    REQUIREMENTS: Applicants must read through the Hidden Trails Vendor Market Terms and Conditions, Tent Policies, and Payment Options/Cancellation and Refund Policies prior to filling out and submitting application(s) to the Hidden Trails Community Association. 

    By filling out, signing, and submitting this application, you agree to adhere to the guidelines previously outlined in the Terms and Conditions, Booth Policies, and Cancellation Policies provided to you by the Hidden Trails Community Association, Inc.

  • VENDOR TERMS & CONDITIONS

    • Merchandise and display of the vendor is subject to the approval of HIDDEN TRAILS COMMUNITY ASSOCIATION, which reserves the right to require alterations, replacements, deletions, or removal of any material or activity that is deemed as not appropriate.
    • The event hours are 10 AM-3 PM. All vendors shall remain in their booths/tables during the event hours. All vehicles must be removed from the event area, and the booth shall be set up no later than 9:30 AM on the day of the event. Vehicles may not be left in the event area
    • The vendor elects to and does release HIDDEN TRAILS COMMUNITY ASSOCIATION, CCMC, LENNAR, and their respective officers, agents, and employees from any and all claims, demands, rights, or causes of action whatsoever kind or nature which the undersigned has ever had or may now have or may hereafter have, whether now known or unknown, foreseen or unforeseen, arising from or by reason of or any way connected with, any injuries, losses, damages, property damage or loss, or the results thereof, which heretofore has been even or hereafter may be sustained by the undersigned as a result of or in connection with or arising out of the undersigned participation in any HIDDEN TRAILS COMMUNITY ASSOCIATION vendor market.
    • The vendor will provide their own table, booth/tent, chairs, etc. This is an outdoor event subject to extreme weather, so please keep that in mind when preparing for the event.
    • All booth materials must fit within the designated spaces provided by HIDDEN TRAILS COMMUNITY ASSOCIATION.
      HIDDEN TRAILS COMMUNITY ASSOCIATION reserves the right to limit the number of types of vendor booths for the event to provide more variety of industries (Ex: Limiting the number of Scentsy vendors, candle vendors, solar companies, etc.) It is important that vendors only sell the products they signed up for. It is not fair to other vendors if there is an excess of vendors selling similar items. This is to provide the best chance of success for each vendor.
    • Vendors are responsible for providing their own power and shade.
    • All tents are REQUIRED to meet the minimum tent weight requirements below.
    • It can be extremely windy at Hidden Trails, and this requirement is to protect you and your business from any potential injuries or liabilities from tents blowing away and causing harm.
    • Weight checks for each vendor will be performed prior to the event start.

    10 X 10 TENT -   40 LBS weight per leg

    Larger than 10 x 10 TENT  - 80 LBS weight per leg

    Umbrella - 50 lbs weight per leg

  • BOOTH SPACES

    Hidden Tails Association Vendors are welcome to optionally donate a $5–$20 gift card to be used as drawing prizes and event incentives. These contributions help increase attendee participation and enhance the overall success of events. Thank you for considering supporting our event.

    All vendors must provide 200 filled eggs to hand out at the event

    Hidden Trails Residents Vendor Fees

    Residents 10X10: $15 + Processing Fee
    LARGER THAN 10X10 (LIMIT 30X30): $30 + Processing Fee
    UMBRELLA SPACE: $15 + Processing Fee
    Hidden Trails Residents' Payments can be made online at the ‘QUICK PAYMENT’ tab on the Hidden Trails website. http://www.hiddentrailslife.com/quick-payment/
    A processing fee will be charged for on-line payments

    Non-Resident Vendor Fees

    10X10: $25
    LARGER THAN 10X10 (LIMIT 30X30): $40
    UMBRELLA SPACE: $20


    Please wait for acceptance confirmation via email from the Lifestyle Director before making a payment.
    Non-resident vendors can mail or deliver payment in the form of a check to Hidden Trails Association, 5238 Mustang Vista, Bulverde, TX

  • REFUND/CANCELLATION POLICY

    Cancellations must be made no less than 10 business days before the event.
    Ex: If the event is on March 15, cancellations must be made on or before March 3.

    Vendors will be required to fill out vendor registration form and a vendor market contract.
    If a vendor cancels prior to the 10-day cutoff, a refund can be issued back to your payment card and can take 5-10 business days to appear.
    Refunds will not be issued if a vendor cancels within 10 days of an event for any reason, including but not limited to emergencies, family obligations, hardships, change of mind, transportation issues, etc.
    If a vendor cancels their spot within ten (10) days of the market day, their registration will be cancelled and may be filled by another vendor.
    This is a rain-or-shine event. There will be no refunds in the case of severe or hazardous weather or any other act of God. Hidden Trails is not responsible for any costs related to the booth.

  • All applications must be received by Friday, February 21, 2026. Vendors will be notified of acceptance by February 27.  Contact Sharon Cornell for additional information. 

    By submitting this registration, you acknowledge that you have read, understand, and agree to comply with the Vendor Market Terms and Conditions.
