Earth Day 2026 Vendor Registration Form

Welcome to the 2026 Earth Day Vendor Registration Form!

We are so excited that you want to be a part of such an important event!

This year’s Earth Day celebration will take place at Soldiers and Sailors Memorial Park in Mechanicsburg, PA, from 9:00 AM to 3:00 PM on April 18, 2026. Vendor setup will be held on Saturday from 7:00 AM to 8:30 AM. Please note that Memorial Park Drive must be clear of all vehicles by 8:30 AM. Booth locations and parking information will be emailed to vendors during the week of the event.

The rate for a 10’ x 10’ vendor space is $40 if registered before March 1, 2026. The rate increases to $50 for registrations received after March 1, 2026. Please note that all vendors are responsible for providing their own tables, chairs, and tents.

Vendor Rules and Guidelines:

All vendors must complete the entire application. Only one application is permitted per vendor. Please read the application carefully before submitting.

The following items are strictly prohibited:

• Styrofoam
• Alcoholic beverages
• Weapons (of any kind)
• Balloons
• Obscene material
• Drug-related items
• Fireworks
• Open flames (except for cooking purposes)

All vendors must provide a current Certificate of Insurance, with the Borough of Mechanicsburg listed as an additional insured on a commercial general liability policy. A copy of the certificate must be emailed or mailed to the Borough of Mechanicsburg in accordance with the instructions provided on the application.

All vendors selling items are responsible for obtaining a Pennsylvania Sales Tax License and must include the license number on their application. For information on obtaining a sales tax license, please contact the PA Department of Revenue at (717) 783-1405.

No refunds will be issued after April 1, 2026. There are no rain dates for this event, and refunds will not be provided due to inclement weather. Vendors should be prepared to bring a tent in the event of rain and ensure that all tents are properly weighted in case of wind.

The Borough of Mechanicsburg assumes no responsibility for lost, damaged, or stolen property or merchandise.

Failure to comply with these rules and guidelines will result in immediate expulsion from the event.

Certificate of Insurance

 A Certificate of Insurance must be provided to the Borough of Mechanicsburg.  The agent or carrier must provide a contact name, address, and phone number. The Borough must be named as certificate holder.

The fee must accompany the application and be received by April 1, 2026. Checks should be made payable to to the Borough of Mechanicsburg.

Applications received after April 1, 2026, will be reveiwed and will be returned unproccesed if there is no space available. Any incomplete applications, missing tax ID #'s or insurance certificate will result in permits not being issued to the applicant or applicant's organization. No refunds are granted due to inclement weather. Permits are issued at the discretion of the Borough of Mechanicsburg.
