Job description
The Donor Engagement Officer plays a key role in ensuring seamless execution of donor communications, maintaining data integrity, coordinating with vendors, and providing operational support. This is a hands-on position in a non-automated environment, requiring strong attention to detail and ownership of process.
Key Responsibilities
Donor Communication & Campaign Execution
- Implement donor journeys and regular communications across email, SMS, WhatsApp and mail.
- Ensure the accurate and timely delivery of welcome messages, appeals, newsletters, annual receipts, and other donor communications.
Data Integrity
- Manually export, clean and import donor data to ensure integrity and accuracy.
- Segment donor lists for targeted campaigns and reporting, and monitor engagement metrics.
Vendor Coordination
- Manage relationships with vendors for printing, mailing, and digital platforms; oversee service delivery and troubleshoot issues.
- Handles quotations, contracts, stock counts, and invoice processing.
Operational Support
- Manage and follow up on donor verification, appreciation, surveys, and reissuance of certificates, giveaways and receipts.
- Manage and support donor engagement event logistics.
- Perform any other ad hoc duties as assigned.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Information Management, Operations, Marketing, or related field.
- Minimum of 3 years of experience in operations, database administration, donor/customer engagement or middle-office support.
- Strong proficiency in MS Excel and data handling.
- Hands-on experience with CRM systems and email marketing platforms (e.g. Salesforce, Apsis, etc.) is preferred.
- Excellent attention to detail, along with strong organisational and time management skills.
- Strong sense of ownership of processes and proven ability to be a good team player.
- Proficient in written and spoken English, Cantonese, and Mandarin.

- Immediate availability is highly preferred.
