We design and advocate for the ecologically restorative and socially engaged landscapes, urban environments, and natural infrastructure of the future. ABOUT THE ROLE
Our studio is looking for a reliable and organized Studio Assistant in our San Francisco office. This individual will undertake a wide variety of administrative tasks and help our office operations and systems run smoothly. The ideal candidate is a self-starter who can prioritize and work with weekly supervision. Outstanding communication and organizational abilities, along with general technology proficiency with an emphasis on Microsoft Office (Excel, Word, and Outlook), Adobe InDesign, and basic office management procedures are required. Successful candidates will have a flexible mindset and be positive, self-motivated, trustworthy, and dedicated to the mission of SCAPE.
The individual in this role will directly report to a Sr. Operations Manager and work under a wider team of administrators to ensure the smooth functioning of our SF office and firm systems. Note that professional advancement in this role would be solely in an administrative capacity.
An ideal candidate has 2+ years of experience working as an administrator in an office environment. Experience in the AEC industry at another design firm is a plus.
RESPONSIBILITIES
Studio Operations & Office Assistance:
- Greet and welcome clients, collaborators, and visitors at the front desk; assist with meeting setup and breakdown, including ordering refreshments as needed.
- Assist with scheduling meetings, conference rooms, and occasional travel logistics.
- Support internal events, studio gatherings, and client meetings.
- Maintain the physical office environment, including the kitchen, common areas, conference rooms, materials and book libraries, and storage areas, ensuring they remain tidy and well organized daily.
- Serve as a general administrative resource for the San Francisco studio (10+ staff).
- Assist with workstation setup and provide day-to-day IT support in coordination with external IT consultants.
- Support basic troubleshooting and coordinate maintenance for office equipment, including the photocopier/plotter, cameras, iPads, and conference room technology.
- Manage office, design, and kitchen supplies, proactively monitoring inventory and placing orders as needed.
- Receive, unpack, and distribute deliveries and packages; send mail and coordinate FedEx or courier shipments.
- Coordinate with building management and cleaning staff to address maintenance issues and communicate updates to staff.
- Coordinate with administrative and operations staff in other offices (NYC, NOLA) to support firmwide consistency.
- Run occasional errands as needed.
Finance & Accounting Support:
- Maintain organized digital and physical filing systems for invoices, receipts, and office records.
- Support expense reporting for the San Francisco studio and firmwide.
- Assist with project billing and related administrative tasks.
- Process accounts payable, including vendor and subconsultant invoices.
- Provide administrative support for the annual audit.
EXPERIENCE, QUALIFICATIONS & SKILLS
- Bachelor’s degree
- Strong attention to detail and ability to track and follow through on tasks to completion.
- Flexible and team-oriented approach with excellent communications skills.
- Proficiency in Microsoft Software (Outlook, Excel, Word, PowerPoint etc.) and Adobe InDesign.
- Proficiency with Deltek Ajera or another ERP Software is a plus.
- Willingness to work in-person 5 days per week.
- Ability to work in the U.S.A. and to begin work in-person in our San Francisco office on or around February 23rd.
COMPENSATION & LOCATION
This is a full-time salaried position with medical, dental, vision, 401(k) and transit benefits. Salary is commensurate with experience and ranges from $60,000-68,000. Our office operates Monday through Friday from 8:00-5:00PM, including an hour lunch break. Full-time in-person work is required for this position.
