STEMBALL™ Program — Terms & Conditions
Effective February 2026
By enrolling a student in the Boot Camp for Brains STEMBALL™ program, the parent or legal guardian (“Client”) agrees to the following Terms and Conditions.
1. Services Provided
Boot Camp for Brains, LLC (“BCFB”) provides educational tutoring and enrichment services, including STEMBALL™ instruction, academic skill-building, movement-based learning, STEM activities, and group-based training. Programs may include hands-on learning, physical activity, and team-based instruction.
BCFB does not guarantee specific academic, behavioral, or athletic results.
2. Faith-Based Program
Boot Camp for Brains is a Christian, faith-based organization. We love the Lord and strive to model integrity, discipline, respect, and excellence. Biblical values may be reflected through staff conduct and program culture. We will implement prayer before and after each session.
Enrollment indicates acceptance of this faith-based environment.
3. Student Eligibility
STEMBALL™ is open to students in Grades 3 through 8.
Enrollment is limited to maintain safety, instructional quality, and supervision standards.
4. High School Volunteers
High school students may serve as volunteers to earn community service or volunteer hours.
Volunteers:
Are not enrolled students
Do not receive instruction
May be assigned setup, coaching support, or activity assistance

5. Registration & Payment
The first session fee ($50) is due immediately upon submission of this registration form.
Each STEMBALL™ session is $50 per student unless otherwise stated in writing.
Families will be issued a TutorBird account to:
Schedule sessions
View invoices
Track attendance
Manage payments
Families using Step Up for Students (EMA) must reserve funds immediately when invoices are issued to hold their student’s seat.
Weekly tuition is due no later than the day after the first session of each week.
A $25 late fee applies to overdue balances unless prior written arrangements are approved.
Services may be paused or terminated for non-payment.
6. Refund & Makeup Policy
No refunds or credits issued for
Absences
No-shows
Voluntary withdrawals
Schedule conflicts
If BCFB cancels a session, a makeup session or credit will be issued.
Because STEMBALL™ operates with limited capacity and waitlists, makeup sessions are not guaranteed and may only be offered at BCFB’s discretion for cancellations made with at least 24 hours’ notice.
7. Cancellations & Rescheduling
24 hours’ notice is required to cancel or reschedule.
Sessions canceled with less than 24 hours’ notice will be charged in full.
If BCFB cancels, families will be notified and a makeup or credit will be provided.
8. Session Location
All STEMBALL™ sessions will be held at:
Gardenville Basketball Court
The full address and arrival instructions will be provided in the Welcome Letter before the program begins.
9. Student Behavior & Safety
Students are expected to:
Follow staff instructions
Treat others with respect
Participate appropriately
Maintain safe behavior
Disruptive, unsafe, or disrespectful behavior may result in immediate removal without refund.
10. Parent / Guardian Responsibilities
Parents or guardians must:
Ensure timely drop-off and pickup
Maintain current emergency contact information
Inform BCFB of medical, behavioral, or safety concerns
Repeated violations may result in additional fees or removal from the program.
11. Privacy & Safety
BCFB takes reasonable steps to protect student information. Personal data will not be shared except as required by law or necessary for program operations.
12. Materials & Property
All learning materials and equipment remain the property of Boot Camp for Brains unless otherwise stated. BCFB is not responsible for lost or damaged personal items.
13. Medical Conditions, Risk Acknowledgment & Limitation of Liability
STEMBALL™ includes physical movement, outdoor activity, group games, and hands-on instruction. Parents/guardians acknowledge that participation involves inherent risk, including but not limited to minor injury, illness, or accidents.
By enrolling a student, the parent or legal guardian:
Confirms that their child is physically and medically able to participate,
Agrees to disclose any medical conditions, allergies, medications, or special needs prior to participation, and
Accepts full responsibility for their child’s participation in the program.
Boot Camp for Brains, its owners, staff, and contractors are not responsible for injuries, illness, loss of property, or outcomes resulting from:
Undisclosed medical conditions
Failure to follow instructions
Normal program activity
Acts of other participants
Environmental or outdoor conditions
Except where prohibited by law.
By enrolling, families voluntarily assume all risks associated with participation.
14. Media & Testimonials
Unless written notice is provided to opt out, families grant permission for Boot Camp for Brains to use photos, videos, student work, and testimonials for marketing and promotional purposes.
15. Agreement
By registering a student, the parent or legal guardian confirms that they have read, understood, and agreed to these Terms and Conditions.
