    Please thoroughly read our terms and conditions. We take great pride in providing the best care possible to your beloved pets and this document ensures you are aware of how our pet care business functions.

    • Camp Rockford Pet Stay Policies 
    • Health & Vaccination Requirements
      Owner represents that all dogs are healthy and have current vaccinations for rabies, distemper/lepto combo, and Bordetella, as well as a current negative fecal exam. Owner is not enrolling any dog with a condition that could jeopardize the health of other dogs or people and confirms no communicable condition within 30 days prior to enrollment. Owner understands that even vaccinated dogs may contract kennel cough or other dog-transmitted illnesses and agrees not to hold Camp Rockford responsible.

      Illness & Attendance Policy
      For the health and safety of all pets and people in our care, dogs showing signs of illness must not attend Camp Rockford.

      Dogs should not arrive if they are experiencing any of the following:

      • Vomiting
      • Diarrhea or loose stool
      • Coughing, sneezing, nasal discharge, or other signs of upper respiratory illness
      • Lethargy, fever, or reduced appetite
      • Any potentially contagious condition

      Dogs must be symptom-free for at least 48 hours prior to arrival, without the aid of medication to suppress symptoms If a dog becomes ill during their stay, Camp Rockford will isolate the dog as appropriate and follow the veterinary and emergency procedures outlined in this agreement. Any related veterinary care, transportation, or additional cleaning fees will be the responsibility of the Owner. Camp Rockford reserves the right to refuse admittance or dismiss any dog showing signs of illness upon arrival or during their stay, at its sole discretion.

      Illness, Senior & Special-Needs Dogs
      Owner understands that senior dogs, puppies, and dogs with weakened immune systems carry higher risks. Owner waives any claim for injury or illness occurring during daycare or boarding. If a dog becomes injured, ill, or passes away while in our care, Camp Rockford will transport the dog to the Owner’s veterinarian within 10 miles or to the nearest 24-hour facility. A vet visit charge applies, including a minimum $15 transportation fee and may include $25 per hour spent at the vet.

      Right of Refusal
      Camp Rockford reserves the right to refuse admittance or dismiss any dog that does not meet or maintain health, temperament, or program standards at its sole discretion.

      Arrival & Curbside Drop-Off
      Please park and text 312-715-7812 upon arrival. We will come to the sidewalk to collect your pet and their belongings at our curbside sidewalk. All drop-offs and pick-ups are pre-scheduled times. We kindly ask that you do not drop off or pick up without prior arrangement. If you are running late or need to pick up items earlier than scheduled, please send us a courtesy text.

      Business Hours & Communication
      You trust that Camp Rockford is caring for your pet 24 hours a day, each day, while in our care, and you acknowledge that we respond to contact during business hours 9 AM to 5 PM, 7 days a week. If your pet is in our care, Camp Rockford will be available for drop-off and pick-up communication starting at 7:30 AM and ending at 9 PM Monday–Friday, and starting at 8:30 AM on weekends. Daily updates will be texted during standard business hours Monday through Friday and may be less frequent on weekends as Camp Rockford also needs downtime. We often send updates at all hours at our discretion; however, responses outside standard business hours are not guaranteed unless in the case of an emergency. We will respond to all booking inquiries within 24 hours during standard business hours Monday through Friday.

      Collar, Harness & Leash Requirements

      • All pets must arrive on a leash with a properly fitted collar or harness.
      • We require your pet to have a flat or martingale collar with identification for safety purposes during their stay.
      • For walks, a martingale collar or harness is required.
      • We do not walk dogs on flat collars, prong collars, or choke chains.

      Personal Items
      Please do not bring blankets, toys, or beds.

      Food & Medication
      Bring enough food for the scheduled stay plus extra in case of delays or winter weather.

      • All food must arrive sealed containers.
      • Do not bring full manufacturer bags unless needed for extended stays.
      • Food may be pre-portioned or packed in sealed bags or containers.
      • Bowls and measuring cups are provided—please do not bring them.
      • You are welcome to provide special treats or snacks for them.

      When boarding overnight, Owner agrees that it is the Owner’s responsibility to leave an adequate supply of food and medications for the entire stay.

      Medication must be brought in the original prescription bottle, clearly labeled with the pet’s name and dosage instructions.

      Should food or medication need replacement, Owner authorizes Camp Rockford to purchase a replacement and Owner will reimburse Camp Rockford for the actual cost and may incur an additional $15.00 time/distance trip fee per occurrence.

      Fleas, Grooming & Cleaning Fees

      • All dogs must be flea/tick-free. If fleas or ticks are observed, a flea/tick bath will be applied and charged up to $80, depending on severity and dog size.
      • Nail trims up to $15 will be charged if nails cause injury to persons or property.
      • Bathing will be charged $45 if a dog soils their fur during stay or arrives presenting unclean.
      • Cleaning fees of $25 per occurrence apply for incontinence, vomit, or similar incidents inside the home

    • Payments
      Payments are due and payable at the end of each visit, by pick-up. Accepted payment methods include cash, check, Venmo, or Zelle (we can send the first digital payment request if that helps). A 3.5% + $0.30 fee applies to all credit card payments.

