  • Porchlight Vendor Conduct Policy

    All vendors, contractors, and service providers (“Vendors”) engaged in events affiliated with Porchlight; An Event Company (“Porchlight”) are required to comply with this Vendor Conduct Policy. This policy is designed to protect the safety, dignity, and interests of clients, guests, vendors, Porchlight staff, and the organization as a whole.

    By participating in a Porchlight-affiliated event, Vendors agree to conduct themselves in a professional, lawful, and respectful manner at all times—before, during, and after the event.

    Legal & Ethical Compliance

    Vendors must comply with all applicable federal, state, and local laws, regulations, permits, licensing requirements, and venue policies. Vendors are solely responsible for ensuring their staff and subcontractors meet all legal and insurance obligations.

    Prohibited Conduct

    The following behaviors are strictly prohibited at any Porchlight-affiliated event, including during setup, execution, breakdown, and any related communications:

    1. Theft or Misappropriation- Any form of theft, fraud, embezzlement, or misuse of property, funds, equipment, or materials.
    2. Property Damage- Intentional or negligent destruction, defacement, or misuse of venue property, client property, guest property, or vendor equipment.
    3. Substance Use- Working under the influence of alcohol, illegal drugs, or impairing substances.Possession, use, or distribution of illegal drugs or drug paraphernalia is prohibited.
    4. Violence & Threatening Behavior- Any form of violence, physical aggression, threats, intimidation, or fighting, including verbal or non-verbal acts intended to cause fear or harm.
    5. Harassment & Discrimination- Any form of harassment or discrimination based on sex, gender identity, sexual orientation, race, color, religion, age, disability, national origin, veteran status, or any other protected characteristic, including sexual harassment.
    6. Sexual Misconduct- Sexual assault, unwanted physical contact, inappropriate advances, or sexually explicit conduct of any kind.
    7. Intimidation or Coercion- Use of intimidation tactics, coercion, or undue pressure toward clients, guests, staff, vendors, or Porchlight personnel.
    8. Defamation & Malicious Statements- Making false, misleading, or malicious statements—publicly or privately—that could harm the reputation, livelihood, or safety of individuals or organizations.
    9. Confidentiality Violations- Unauthorized disclosure of private, confidential, or sensitive information relating to clients, guests, staff, vendors, or Porchlight operations.
    10. Weapons & Dangerous Materials- Possession of firearms, explosives, or other dangerous or unauthorized materials unless explicitly permitted by law, venue policy, and Porchlight in writing.
    11. Abusive Language & Conduct- Use of excessively abusive, threatening, obscene, or inappropriate language or behavior, whether verbal, written, or electronic.
    12. Falsification of Records- Falsifying reports, contracts, invoices, credentials, certifications, insurance documentation, or time records (including one’s own or another’s).
    13. Failure to Follow Direction- Refusal to follow reasonable instructions from Porchlight staff, venue management, or authorized event leadership when related to safety, logistics, or event execution.

    Professional Standards

    Vendors are expected to:

    • Present themselves in a professional manner, including appropriate attire and communication
    • Treat all individuals with respect and courtesy
    • Maintain a cooperative, solution-oriented attitude during event operations
    • Ensure subcontractors and staff adhere to this policy

    Enforcement & Consequences

    Violations of this policy may result in immediate corrective action, including but not limited to:

    • Removal from the event site
    • Termination of vendor relationship
    • Disqualification from future Porchlight events or preferred vendor status
    • Financial liability for damages
    • Reporting to venues, clients, insurers, or legal authorities when appropriate

    Porchlight reserves the right to determine the severity of violations and the appropriate response at its sole discretion.

    Acknowledgment

    By participating in a Porchlight-affiliated event, Vendors acknowledge that they have read, understand, and agree to comply with this Vendor Conduct Policy.
