First thing, we want to say thank you for taking the time to fill out this application and for your interest in joining us for our Sunflower Bloom Festival this year.
It's important that when you fill out this application you give us detailed answers and really tell us your story. We wish we could accept every creator that applies. However, we also need to make sure that each vendor has the best opportunity for success. For us, that means that we need to limit the amount of vendors who sell similar products.
Please read all of the following before you submit your application. You'll be required to provide specific permits, licenses, and insurance certificates in order to participate. You do not need these permits to submit this application, however, once accepted, we will need all of the required documents no later than July 15th. Your acceptance as a vendor is reliant on you accepting and following the festival guidelines listed below.
The festival is scheduled for August 8-16. The weekend blocks would be August 8 & 9 and August 15 & 16.
This application is for craft & artisan vendors including food products not meant to be eaten on-site. If you are selling food products meant to be eaten on-site you will need to go back and click "Food vendor"
Unless you have a store front in Concord or already have yearly permits for Concord you will need to obtain additional permits with the City. If you are accepted as a vendor, you will receive detailed information on how to complete necessary paperwork.
If you are selling physical products you will need a peddlers license from the city with a cost of $40 per week (if you will be attending both weekends it will be $80 total).
The City has now added a $30 application fee
If you are reselling products that aren't made by you, you will need an additional state license with a cost of $50 per year.
If you are selling food prepared off-site you will need a valid commercial food license. If you are looking to prepare food on-site for sale, please see our Food Vendor Application.
The City Health and Licensing Officer will be inspecting and checking permits each Saturday.
Vendors are expected to hold all appropriate licenses for their products and to have copies on hand.
Vendors need to supply an insurance certificate (1,000,000 minimum) listing Sunfox Farm as additionally insured formatted as follows: Sunfox Farm LLC, 127 Mt. Delight Rd, Deerfield, NH 03037

Vending Hours:
10 AM - 6 PM
(your booth must be in place and vehicles moved prior to 9:30AM to ensure that there is no vehicular risk to our event attendees)
When applying for a weekend, you must attend both Saturday and Sunday.
Vending Fees:
Artisan/Craft Vendor: $200/weekend or $350/both weekends
Non-Profit, Educational, Outreach: Free (you CANNOT sell any products or subscriptions)
Activities/Donation only vendor: Free (you CANNOT list prices, suggest donation amounts or require payment)
You may vend during the weekdays at no additional cost from us if you are already paying for a weekend block. If you wish to be a vendor only on weekdays, there is a $25 fee per day.
This year, we are offering a reduced rate for vendors who are participating both weekends.
Location & Setup:
You will be designated a booth location, a map will be released prior to the event and event staff will be there to assist you with finding your spot. You will be able to drive to the vendor area however, your booth must be in place and vehicles moved no later than 9:30am. If you arrive late, your car will not be allowed access to the fields. This is for safety reasons. You will have to walk your supplies to your vending space. Set up for vendors will open at 8 am and breakdown can begin at 6 pm.
Vendors are required to provide all necessary items to set up their booth/table.
NOTE: there is no access to power near the booths. If power is necessary you may utilize a generator no louder than 63 decibels, if we find your generator exceeds 63 decibels you will be asked to shut it down. You will need prior approval to use a generator, please specify on your application if you need a generator and the reason you are using a generator.
Vendors MUST weigh down each of their tents/shades with at least 40lb weights for each leg, it can be very windy on the farm. If Sunfox Farm observes inadequate weights you will be asked to take down your tents/shades in the interest of safety.
Attendance:
Vendors are expected to stay in place for the duration of our open hrs regardless of if you sell out of product, breakdown starts at 6pm. Violators will not be invited back!
If you are unable to provide services at the event, you MUST notify Amber Pollock as soon as possible prior to the event at (603)345-1740. No shows will forfeit their space to another vendor for future dates. You will not be invited back.
Vendors will receive wristbands for each day to ensure the ability to come and go as needed. Please understand these wristbands are meant for people working the booths and not intended to be handed out to general attendees for the event.
Vendors are expected to only bring products listed on their applications and may be asked to remove certain products from their table at Sunfox Farm's discretion.
Operations:
You are fully responsible for ensuring that your assigned space is left in the same condition at the end of the event as when you arrived.
Vendors are expected to keep their booths reasonably clean throughout the duration of the event.
Vendors are expected to display professionalism, courtesy, and respect when speaking or dealing with ANY guest. If there are any issues please notify Sunfox Farm staff and we can assist.
Weather Policy:
Our events will operate rain or shine; however, an event may be cancelled due to extreme weather as determined by Sunfox Farm's sole discretion. Notification of cancellation will be provided by 8:00 am on the date of the event. Customer attendance at our events is weather dependent but generally if theres a slow day due to weather, the good weather days will be that much busier. In the event that there is thunder or lightning, we are required to clear the fields until it passes, which includes our vendors. We will do our best to have vendor parking as close to the festival grounds as we can.
Security:
Vendor assumes all risk of loss or damage to merchandise or other property, regardless of cause. Sunfox Farm is not responsible for property that is lost, stolen or damaged. We do not recommend leaving your set up overnight due to the high visibility of this property , however you are welcome to do so if you wish. Sunfox staff will be staying on-site throughout the event.
Media Release:
By submitting this application and participating in an event at Sunfox Farm, vendor agrees to the following statement: I hereby give my consent to all photographs, audio recordings, and/or video recordings taken of me or my staff. I understand that any such photographs, audio recordings, and/or video recordings become the property of Sunfox Farm and may be used by Sunfox Farm, or others with their consent, for promotional purposes determined by Sunfox Farm in broadcast and media formats now existing or created in the future.
Trash:
Trash and recycling receptacles are placed throughout the farm event space for customers. We ask that vendors do not fill our trash cans but rather bring their own bags of trash to our dumpster at the end of the day.
Payment:
Your payment will be due by June 15th. Once accepted as a vendor you will be sent an invoice through email. If payment isn't received we will offer your block to another applicant.
Cancellation's:
To insure we are able to fill vacant blocks in time we ask that you cancel no later than July 1st. If you had already made a payment you will receive a full refund at that time. Cancellation's after this date will not be refunded.
Timeline:
Applications will close March 1 and we will begin notifying applicants March 15.
