Club Indemnity and Standard terms and Conditions of Membership
The applicant, or the parent/legal guardian of an applicant under the age of 18, hereby applies for membership with Old Bens Sports Club (Football Section), hereafter referred to as OBFC, for the 2026 season (February 2026 – October 2026).
By submitting this application, and subject to acceptance, the applicant and/or parent/guardian agrees to the following Terms and Conditions:
1. Accuracy of Information
All information provided on the registration form is true, accurate, and complete. OBFC reserves the right to cancel membership should any information be found to be false or misleading.
2. Compliance with Club Rules
The member agrees to comply with all rules, the Constitution, and the Codes of Conduct of OBFC, as well as those of any affiliated leagues or governing bodies.
Members are expected to uphold good sportsmanship and conduct themselves in a manner that positively represents the Club at all times.
3. Coaching and Team Decisions
All coaching, team selection, training group placement, and playing time decisions are at the sole discretion of the appointed coaches and Club officials.
Registration with OBFC does not guarantee participation in matches every week.
4. Risk and Indemnity
Participation in football and related activities involves inherent risks. All sporting and related activities undertaken as part of OBFC membership are done at the member’s own risk.
The parent/guardian hereby indemnifies and holds harmless Old Bens Sports Club, including its Football Section, officers, officials, employees, and agents, against any claims, loss, damage, injury, or liability arising from participation in Club activities. This includes, but is not limited to, training, matches, transport arrangements, and events.
Designated Club officials may act in loco parentis when reasonably required.
OBFC shall not be liable for loss of or damage to personal property brought to Club activities.
5. Medical Consent
The parent/guardian consents to basic first aid being administered if required.
In the event of a medical emergency, the parent/guardian authorises OBFC and its representatives to obtain any necessary medical treatment for the player, as advised by a qualified medical practitioner. All medical costs remain the responsibility of the parent/guardian.
Any relevant medical conditions, allergies, or special needs must be disclosed to the Club in writing.
6. Fees and Payment
The member agrees to pay all fees as set out in the registration form.
All fees are non-refundable.
Fees become payable upon acceptance of the application.
No refunds will be made if membership is terminated before the end of the season.
Failure to pay fees in accordance with Club policies may result in interest being charged, suspension of participation, or termination of membership. All outstanding fees remain payable up to the date of termination.
No clearance or transfer letter will be issued while any fees remain outstanding.
7. Registration, Eligibility, and Participation
Membership is valid for one season only and must be renewed annually.
Players will not be permitted to train, participate in league matches, tournaments, or receive Club kit unless:
All required documentation has been submitted, and
All applicable fees (or required minimum payments) have been paid.
A minimum payment of R1500.00 is required for participation in tournaments.
ELFA player cards remain the property of OBFC and may be withheld or withdrawn if fees are outstanding or disciplinary issues arise.
8. Training Attendance
Regular attendance at training and matches is expected. Failure to attend without reasonable notice may affect team selection.
Sessions cancelled due to weather, field unavailability, or other unforeseen circumstances will not be refunded. OBFC will make reasonable efforts to reschedule where possible.
9. Kit and Equipment
Players are required to wear the official OBFC kit at training and matches and adhere to Club appearance standards.
Players are responsible for replacing any Club-issued equipment lost or damaged due to negligence.
10. Discipline and Fines
The parent/guardian agrees to reimburse OBFC, as liquidated damages, for any fines imposed on the Club by a governing body as a result of misconduct by the member, player, or any immediate family member.
The OBFC Committee shall be the sole judge of misconduct and any pro-rata amount payable.
Submission of fraudulent or false documentation will result in permanent suspension from OBFC and the Easterns Football Association. No registration fees will be refunded.
11. Media and Promotion
Team and individual photographs and videos may be used by OBFC for promotional purposes, including on the Club’s website and official social media platforms (including Facebook).
12. Data Protection
OBFC will collect and process personal information for registration, administration, and communication purposes in accordance with the Protection of Personal Information Act (POPIA).
13. Communication
All official Club communication, including notices and fee information, will be sent via the Club’s designated platforms (including email and WhatsApp). Parents are responsible for staying informed and for notifying the Club of any changes to contact details.

Please note that we may not be able to answer you immediately, but will respond asap. All committee members are volunteers, so please allow 24-48 hours. We will do our utmost to respond before that.
15. Agreement and Acknowledgement
By submitting the registration form and making payment, the applicant and/or parent/legal guardian confirms that they have read, understood, and agree to these Terms and Conditions and consent to participation in OBFC activities.