      Deposit & Cancellation Policy

      How to Book 
      The booking process itself remains unchanged.

      • Submit all requests using our booking link
      • Select your requested dates
      • Choose your scheduled drop-off and pick-up times

      How Confirmation Works
      Stays of two (2) days or fewer: Will be confirmed as usual with no deposit required
      Stays longer than two (2) days:

      • You will receive an email confirming availability and the total deposit due
      • The deposit is payable immediately to complete the booking request
      • Requests will remain pending until the deposit is received
      • Once the deposit is paid, your reservation is considered confirmed and subject to the applicable cancellation and deposit policies.

      What Is Considered a Cancellation
      A cancellation is any change to the originally booked dates or services that reduces the total number of reserved days or the total cost of the stay. This applies even if the stay is not cancelled in full.

      This includes, but is not limited to:

      • Removing one or more days from a booking
      • Shortening a stay after it has been confirmed
      • Changing arrival or departure dates that reduce the total nights
      • Switching from overnight care to day camp only
      • Early pick-ups once a stay has begun
      • Any reduction in services originally reserved
      • These changes are treated the same as a full cancellation because the reserved space can no longer be rebooked on short notice.


      What Is Not Considered a Cancellation

      • Adding additional days (subject to availability)
      • Changing drop-off or pick-up times that do not reduce dates
      • Upgrading services or add on options


      Deposit Requirement 

      • All overnight stays longer than two (2) days require a 50% deposit to secure dates
      • Requests will remain pending until a deposit is received
      • Deposits are applied to your final balance
      • For peak/holiday periods, deposits remain non-refundable once booked

      Deposits can be paid via our standard methods of Zelle or Venmo, or we can send an invoice for credit card payments, which include 3.5% + 30¢ in processing fees.

      Refunds 
      Deposit refunds will follow this schedule:

      • 5+ business days before arrival: Deposit may be refunded or credited to your account
      • Cancellations inside 5 business days: 25% of the deposit will be retained as a cancellation fee, the remaining 25% will be credited to your account and can be used for future bookings within 6 months of cancellation. 
      • Inside 48 hours / no-show: Deposit is non-refundable


      Overnight Boarding Cancellation

      • For a full refund, all changes must be made by 5 PM, five full business days before arrival.
        Weekends and company observed holidays do not count as business days.
      • Early pick-ups are charged for the full original booking.


      Day Camp Cancellations

      • Cancellations must be made at least 48 hours in advance.
      • Cancellations within 48 hours are billed at the full amount.

      Holiday & Peak Periods
      To secure bookings during holiday/peak periods, a 50% non-refundable deposit is required at time of reservation. Cancellations must be made at least 10 business days before stay; otherwise, the full cost is charged if the spot cannot be refilled.


      How to Make Changes
      Please submit any new days added to originally booked dates via the Return Client Form to reserve your pet's space.

      Please email us if you need to:

      • change currently booked drop-off or pick-up time
      • remove dates from currently booked stays

    • Personal Property & Liability
      Camp Rockford is not responsible for lost or damaged personal property belonging to Owner or pet.

      Insurance & Injury Responsibility: Camp Rockford carries commercial pet care liability insurance for third-party claims. In the event a pet is injured or requires veterinary care for any reason during their stay, the pet owner (or authorized agent) understands and agrees that:

      • All veterinary and medical expenses are the sole responsibility of the pet owner, regardless of fault, cause, or perceived liability.
      • Medical care will not be delayed while determining responsibility or insurance eligibility.
      • Camp Rockford does not pay veterinary bills upfront.
      • If an incident qualifies for potential third-party reimbursement under our insurance policy, Camp Rockford will reasonably assist the pet owner by:
        • Providing incident documentation
        • Submitting required information to our insurance provider upon request.
      • Insurance reimbursement is not guaranteed, and approval, denial, coverage limits, and timelines are determined solely by the insurance carrier.
      • Camp Rockford makes no representations regarding claim approval or payout.

      By booking a stay, the Owner assumes all risks and full responsibility for any injury or damage caused by their dog to people, other animals, or property. The Owner acknowledges and agrees to be solely financially responsible for their pet’s medical care and any related expenses. The Owner further understands that any applicable insurance claim is a third-party reimbursement process and does not replace or delay the Owner’s obligation to make immediate payment for incurred costs.

      Photo & Video Release
      Owner agrees to allow Camp Rockford to use the pet’s name, images, and likeness for marketing, advertising, and promotional purposes without compensation. Images are shared via Google Photos, and Owners are encouraged to download the app: https://photos.google.com/apps

      Agreement & Full Force
      Owner represents that they are the legal owner of the dog(s) and that all provisions herein remain in full force and effect for each and every stay unless superseded by a written agreement signed by both parties.
