    Here's what we just covered
  • 1️⃣ With Whale, residents don't pay their deposit to you. Instead, they open their own high-yield savings account to pay their deposit.

    2️⃣ Deposits are locked in their account for the duration of the lease.

    3️⃣ At move-out, any charges owed are automatically deducted from the deposit and sent to your bank account.

  • 🪄 Whale automatically requests the security deposit when the trigger specified by your settings occurs. 

    Deposits can be requested when the application is submitted, an application is approved, or when the lease is signed.

    • Each property sets their standard and conditional deposit amounts in Whale Admin as a fixed amount (e.g. $500) or a multiple of monthly rent (e.g. 1x).

      Whale then uses the application screening decision to determine if a standard or conditional deposit is required.

      Example

      A property has set their standard deposit = $500 and conditional deposit = 1x monthly rent.

      Peter's application is approved, but with conditions. Whale sends Peter a deposit request for $1,575 (1x monthly rent).

       

  • Move-ins

  • ‼️ Set the Move In Amount for any deposit charges to $0.00 before posting charges to the lease.

    If not zeroed out, the charge will post to your ledger, leading the resident to pay the property directly instead of using Whale. 

    ℹ️ If the deposit amount is used to populate the lease agreement, wait until the lease is executed before changing to $0.00.

    • If the deposit amount is not used to populate the deposit amount in your lease agreement, you can set all your unit default deposits to $0 so you don't have to remove this charge manually before posting to the lease.

      Two options to update your default unit deposit amounts:

      1. Update each unit's deposit amount manually
        • Navigate to the unit screen.
        • Click "Edit" on the unit screen and updated the value for the Deposit field to "0".
        • Save and repeat for all units.
      2. Contact Yardi support to request a bulk change.
        • Reach out to your Yardi support team to request all units for the property be set to $0.

    • If 3rd party deposit was not selected before the deposit was paid to Whale, Entrata prevents Whale from setting the status to Active.

      You can confirm the deposit two other ways:

      (1) Go to the Documents tab and look for a receipt PDF from Whale

       

      (2) Log in to Whale Admin to check if the deposit is Locked

    ✅ If Required amount = Paid amount under the Whale Deposit custom data field on the "Other Info" tab of the resident card, the deposit is fully paid.

    ❌ If not, have the resident visit gowhale.com/signup to complete their deposit.

    99% of the time, the email is in their spam or promotions folder, but they can get started by visiting gowhale.com/signup.

    You can also resend the deposit request yourself in Whale Admin.

    Whale sends important, time-senstive emails to the property's email address.

    Add notify@gowhale.com to your safe sender list and take action as soon as possible.

    • Here's how to add Whale to your safe sender list:

      Microsoft Outlook

      1. Go to Home > Junk > Junk E-mail Options.
      2. Click the Safe Senders tab.
      3. Click Add and type in "notify@gowhale.com".
      4. Click Apply to save the change.

      Gmail

      If you see a Whale email in the Spam or Promotions folder, you can simply drag it to your Inbox.

  • You inspect the unit and finalize the Financial Move-Out statement (FMO) as you normally would. Whale then sees the balance due from the resident.

    ‼️ Whale cannot release the deposit until the FMO is completed.

    • Whale sends a reminder email if the FMO is not completed 3-days before the state deadline.

      To avoid costly penalties, please make sure to complete the financial move-out immediately if you receive one of these notifications.

    • Properties can be configured to wait until the day before the state deadline to unlock the resident's deposit. This allows for any final adjustments to their balance due before Whale processes the move-out.

      If this setting is not enabled, Whale will immediately unlock the resident's deposit as soon as the financial move-out is completed.
