Consultation Agreement

Step 1:

Initial Consultation: Schedule a visit with us – via in person, phone, or email. Our goal for the initial consultation is to ensure that you are informed of the services we offer, advise you of expectations (for both the client and Wild Root Travel), and explain how we will work together to design your dream itinerary. We will also provide you with the most current entry/exit requirements and policies for your desired destination. The consultation deposit will be communicated as well. This will be a great opportunity for you to get any questions you have answered. Once the client and Wild Root Travel are both clear on the expectations and services offered, and agree to move forward, we will proceed. 

Step 2:

Consultation Deposit: Let’s start designing your vacation!

Thoroughly read this Consultation Agreement & sign the agreement, Fill out our Getting Started Form and provide payment for your consultation deposit. Once this agreement is signed, and your deposit is received, we will start designing your itinerary!  
 
Why a Deposit?: Covid has changed the world, how we travel, and how Travel Agencies operate. With entry/travel requirements constantly changing, a client may initially agree to and meet the destination requirements when planning their trip, but should those requirements or circumstances change prior to travel, and a client is either forced (involuntarily) or elects to cancel their arrangements for any reason, the deposit will be retained by Wild Root Travel.

This deposit simply covers the services provided by Wild Root Travel. Our proposed itineraries & quotes are customized for each of our clients to meet their specific needs. Securing a deposit allows us to commit our time to clients who are serious about traveling and appreciate the services we provide.  

Deposit Details: 
When the client chooses to book with Wild Root Travel, and once travel is completed, the consultation deposit will be refunded to the client in full via the payment method originally received from the client. Trip cancellations for any reason will result in a forfeited deposit. 

Client has 60 days after the deposit is received to book travel through Wild Root Travel. If travel is not booked within 60 days, the deposit amount will be retained. 

If the client chooses to cancel travel or decides not to book with Wild Root Travel after travel options have been provided, the deposit will be retailed for services provided.  
Deposit Requirements: 
Vacation/Honeymoon (up to 9 travelers): $150 
Group Travel (10 or more travelers): $300 
Mexico/Caribbean Destination Wedding: $300 

Step 3:

Complete Traveler Information Form: Once the consultation deposit is received, Wild Root Travel will email client the Traveler Information Form to be completed. This form provides us with the information required to begin designing your travel itinerary and ultimately book travel arrangements. This form must be completed for Wild Root Travel to design the itinerary and provide travel options to the client. Once I receive this completed form, your deposit, and your answers to the questions on the getting started form, I’ll begin crafting travel options tailored just for you. You’ll receive a quote within 5 business days after the deposit is paid.

I understand and agree with the terms and conditions of this agreement. I would like to proceed with Wild Root Travel and would like for Wild Root Travel to proceed with designing our travel itinerary and providing travel options. I understand that if I choose not to move forward with the proposed travel options provided, or I book with another source, that Wild Root Travel will retain the consultation deposit as compensation for services provided.  

   
Deposit is good for 60 days from the date the deposit is received by Wild Root Travel (travel must be booked within these 60 days or consultation deposit will be retained).
