    This application is for the delivery of face-to-face projects during Spring 2026 only.

    Before starting the application, you will need to have prepared and be able to attach the following documents:

    • A recent bank statement or paying in slip (within the past 3 months)

    Please note, this application form should be read in conjunction with the HAF Application & Provider Expectations Documents .   • Section 2 : Project Overview

  • If you have run HAF provision in Barnet previously, your track record from former programmes will be taken into account and used as a part of the scoring process when evaluating your application. This will include but is not limited to:

    • Ability to consistently meet deadlines
    • Quality Assurance visit outcomes
    • Food hygiene ratings
    • Previous performance data

    We will also take into consideration any:

    • Evaluations, complaints and compliments
    • Attendance, cancellations and decline data
    • Serious incidents and concerns
  • OFSTED Registration - It is the responsibility of individual HAF providers to understand whether they are legally required to be OFSTED registered, and for legally reviewing their status wheneve the provision they are offering changes. 

    Certain providers can opt to register with OFSTED even if not required. Registration offers benefits to families, such as eligibility for Tax-Free Childcare or the childcare costs element of Universal Credit. This can allow families to claim back up to 85% of childcare costs when using Ofsted registered settings.

  • Section 3 : Your Project

    In this section we need as much detail from you about the programme, as this information will be displayed on the BarnetYouth.uk website.
  • The HAF Programme in Barnet aims for most providers to deliver the full HAF over as set out in the Department for Education standards. This includes:

    •        Running for a minimum of 4 hours per day

    •        Able to provide nutritious food that meets school food standard (either in-house or via external catering providers) - https.//www.legislation.gov.uk/uksi/2074/7603/contents  

    •        Able to provide enriching activities including 60 minutes of physical activity per day - https://www.gov.uk/government/publications/physical-activity-guidelines-uk-chief-medical-officers-report 

    •        Able to meet all the DfE delivery standards -

    •        Offering provision for children and young people only (not family events).

  • Funding is for a maximum of 4 days, with the funding for each day being no longer than 4 hours. Please ensure this is refected below.

    During Spring delivery, we would prefer providers to deliver their provision On Monday to Thursday in the first week of the School Holidays (30th March - 2nd April) - unless this is not possible (for example for religious reasons)

  • Additional Documents

    If your application is successful, you will be required to provide a session plan for each day's delivery which also includes the food offering.
  • Project Visit

    A member of the LBB/YBF team aim to visit your project to view delivery and check key criteria that we are required to report back on. These visits are unannounced however if you are scheduled to be offsite, please include dates below so they can be avoided.
  • Inclusive Delivery

  • There are four types of Special Educational Needs and Disabilities (SEND), as defined by the Department for Education:

    • Communication and interaction
    • Cognition and learning
    • Social, mental and emotional health
    • Sensory or physical

    Providers must conform with the Equality Act 2010, and must make reasonable adjustments to ensure  provision is accessible to all, and  ensure all staff and volunteers receive appropriate training

  • Section 4 : Due Diligence

  • Within this section you are asked to provide a number of due diligence documents (as outlined in the HAF 2026 Checklist) to meet the requirements. If you do not have all of these, please upload those which you do have, and the outstanding documents will be chased up for submission by our HAF coordinator prior to the project starting. Failure to provide these would mean we have to cancel the grant award and delay the initial payment of any funds.

  • We are unable to guarantee volunteers but we will pass your details on to Volunteering Barnet who are collating HAF volunteers and they will be in touch.  

  • Section 5 : Monitoring and Evaluation

  • Reporting is not designed to be onerous, however, we need to evidence the impact of funding so that we can grow local funding to support the sector further along with accounting for Public Money, more information in the accompanying programme documents.

    All grant recipients will be required to monitor their projects against pre-determined criteria provided and submit monitoring reports. Reports will be required at the end of the project, as agreed with the Grants Committee. If successful, your organisation will be provided with the full details of the Monitoring & Evaluation required.   

    The following information will be requested as a part of your Monitoring & Evaluation:

    Completed register recording details of each attendee at the project - This must be completed in full via a Barnet Youth account. Full data for each participant will be required. 

    For some organisations, where participants are not in mainstream schools, they will be required to undertake a register via an Offline Attendee Data Form. All the data requested on this form must be collected, and the form completed in full. 

    A completed Monitoring & Evaluation Form, details of which will be provided to you if successful.

    A photograph of the activity; appropriate permission for this must be sought and recorded

    All providers will also be required to complete Case Study documents to be provided either during project delivery, or as part of Monitoring & Evaluation process. These form an integral part of the M&E, and must be returned. 

    Reporting should be in line with the criteria in the Eligibility document, and you should confirm below that you have read and agree to these. This includes acknowledgement that the data provided will be shared with London Borough of Barnet to satisfy the requirements of the funder. 

    Monitoring & Evaluation must be completed and returned by the deadline communicated to you in any award email; this is essential as Young Barnet Foundation is required to provide data back to the funder and Department for Education by strict deadlines following each period of provision. Failure to do so may a) damage your chances of recieving future BACE HAF grant funding b) lead to a reduction in final payment on the grounds of inability to assess your perfromance in a timely manner. 

    ALL SUBMISSIONS must be through the online Monitoring & Evaluation form.
