This policy document once signed becomes a legal contract between Tancia Ltd and the distributor.

Only approved distributors of Tancia Ltd. are provided with access to our website. These access rights are based on the understanding that distributors agree to and comply with the following terms:

- Exclusive Access for Employees: The password and access rights provided are strictly for employees of the Distributor's company. Any use of these access credentials by non-employees is a direct violation of this policy.
- No Sharing of Access Information: Distributors are prohibited from sharing access credentials with any third parties. This includes but is not limited to customers, other suppliers, or any unrelated entities.
- Confidentiality and Data Protection: Please note that your portal access displays commercially sensitive and personal data specific to your business, including order history, pricing structures, payment records, and communications. Sharing login credentials with any third party would constitute unauthorised access to personal data and may place both your business and ours in breach of UK GDPR obligations. Access credentials are issued to you alone and must be treated as strictly confidential at all times.
- Revocation of Access: Tancia Ltd. reserves the right to withdraw or change access rights at any time, without prior notice. Reasons for revocation may include, but are not limited to, policy violations or security concerns.
- Monitoring and Analytics: Tancia Ltd. employs advanced analytics to monitor login patterns. This includes checking for consistency in logins, geo-location, and IP addresses. These measures are in place to ensure that only authorised users access the sites.
- Consequences of Misuse: If our analytics detect any unusual or unauthorised activity, or if it is found that access has been shared with third parties:
- The Distributor's access will be permanently suspended.
- This suspension may extend to other privileges, including the withdrawal of credit facilities.
Review and Agreement: Distributors are required to periodically review this policy to ensure continued compliance. Violation of any of these terms may lead to actions as outlined above.
