100 Faces of Bexley is committed to safeguarding and promoting the welfare of children, young people, and vulnerable adults, in line with UK safeguarding principles.
- Nominations must be made in good faith and should not include information that could place the nominee or others at risk.
- Children and young people under the age of 18 will only be considered with the written consent of a parent or legal guardian.
- Where a nominee may be considered a vulnerable adult, additional safeguarding checks and consent may be required.
- Sensitive safeguarding concerns should not be detailed within this form. Any concerns should be reported directly to the project team.
- We reserve the right to decline or withdraw a nomination if safeguarding concerns arise at any stage of the project.

What data we collect
We may collect the following personal data about nominators and nominees:
- Names and contact details
- Personal stories and background information
- Photographs, audio, or written contributions (if selected)
- Age or age range and community connection
How we use the data
Personal data is collected and processed for the purpose of:
- Assessing nominations for inclusion in the 100 Faces of Bexley book
- Contacting nominators and nominees
- Producing and promoting the 100 Faces of Bexley publication and related materials (only with consent)
Lawful basis for processing
Under UK GDPR, the lawful basis for processing personal data is:
- Consent – provided by the nominator and, if selected, by the nominee
- Legitimate interests – for administering and delivering this community project
For children under 18, processing is based on explicit parental or guardian consent.
Data storage and retention
- All personal data will be stored securely, either digitally or in hard copy.
- Access will be limited to authorised members of the project team.
- Data will be retained only for as long as necessary to complete the project and meet legal or administrative requirements.
- Unsuccessful nominations may be securely deleted after the selection process.
Data sharing
- Personal data will not be shared with third parties without explicit consent, unless legally required.
- If a nominee is selected, they will be asked to sign a separate media and publication consent form before any content is published.

Under UK GDPR, you have the right to:
- Access your personal data
- Request correction of inaccurate data
- Request erasure of your data
- Withdraw consent at any time; before going to print.
- Object to processing in certain circumstances
