.

Group Contract:*

The Client will be given a copy of the Signed Group Contract (or similar Terms and Conditions) between Vacations With Mel and the Supplier. The Client understands their room booking and that of their guests will be subject to the terms and rates in this Contract and/or Terms and Conditions. Should the room commitment fall short of the required number of rooms, the Client will abide by the terms set for my the Resort/Supplier.

Booking & Consultation Fees:*

Unless otherwise invoiced, Vacations With Mel has waived Consultation and Booking fees and will be receiving commissions directly from the Supplier. Should there be a change in scope or responsibilities, Vacations With Mel reserves the right to amend this agreement.

On-Site Wedding Coordination:*

Client WILL be hiring Melanie Jefferson to be physically present and on property for the Wedding to provide Coordination services. Melanie Jefferson's Flight Cost and Travel Expenses and Room Rate will be paid for or reimbursed at booking in exchange for these services. A $1000 deposit to retain Melanie Jefferson for your Wedding date(s) may be applicable and will be due when the Wedding Date is chosen. (This option is highly recommended with 6 or more guest room bookings.)Client WILL NOT be hiring Melanie Jefferson for Coordination services. No presence by Melanie Jefferson at the Wedding itself or during the duration of the Group's stay is required.Undetermined at this time.

To begin work on your destination wedding, a nonrefundable payment of $1000 is required. Once this fee is paid in full, Vacations With Mel will secure and confirm travel arrangements as agreed. This fee is separate from the cost of your trip.

By submitting the form below, I understand and accept for myself and the travelers included in my party, Vacations With Mel's fee. I acknowledge and accept that there may be cancellation policies for individual reservations or group contract penalties that may apply to my travel plans and services. I also understand these fees are separate from the cost of my trip.
